1. INTRODUCTION
The project proposal for meeting the requirements regarding software development of the Group
Project module, conducted at ATI, is hereby presented. The solution proposed is in regard to the
web-based mobile phone selling system, which is targeted to ease online purchasing and enhance
inventory management related to the sales of mobile phones.

This proposal is meant to give in detail an overview of the project, such as the objectives, design
approach, and expected outcomes. This will be a system that will provide an e-commerce platform
in such a user-friendly manner that customers can effectively browse, buy, and review mobile
phones with ease, while at the same time offering a real-time inventory management solution to
the business.

The proposal is submitted to fulfill the software development requirements for this project module
which I lead and it is expected to be completed within three months.

2. BACKGROUND
The retail market for mobile phones has been very dynamic, with fast-evolving technology and
changing consumer behavior. For the context of this project, Hirusha Mobile Puttalam maintains
a traditional store that is having difficulty meeting the now-grown demand for online sales. Today,
their management of customer transactions, inventory management, and marketing highly rely on
manual processes, compromising efficiency and customer engagement.

E-commerce platforms like Shopify and Magento have taken the race to a whole new level for
mobile retailers across the world by offering integrated solutions to automate inventory
management, smoothen the payment process, and enrich user experience with personalized
features.[1]

EZCash and Daraz have effectively employed web-based systems to sell mobiles via mobiles,
whereby customers' payments are secured and orders were managed smoothly in Sri Lanka. It
clearly shows that technology alters retailing; hence, the same is required to be implemented in
Hirusha Mobile Puttalam.[2]

The proposed project aims at modernization of Hirusha Mobile Puttalam operations and
developing a web-based mobile phone sales system to enhance market access and customer
satisfaction through an effortless shopping experience.

3. SYSTEM INVESTIGATION

3.1 Preliminary Inquiry


Preliminary investigation included meetings with stakeholders, such as sales staff, inventory
managers, and customers. It highlighted a few inadequacies in the ongoing operations to be
subsequently improved.

3.1.1 Identified problems

Manual Inventory Tracking: The business relies on spreadsheets for tracking inventory. The
result has been frequent discrepancies in the actual and recorded inventory volumes, thus leading
to delays in the restocking process.

Limited E-commerce Functionality: Inadequate browsing experience, causing high numbers of


abandonment from the shopping cart.

Lack of real-time data: Most customers attempt to purchase merchandise that is out of stock,
therefore wasting both time and revenues.

Security Concerns: The current processing system has minimum levels of security, almost
begging for data breaches.

These findings point out the need for an all-inclusive web-based solution to attain better
operational efficiency and customer satisfaction.

3.2 Feasibility study
3.2.1 Technical Feasibility

Hardware feasibility

The proposed system requires typical server hardware to host an application to handle web traffic
and database management. Recommended specifications are that the server should have at least
16GB RAM, multi-core processor and SSD storage for optimal performance. Additionally, end-
user devices must be compatible desktops, laptops, tablets and smartphones with modern web
browsers.

Software feasibility

The development of the software is going to be done on top of some of the most used technologies
including React on the client side and Node.js on the server side. MongoDB is proposed for
efficient handling of database tasks. This technology stack is very well supported and allows for
scale as the business grows.

3.2.2 Economic viability

Software development

The estimated software development cost is approximately 7500 LKR including labor and project
management costs. This results in a significant increase in sales and efficiency, so it is worth the
investment.

One Developer (5 weeks, 3 hrs/day, 5 days/week)

Cost: 75 hrs × LKR 1000= 75000 LKR

UI/UX design

User UI/UX design requires approximately 12,0000 LKR. This will improve the customer
experience, thereby increasing conversion rates and retaining customers for a longer period of
time.

One Developer (8 weeks, 3 hrs/day, 5 days/week)

Cost: 120 hrs × LKR 1000= 120000 LKR

Hardware

This includes a hardware setup cost of around 75000 LKR which includes servers and related
infrastructure to support the required performance and reliability of the online platform.

To summarize, the proposed web-based mobile phone sales system is technically and economically
feasible, thus ensuring a good return on investment.

4. PROPOSED SOLUTION
The proposed solution will be a complete e-commerce website, designed to efficiently sell mobile
phones and their management inventory. It will attack various important challenges of the existing
e-commerce system through various advanced features and optimizations. With its responsive
interface, users would easily navigate through the website, observe, and compare various mobile
phones, which in turn gives them a very smooth and flawless flow from product discovery down
to checkout.

This design would keep the key view on speed and simplicity to enhance the general user
experience and make sure there's a reduced cart abandonment rate.

4.1 Real-time Inventory Management System

The solution will entail an automated system of inventory management that provides real time
tracking of the level of stock. It would alert administrators when the level of inventory of an item
reached its reorder point and trigger reordering with integrated suppliers in order to minimize
occurrences of stockouts besides ensuring that optimum levels of inventory were always
maintained. In fact, the system shall also make it possible to provide customers with correct
information about the availability of the various products.

4.2 Payment Integration

The system will be integrated with various secure payment gateways in order to handle customer
preference. This would involve credit cards, e-wallets, and mobile payments-all knitted together
into one checkout seamlessly and safely Feasibility Study The feasibility study conducted looks
into the project's viability based on several key aspects. [3]

5. AIMS AND OBJECTIVES
The main focus of this project lies in designing an e-commerce website that will be able to facilitate
the process of selling mobile phones through an effective inventory management system so as to
enhance the entire shopping experience.

The specific objectives will be:

5.1 User-friendly, Mobile Responsive User Interface

The website will be implemented with an easy, user-friendly interface to enable users to have an
easy time browsing and comparing products on different mobile devices. This includes the
responsive design elements that include adaptive layouts and touch-friendly controls that enable
various needs of mobile users.

5.2 Real-time inventory management system

It will be a web-based inventory management and tracking system, automated to handle stock
replenishment, allowing only the required amount at any given time in terms of inventory levels.
This would minimize instances of stockouts and overselling so that whatever customers want, they
get it whenever they want.

5.3 Integrating the Payment Gateway

The integration of different kinds of secure payment methods should be provided, like credit cards,
digital wallets, and bank transfers. Eventually, such frictionless checkout will raise the confidence
of users and increase conversion rates because customers would get the chance to get what they
want fast and safely.

5.4 Integration of Customer Engagement Features

The included features are customer reviews, recommended products, and personalized marketing
strategies that will enable the building of a sense of community to increase sales. These would
provide more dynamics in the atmosphere of shopping whereby users can share experiences and
recommendations with regard to their preferences.

Therefore, the accomplishment of these, when met, guarantees a good and effective e-commerce
platform that will satisfy the customers and ensure high business growth in the online retail market.
