Use of Tools,
Equipment and
Paraphernalia
As a front desk staff, one of your most
important tasks is to make sure you
know the right tool, equipment and
paraphernalia. You should be well verse
while using it to avoid delayed checking
in and checking out of the guest.
A. How to use the computer.
The heart of the reservation
relies solely in computer
application and hotel
reservation system.
For computer hardware follow
the simple steps:

1. Checking the cables and


ports before opening
2. Power on the system unit.
3. Click the start button
4. Perform computer
operations. Be sure that your
files are backed up.
5. After performing
computer operations, be
sure to shut down and turn
off your computer.
Nowadays, hotels used CRS or the
computerized reservation system
which allows hotels to store guests’
information, room inventory and
rates and manage reservation
process. A front desk staff should be
trained in using the system for it gives
better efficiency for reservation,
check in, and check out procedure.
B. How to use the telephone.
1. Dial the number you wish to call.
2. Press the mute button.
3. If you wish to talk, place your finger
on your mute button and press it, but
keep your finger poised over the
button.
4. Speak.
5. When finished speaking press the
mute button before you return your
finger to your keyboard.
6. If the call is continuing, go to step 3.
7. If the call is finished, hang up the
telephone.
How to use the printer.
1.Make sure that your printer is
hooked properly before using it.
2. Open the page you want to print.
3. When you are ready to print go to
file and print set up.
4. Click the printer icon on the tool
bar and then print.
