Guidance Notes
The following guidance notes should be read by the person delivering the brief to ensure it is effective.

Audience
Ensure the location for holding the brief is sufficient in terms of safety and comfort for the number of attendees.

Time
Limit the duration of the brief to no more than 10-15 minutes. During discussion, do not allow the group to get
side tracked. If important and relevant, allow a short discussion then bring them back to the core discussion points.

Preparation & Approach


Expand on the selected Safety Focus points to ensure you create and record the agenda or key discussion points
for the Toolbox/Safety Talk. Use of photographs is recommended where relevant as this can aid communication.

Use the form to reference the task or tasks to be performed and select the key points from the checklist that need
to be covered in the brief. Using these will aid communicating the key information and allow the Presenter to keep
the brief focused. Also use the form to cover points relating to new or ongoing issues in the workplace. Use a
questioning approach to engage the workforce but get the message across and listen to responses.

An effective Pre-Job Brief should cover the following topics:


• Work Tasks – Nature of task or work to carried out with reference to any safety critical documents such as
Work Instruction (ZWI), Checklists (ZCH), relevant Risk Assessments including task specific
• Individual responsibilities – Who is doing what during the task
• Hazards/Risk – Review applicable hazards and control measures in the Safe System of Work
• Confirm all isolations required for control of hazardous energies
• Handling of equipment / materials – confirm lifting operations and manual handling requirements
• Chemicals – Ensure Assessments and data sheets are understood with requisite PPE available
• Weather conditions – Limitations understood and arrangements for adverse weather.

Style
For a successful Pre-Job Brief the person delivering it should:
• Be confident in speaking to groups of people;
• Be committed to what they say;
• Be able to demonstrate the safe use any equipment referenced or used; and
• Know enough about the subject matter to confidently answer any questions that may be asked.

Closing the Brief


• Summarise the main points covered during the brief
• Confirm from attendees that the key points or message has been clearly understood
• Confirm and record any feedback offered by attendees
• Remind attendees that if in any doubt they must stop work and ask for clarification
• Thank attendees for listening.

Complete the attendance records to confirm attendance and ensure copy retained in files.
