Job Description: As a Venue Coordinator, their role is crucial in ensuring the

management, venue signages, and environment control.

TECHNICAL COORDINATOR

Job Description: The Event Technical Coordinator plays a crucial role in

And Creating A Sustainable Future Through
Academic Excellence.” In this theme, the color
that would best suit is Green and Pearl White.
Aside from this is the favorite color of Mr. Galo D.
Weygan, Sr. Green also represent growth and
beginnings. Paired with pearl white, it means
purity. In relevance, the school, while growing
and making new beginnings, their holistic vision
and mission to the students remains pure.

“Overcoming The Past, Building Resilience And

gold symbolizes success and achievement while

MEMORANDUM OF AGREEMENT
KNOW ALL MEN BY THESE PRESENTS:

I. PARTIES

This Memorandum of Agreement, executed this 23RD day of July 2023 in Baguio
City, Philippines, by and among:

The ENCHANTED VISIONS EVENT SERVICES, a duly registered and recognized


Events Management Company, with postal address at 3M-09, 3rd Floor Porta
Vaga Mall Main Bldg. Session Rd, Baguio City, Benguet, represented by its
OWNER, hereinafter referred to as the “EVENT COMPANY”

AND

MS. GALO WEYGAN JR., of legal age, with postal address at #434 Magsaysay
Ave. Baguio City hereinafter referred to as the “CLIENT”

II. UNDERTAKINGS

WHEREAS, the Client desires to engage Enchanted Visions Event Services for
event planning and execution services, and Enchanted Visions Event Services
agrees to provide said services under the terms and conditions outlined herein.
NOW, THEREFORE, the Parties agree as follows:

1. EVENT DETAILS:

1.1 Date: November 5, 2023 (Sunday)


1.2 Time: 8:00 PM- 8:00 PM
1.3 Venue:
1.4 Agenda: To celebrate the momentous 30th founding anniversary of BSBT
College, to have an opportunity for an organization to come together
and celebrate the proud history with the community, employees and

2. SCOPE OF SERVICES:

2.1 Enchanted Visions Event Services shall provide the following services:

• Food and Drinks (Controlled Buffet)
• Lights and Sound System
• Services of a Professional Host/Emcee
• Event Styling and Coordination
• Prizes and Souvenirs
• Invitation
• Cake and cupcakes
• Decorations and Venue Set-up
• Free acoustic singer for 1hr 45 min.
• Free use of the projector
• Overflowing coffee

3. RESPONSIBILITIES OF ENCHANTED VISIONS EVENT SERVICES:

3.1 Enchanted Visions Event Services shall:


- Manage event logistics, including but not limited to venue coordination,
vendor management, and event setup and teardown.
- Develop and execute an event timeline and agenda.
- Coordinate with suppliers and vendors to ensure timely delivery of
services.
- Provide on-site event coordination and oversee event operations.

4. CLIENT'S OBLIGATIONS:
4.1 The Client shall:
- Provide necessary event-related information and materials to Enchanted
Visions Event Services in a timely manner.
- Cooperate and assist Enchanted Visions Event Services in executing their
duties effectively.
- Timely payment of the agreed-upon fees as outlined in Section 5.

5. FINANCIAL TERMS:
5.1 The Client agrees to pay Enchanted Visions Event Services the agreed-
upon fees for their services,
5.2 Payment shall be made according to the agreed-upon payment
schedule.
5.3 The following payment schedules apply:
• Deposit (70%)– August 1, 2023
• Full Payment- One (1) day before or on the day of the event
• Mode of Payment:

✓ Bank Transfer
✓ G-Cash

6. TERMS AND CONDITIONS:


6.1 This Agreement shall commence on the date first written above and shall
remain in effect until the completion of [Event Name], unless terminated
earlier as provided herein.
6.2 Either Party may terminate this Agreement upon written notice if the other
Party fails to fulfill its obligations under this Agreement, subject to any cure
period specified in the separate agreement.
a. Billing will be based on the guaranteed number of attendees
contracted for, or actual attendance, whichever is higher. The
authorized Company Representative will establish the actual number
of covers served.
b. Incidental charges will be on Cash Basis unless otherwise approved by
the authorized signatory. For any unpaid incidental charges, the CLIENT
shall be held liable for the payment of the said charges.
c. Should the payment be enforced by court action, the CLIENT shall pay
an additional twenty-five percent (25%) of the money judgment by
way of an attorney’s fee.
d. Should the CLIENT postpone the schedule of the event to another date
or time, the CLIENT must notify the EVENT COMPANY at least thirty (30)
days in advance. The postponement will be subject to the availability
of the Event Venue on the alternative date.
e. Should the CLIENT notify the EVENT COMPANY of the postponement
less than a month prior to the event date and there are no Event
Venues available on the alternative date, the CLIENT has the option to
proceed with the original schedule or cancel the event. Should the
CLIENT opt to cancel the event, item g. shall apply.
f. Postponement notice of the event received less than one week prior
to the scheduled event date stated in the contract shall be
considered a cancellation. Cancellation charges apply.
g. Event Venue: The following Cancellation Schedule and Charges shall
apply to all cancellations of DEFINITE event venue booking with signed
contracts:
o Reservations deposit shall be forfeited upon cancellation of the
event.
o All progressive payments are non-refundable.
o The event must begin and end promptly at the scheduled time on
the contract. If the space is available and the CLIENT would want to
extend the event, an excess hour rental fee of ₱ 1,500 per hour shall
be charged accordingly.
h. The EVENT COMPANY shall not be liable for failure to comply with this
agreement due to force majeure, labor disputes, strikes, or other
causes beyond its control.
i. Unless the CLIENT gives advice, the EVENT COMPANY will extend
services only for the guaranteed number of persons confirmed by the
CLIENT. A confirmation of the guaranteed number of attendees will be
required at least three (3) business days prior to the event. If a
confirmation of the guarantee is not received, the EVENT COMPANY
will consider the number of attendees indicated on the original
contract to be correct and guaranteed accordingly.
j. The guaranteed number of attendees indicated in the contract is not
subject to reduction.
k. The CLIENT cannot bring other food and beverage items into the Event
Venue. In the event that the EVENT COMPANY allows the CLIENT to
bring food and drinks items, the CLIENT shall be held liable for the
condition, quality, and sufficiency of the items and corresponding
handling and corkage fees applies on all items.
l. The CLIENT shall be required to sign a waiver form for all food and
beverage items brought to the Event Venue premises.
m. The COMPANY must be advised on any additional arrangements
needed. Corresponding charges for the additional amenities will
apply.
n. CONTINGENCY FUND: A Contingency Fund will be required for special
set-up and arrangement in the Event Venue. The contingency Fund
amount will be computed as 10% of the total budget. Contingency
Fund is refundable in full, but without interest, three (3) business days
after the event provided that no damage was incurred at the Event
Venue. In the event that this is done without authorization and
damage is incurred, the EVENT COMPANY will assess the damage and
automatically bill the cost of repair and/or replacement to the CLIENT.
o. The CLIENT is obliged to adhere to the General Rules and
Regulations/Banquet and Meeting Guidelines of the EVENT COMPANY.

7. CANCELLATION POLICY

7.1 In the event of cancellation, G! Events Management Company shall


have the right to impose a cancellation charge which shall be calculated
as detailed below:
a) If canceled 30-60 days prior to the first day of the event, the
cancellation charge shall be 10% of the price;
b) If canceled 15-29 days prior to the first day of the event, the
cancellation charge shall be 25% of the price;
c) If canceled 1-15 days prior to the first day of the event, the
cancellation charge shall be 50% of the price;

On termination of this contract for any reason, the Client shall immediately
pay to Enchanted Visions Events Service all of the cancellation charges,
less any amount already paid.

8. GOVERNING LAW AND JURISDICTION:

8.1 This Agreement shall be governed by and construed in accordance


with the laws of the Republic of the Philippines.
8.2 Any disputes arising out of or in connection with this Agreement shall
be subject to the exclusive jurisdiction of the courts in Baguio City,
Philippines.
This Agreement shall take effect upon signing by the contracting parties.
Modifications may be made upon written consent of all parties.

As part of our responsibility to produce high-quality and safe services, we assure

MONITORING AND EVALUATION

Monitoring and Feedbacks Mechanisms

The team will have a briefing before the start of the event. During the event,
every aspect will be monitored. The team is trained for any emergency situation.
The event team will also have an ocular inspection at the venue. Detection of
possible problems or challenges will be conducted. The on-site event
coordinator will assign every task to her team to continue monitor before,
during, and after the event to have a smooth flow of the event.

Evaluation and Other Post-Event Activities

Evaluation helps determine what works well and what could be improved in an
event. It will measure our services as well as our suppliers. Also, thank you letters
will be sent to the suppliers. To end the event, debriefing will be conducted to
discuss areas that need to be improved.
