Licence for the below is non-negotiable and the hotel will not be responsible for any violations.
Le Meridien Coimbatore will facilitate the licence by providing the contact details of the respective copyright
firms.
A copy of the licences needs to be provided to the hotel 48 hrs before the event starts at the venue
Music played via DJ, Live music, from laptop or from a mobile phone will attract
copyrights. Licences need to be procured to play the music officially. A PPL licence

needs to be procured if any recorded music is being played If not being played a

Indian Performing Right

Society Limited (IPRS)

Every third party/Decorator/ Event Manager / Caterer etc hired while conducting
events in Le Meridien, Coimbatore should have, Vaccination Certificate – Two Dose
Vaccination Certificate Vaccination or RTPCR Test Report (report taken 48 Hours before event/s) to be
produced at hotel main gate before entry. Failing to produce the above may result in
the individual not being allowed to enter the Hotel.

The Event Manager/ Vendor to make security deposit by cheque amount of INR
Security Deposit 25000/- in the name of Appu Hotels Limited and the same will returned towards end
of the event.

MISCELLANEOUS CHARGES PER DAY

 Beverages: would be charged as per actual consumption. In case you would like to opt for a package
rate, please find attached the beverage package that can be offered.
 Audio Visuals: Would be charge as per required. Any requirements please provide a minimum of
three days’ notice for all The audio visual equipment’s required.
 Transportation: Special rates can be provided for AC Buses & Cars.
 DJ with music arrangements: Can be arranged with subject to extra charge. (Only available in the
banquet venue)
 PPL/IPRS/ISRA/NOVEX License: Organizers are requested to apply for PPL,ISRA,IPRS & NOVEX
License in case of live performance during the event(including DJ,dance.recorded music),and
submit at the hotel 15 days prior to the event.

CONFIRMATION DEPOSIT / PREPAYMENT

 Within 30 days from 100% of the total estimated billing amount will be charged as retention

CANCELLATION POLICY

 In case of a cancellation 15 Days prior to commencement of the function, the Hotel reserves the
right to charge 100% of the total estimated billing as retention.
 In the event of postponement of the event to another date within 15 days of event date, it will be
treated as a Cancellation; the above guidelines would still apply.
 Please note, this offered rate is based on the overall business volume. Any reduction in
Guarantees or cancellation of Halls after the confirmation would subject to a change in rates for
per person or Hall Hires.

TERMS AND CONDITIONS.

1. If number of guests increases by more than 10% above the Guaranteed number on the day of
event stated Function contract, every additional person will be charged Rs.100 plus taxes over
and above the contracted per person rate.
2. Kindly note that any kind of music during the function would be permitted maximum till 2300 Hrs
only as per the Government regulations.
3. As per the statutory regulation of Government of Tamil Nadu, we are permitted to operate the
bar till 2300 hrs. You are Requested to inform your guests accordingly.
4. All electrical connections should have proper earthing .They should have three pin plugs and not
naked wires inserted Into the plug points.
5. No loose wires should be visible inside the hall and should be properly concealed.
6. There should not be any materials stacked in front or in between the fire exits.
7. All contract staff leaving the hotel is subject to physical check by the hotel security.
8. DJ and loud music involved events are to be intimated in prior and proper measures to be taken
by the host so that it’sNot disturbing the other events. Hotel reserves all rights to bring down the
volume if found disturbing for other guests.
9. Let us know if you and your guests have any special dietary requirements, food allergies, or food
intolerances" We do not permit signage, banners or posters to be displayed in areas other than
function venue. However, the Hotel will display the necessary signage providing function details
and directions to venues. Also note that as Per Excise Policy that no signage of any organization,
companies or firms associated with Liquor sale, directly Or indirectly, are allowed in the function
venue.
10. Nailing/pinning/sticking/pasting of display material is strictly not permitted in the hotel premises.
11. The Event Manager/ Vendor is required to remove the stage, back drop and any other materials
/ fixtures Belonging to them within two hours of completion of the program, failing which an
amount of Rs. 5000/- will be Charged additional per hour for the materials lying inside the hall.
12. The Hotel will not accept liability for any damage or loss of merchandise left in the Hotel, prior to,
during or After the function. We would request you to dissuade your event management
companies from sending us material earlier than 2 hours prior to the event, as the hotel does not
have adequate storage facilities for the same.
13. As a hotel policy we provide power supply for events on chargeable basis or uninterrupted power
supply is required, the guest would require to make necessary arrangements by hiring a silent
generator for the same & intimating the hotel for the same.

 14. In event of utilization of hall beyond the timings on our agreement i.e. 6-11 pm, the same would
invite a rental charge. All the detailing of the Banquet function, including menu, seating
arrangement, floral arrangement and requirement of audio/visual equipment must be finalized
at least 72 hours prior to the function. In the absence of the finalization of the menu 72 hours
prior to the event, please note that the hotel will go ahead with the Chef’s choice menu
15. Service and consumption of outside food & beverage would not be permitted in the hotel. The
Management of Appu Hotels Coimbatore is not liable for any loss or damage to client and his
guest’s belongings during the event. It is the responsibility of the client for the protection of all
hotel surfaces in the case of outside props or equipment brought into the hotel by them or their
affiliates. Any damage to the hotel surfaces due to disregard of hotel policy in this matter, will be
billed by the hotel as deemed fit to compensate the loss or damage to hotel property.
16. The representative(s) at Appu Hotels Coimbatore and the client will jointly count the number of
guests and / or theQuantity of food and beverages served at the function and the said number
will be binding on the client for the purpose of bill settlement.
17. Spitting in public areas is prohibited

Covid-19 Protocol

 Please allow us to take the temperature of the guest at the time of arrival.
 Requesting to sanitize the hands at the time of arrival, also at frequent intervals
 Face covering : Wearing of face mask is compulsory throughout the event
 Social Distancing : Every guests are requested to maintain a minimum distance of 6ft
 We encourage self-parking.
 Health department Covid-19 related guidelines, timings and the procedures will be followed by
the hotel without any deviations.
 During the event/setup, event crew must adhere above mentioned Covid-19 protocol, beyond
20 members are not entertained at single point of time. Age above 65 is not entertained to work. The
event management for the function set up in the hotel should carry RTPCR test report 72 hours before
or one dose vaccination certificate.
 In case of any discomfort interms of health for the guests or the event crew, are requested to
contact the Hotel Covid-19 Officer Mr. Abuthaheer at 8939886121.

JURISDICTION

This Contract shall be construed and interpreted in accordance with the laws of India. The Courts have
exclusive jurisdiction to try all the disputes arising out of this agreement.

FORCE MAJEURE

Neither Party shall be liable for any failure or delay in its part in performing under this agreement delay
is due to “ Force Majeure conditions in whole or in part such as strikes , damages to the Vehicle, direct or
indirect or orders including restrictions and other licenses imposed by the government , wars , riots ,fire ,

flood, earthquakes , God or of the Public enemy. The Party affected by such Force Majeure condition shall
forthwith notify the other party extent thereof and shall make best efforts to mitigate such condition. The
performance under this agreement shall be only for a period during which the Force Majeure condition
continues. However, if the Force Majeure condition in question prevails for the period of fifteen (15) days,
the Parties shall enter into bona fide discussion with a view of alleviating its effect on this agreement an
alternative arrangement as may be fair and reasonable.

PR/ MEDIA POLICY

The group shall not use the name, trademark, logo or other proprietary designation of Appu Hotels
Coimbatore in any advertising or promotional materials without the prior written approval of the hotel.
The hotel shall accept the same restrictions with respect to the use of the Group's name, trademark or
logo and other proprietary designation.

GOVERNING LAW AND JURISDICTION

The parties agree that this agreement shall be governed and construed in accordance with the laws of
India and hereby submit to the jurisdiction of the courts of India.
