Request for Proposals (RFP)


FOOD For Lane County is seeking proposals from qualified firms to create a user-friendly,
mobile-responsive website that is accessible to individuals with disabilities. Using feedback from
research and focus groups, branding and identity standards will be developed and used to
inform website content. We invite you to submit a proposal outlining your qualifications and
proposed approach to this project.

Project Objectives

Focus Groups and Research:


• Conduct focus groups and research to gather feedback and insights to inform the website
design and content, and branding and identity.

Branding and Identity Standards:


• Create branding and identity standards that reflect the mission and values of FOOD For
Lane County.

Website Design:
• Develop a modern and user-friendly website that is responsive and mobile-friendly.
• Ensure the website complies with the latest Website Content Accessibility Guidelines
(WCAG) to accommodate individuals with disabilities or impairments including auditory,
cognitive, neurological, physical, speech, and visual.
• Implement a map function that allows users to locate food pantries and meal-sites by
entering their zip code.

Scope of Work

Focus Groups and Research:


• Plan and execute focus group sessions to gather user feedback on the website's design,
usability, and content.
• Conduct research on logo and branding effectiveness. Make recommendations for new
logo design as needed.
• Conduct research to identify user preferences and needs, informing the website's content
strategy and functionality.

Branding and Identity Standards:


• Create a cohesive branding package, including a logo, color palette, typography guidelines,
and imagery recommendations.
• Develop identity standards to maintain consistency across all materials and platforms
including e-signatures and banners, letterhead, social media channels and other printed and
digital assets.

Website Design and Development:


• Design a visually appealing, responsive website with an intuitive user interface.
• Ensure the website is fully accessible to individuals with hearing and visual impairments,
complying with WCAG guidelines.
• Ensure a user-friendly interface for easy content updates that can be completed by FFLC
staff.
• Integrate a search feature for service lookup by zip code.
• Provide training and documentation for content management.
• Perform thorough testing and quality assurance to ensure functionality and accessibility.

Interested parties should submit a comprehensive proposal that includes the following:
Company Information:
• Company name, address, contact details, and a brief overview of your firm's experience in
web design and development and branding and identity creation.

Project Approach:
• Detailed description of your approach to meeting the project objectives.
• Proposed timeline and milestones.

Cost Breakdown:
• A menu of costs specific to each area of work:
1. Website Design
2. Branding and Identity
3. Focus Groups, and Research.

References:
• Contact information for at least three references from past clients, with a preference for
nonprofit clients.

Proposals must be submitted electronically to Rebecca Sprinson, Development Director at
[email protected] by October 20, no later than 5:00 PM PT. Late
submissions will not be considered.

Proposals will be evaluated based on the following criteria:


a. Experience and Qualifications b. Approach and Methodology c. Cost d. References.
