Sales Invoice Data Entry
First, Click on the Sales Data Entry for Goods icon on the Overview.
Then, Click on the Sales Invoice Data Entry Icon.
A Sales Invoice Transaction window will appear.
To add a new entry, click on the New button on the upper left side of the window.
A Sales Invoice Transaction Form will appear.
Fill out each required fields.
To select a branch, click the three-dots button.
A branch lookup window will appear.
Select the corresponding branch by clicking the branch ID.
The Invoice Number can be system generated or manually filled up by the user.
If the invoice number is set to manual, Enter the Invoice Number which may either be numeric or alphanumeric.
Then, set the Invoice Date.
After that, Select Customer by clicking the three-dots button.
A customer lookup window will appear.
Select the corresponding customer by clicking the customer ID.
The Tax type and address are based on the customer data in the master file.
Term is also based on the customer but it can be changed depending on the transaction.
The Salesman will be automatically filled up depending if the customer has a default sales representative.
Then, enter the Particular Remarks.
The commission rate will only appear if the customer has a default sales representative.
Its' value will be based on the commission rate of the sales representative
If the commission of the salesman is not based on rate.
Untick the check box and enter the particular amount.
Enter the Invoice Amount depending on the tax type of the transaction by clicking the three dots button.
Enter the Amount and click ok.
Amount Breakdown will be automatically computed.
You can also add discount on the transaction
Then, select the currency of the transaction.
The default currency is in Philippine Peso.
If the amount is in foreign currency denomination, select the designated foreign currency and enter the foreign exchange rate
Amount in PHP is automatically computed based on the total amount due multiplied by the currency rate.
You can also add additional reference details in the transaction.
Lastly, If the company is a seller of goods or services ATC is required.
Choose an ATC by clicking the three dots button.
An ATC List window will appear.
Choose the particular ATC by clicking the ATC.
Once you are done filling up the required fields,
Click the Save New Button, to save and add another entry.
Otherwise, Click the Save Close Button, to save and close the Form.
To edit a particular Sales Invoice, click on the Edit button on the upper left side of the window.
But take note that you can no longer edit once it has exceeded 24 hours upon release.
If you wish to Print the B.I.R Form two three oh seven of a particular Sales Invoice, Click the Print two three oh seven button.
To Print the B.I.R. Form two three oh six of a particular Sales Invoice, Click the Print two three oh six button.
To Void a Sales Invoice Transaction, click the Void Record button.
A security window will appear.
Only authorized person can void a transaction.
