Introduction
This assessment task is the two of two tasks you are required to complete as part of this unit.

Students are reminded:


 To achieve a Satisfactory (S) result you will need to attempt all questions.
 Unanswered questions will cause the assessment to be Not Yet Satisfactory (NYS).
 A NYS assessment will need to be re-submitted before the end of the term.
 You are required to attend the Assessment Intervention Program (AIP) in Week 11 for any NYS
resulted assessment or assessments.
 Any assessment not attempted will be recorded as a withdrawn.
 By not achieving Satisfactory (S) result in all your assessments in the term you are at risk of not
completing your course.
 Assessments are graded using the following guidelines:
o If you do not submit an assessment you will be graded as Not Attempted (NA)

management industry after your graduation. This task is designed to provide you with the opportunity
to showcase the skills you have gained as you have studied the unit BSBPMG615 Manage program
delivery by providing documentary evidence of a selection of work tasks you have completed. This
method of assessment has been selected because it is a simple and effective way of providing
evidence of the skills you have gained and your ability to use those skills to undertake specific
practical tasks.

As part of any unit of competency you study, you will be required to gain and demonstrate practical

Assessment task overview


This assessment task involves you managing a major ‘program’ within an organisation of your choice.
A ‘program’ is defined as a major project that consists of multiple projects (at least two projects) that
are running at the same time. You will be required to manage the program from its inception to at
least 50% completion. During this time, you will undertake several tasks, which have been divided into
different parts of this assessment task (below).
Before you can commence this assessment task you will need to engage an organisation for which you
can manage, or participate in the management of, a program. As a first option, you should engage the
AIS Business College or the AIS Beauty Salon and identify if you can be involved in any projects
running within those businesses. Alternatively, you can select another organisation provided all the
criteria of the assessment are addressed.

Part A: Meeting with Project Stakeholders (10 marks/ )


For this part of the assessment task, you will need to meet with the key organisational stakeholders to
gather information about a project and determine:
 funding and resource arrangements.
 project risks and risk management approaches.
The outcomes of the meeting will be used to develop a proposal on which funding for the program will
be requested and secured.
You will need to identify and meet with key stakeholders within your selected organisation. Your
assessor can help to arrange the meetings if required.
Your assessor will observe your performance during the meeting.

Before you start you can start this task, you will need to:
 Select an organisation on which to base this assessment task.
 Meet with the key stakeholders in the organisation and identify an appropriate group of
projects on which you can base this assessment.
 Download the Project Proposal and Risk Management Plan templates from Moodle (also
available in Appendix A and B). You can use these to prompt the conversation in the meeting
as it is these documents that you will need to complete as a result of this meeting.

During your stakeholder meeting, you will need to:

This project consists on making a plan to renew the AIS Beauty Salon technology trying to
increase the business incomes, and for that we want to utilise a $10.000 - $20.000 budget to
invest in new equipment and technology. We understand that some risks may occur as a
higher cost than expected and a non-adaptation of our employees to the changes. We’ll need
to design responsibilities and gather a team to do this project as precise as we can so we can
achieve the project goals.

Part B: Develop a Project Proposal (23 marks/ )


For this part of the assessment task, you will need to develop a Project Proposal (Appendix A), which
outlines the funding and resource requirements for the project. The Project Proposal will need to be
approved and signed off by the appropriate organisational stakeholder.

Before you start you can start this task, you will need to:
 Select an organisation on which to base this assessment task.
 Meet with the key stakeholders in the organisation and identify an appropriate group of
projects on which you can base this assessment.
 Download the Project Proposal template from Moodle (also available in Appendix A).

Your Project Proposal will need to:


 Outline the project to which the proposal relates. (3 marks)

For this part of the assessment task, you will need to develop a system by which the project can be
monitored and evaluated.
You will need to document this system using the Project Evaluation System template (Appendix C).

 Document the metrics that will be used to evaluate the progress and success of the project.

Part E: Respond to and Communicate Project Changes (8 marks/ )


For this part of the assessment task, you will need to review the progress of the project against the
project evaluation criteria and identify changes that need to be made to the project to ensure it
achieves its objectives.
Once identified, you will need to communicate the required changes to the relevant stakeholders via
email. As part of that email, you will ask the stakeholder/s for feedback on your performance
managing the project so far. You will submit a copy of the response email with this submission.

Before you start this task, you will need to:


 Ensure that the project has been running for at least one week so that meaningful evaluation
can take place.

Your email must:


 Outline at least two changes that need to occur to ensure the project stays on track. (2 marks)

Dear Stakeholder,

After reviewing and evaluating all the procedures and the progress of the project so far, there will be
needed a change in the plan to achieve our initial objectives. The financial report of products costs
has shown that our initial budget does not attend to the financial resources needed to complete all
the investments, therefore we need to make a budget review and get new resources in compliance
with the actual costs of the project.
Also, after analyzing the feedback from our staff I concluded that some of the employees have not
shown adaptation to the new technologies and due to it we will need to provide personal training for
them and support them to feel comfortable about the changes.

Project information

AIS Beauty Salon is a privately-owned Sydney based company that delivers beauty services for years ensuring quality on the services and good
costumer relationship. The General Manager have talked with his consultants about an opportunity of increasing 5% of the sales this year by improving
technology resources and reducing costs.

Goals (2 marks/ )
The overarching goal of the project is updating our technology resources and equipment, for that we will need to:
- Search for new technologies in the beauty sector market
- Substitute old equipment for better new ones
- Invest in new machines to improve the quality of the services

Scope (2 marks/ )
For the achievement of the project goals there will be required from the General Manager to do research and find the best technologies to implement

Risk is defined as an event that has a probability of occurring and could have either a positive or negative impact to a project should that risk occur.
Risk management is an ongoing process that continues through the life of a project. It includes processes for risk management planning,
identification, analysis, monitoring, and control. Many of these processes are updated throughout the project lifecycle as new risks can be identified
at any time. It is the objective of risk management to decrease the probability and impact of events adverse to the project. On the other hand, any
event that could have a positive impact should be exploited.
This risk management plan has the purpose of identifying some potential risks that the AIS Beauty Salon could have on implementing this new
project. It include some process like identification, monitoring, analyzing and control. The objective of this Risk Management Plan is to try to prevent
