A
Activities
Your job description provides the basis for your activities on board and can be found in your Crew
Portal. Activities cover the area specified by the hotel manager and/or the captain. The division of
tasks by nature and time may vary from week to week. The cruise layout/working schedule is
drawn up in advance by the vessel management. All crew on board are obliged to help with
deliveries of goods and carrying luggage and garbage handling. Uniform (including your name tag)
must always be worn when carrying luggage for guests on embarkation or disembarkation. The
use of mobile phones is not permitted during working hours; exceptions are the captain, the
executive chef, and the hotel manager. We ask you to keep your phones in your cabin during
working hours. The use of music players (such as ipod) and ear plugs are also forbidden during
working hours.
Activities on board
•E
mbarkation: the first day of the cruise where we embark our new guests, on this day we usually
have the most work in preparing the whole vessel and cleaning in order to assure a great first
impression for our newly arriving guests.
•D
isembarkation: the last day of the cruise, where the guests who have been with us, will have
their last breakfast, pay their bills and after we take their luggage to the bus/taxi they disembark
and go home.
•L
oading: on a vessel which is continuously moving we also need a lot of items such as
food / beverages / cleaning supplies etc. On a “loading day” one of our suppliers delivers the
ordered goods to the vessel and all the crew helps to offload the truck and we store everything in
the designated store area.
•C
rew Introduction: in order to create an even better “bond” with our guests, we kindly
introduce the head of departments.

• Welcome Cocktail: to welcome our guests onboard we organize a special cocktail evening
usually also on the first night with a drink and snacks, normally 30 minutes before dinner.
•G
ala Dinner: on one night during each cruise, we organize a “Gala Dinner”. This dinner consists
of more courses than the usual dinner, to ensure a lasting “food experience” for our guests.
•D
aily program: a program delivered to the guest’s cabin each evening during dinner, stating the
program of the next day, such as mealtimes / sailing times / special events etc., this program is
delivered by the Housekeeping department.
•L
uggage Pull: on the disembarkation day all crew help to offload the luggage of our guests and
deliver it to the bus or taxi(s) taking them home.
•C
rew Activity: with some charterers the crew organizes an evening of entertainment called
the “Crew Dancing Night”, all of the crew come together and perform in a fun night for our
passengers with showing some talents and dancing.
Alcohol policy
The consumption of alcohol is forbidden during working hours. After working hours consumption
of alcohol is permitted in the crew areas. Each crew member must keep consumption of alcohol
within reasonable limits to remain able to perform their duties during an emergency.
The consumption of alcohol is forbidden within 8 hours before the start of the crew member’s
upcoming shift.
The company may restrict the use of alcohol for a period of time on an individual basis if disregard
to the above stated policy is determined. The company may offer professional help if deemed
necessary.

Beverages for crew
Free filtered water, coffee, tea and milk are available from the mess room or during crew meals in
the restaurant.
C
Changes to personal data
Employees are obliged to immediately notify the HR department of the following changes via the
Crew Portal:
- Changes in civil status (marriage, divorce)
- Changes in contact details (address, email, telephone)
- Changes in number of children (new-born or adopted children)
- Changes in bank details
- Passport / ID change
It is the responsibility of the employee to inform HR of any changes to his/her withholding tax
data in order to ensure the correct tax code is applied to their salary and to avoid any possible

governmental penalty. The Withholding Tax Form is located in the Crew Portal Newsletter
section and once completed or updated needs to be sent on to your HR Crewing Officer for
further action.
Code of Conduct
All employees have the right to fair, polite, and respectful treatment by officers and colleagues.
We will not tolerate discrimination or harassment, due to race, religion, beliefs, nationality, sexual
orientation, handicap, age, or any other relevant criteria. Behavior towards others (colleagues,
managers, guests) should always be friendly and the culture of others should be respected. These
onboard regulations apply to all employees on board all vessels managed by the Scylla Group.
Communication
When on board the chain of command needs to be followed. The first line of communication is
with the head of department and/or hotel manager or captain. Exceptions to the rule is with
personal communication between employee and an official person of trust, or when there is a
valid reason not to follow the chain of command.

Please note that Medical Sick Notes will be passed on to the health insurance company and any
sickness payment will be only approved afterwards. In the event of a long-lasting illness it is
therefore very important that a new doctor’s certificate is provided to extend the sick leave.
Before being allowed to return to work on board Employees are required to ensure they are
indicated as Fit For Duty on their Medical Sick Note.
Crew cabins
Because of the limited space on the vessel, most crew members share a cabin. You get to meet
different people and make new friendships. The key to sharing a cabin with someone is respect,

understanding and cleanliness. Make sure to discuss the daily life routine within your cabin walls
with your roommate. If there is anything to be addressed, please contact your Hotel Manager.
Cabins must always be kept clean and tidy. No crockery, cutlery, glasses, or other articles
intended for guests may be taken into the cabins. Reconfiguring or altering the cabins in any way is
not permitted. Cabins are regularly checked by the captain, hotel manager and head
housekeeper, this will always be done with minimum people. Crew cabins will be checked prior to
crew disembarkation.
Crew Portal
Employees can access and update their personal data, view their contracts, planning, payslips and
receive Newsletters via their Scylla Crew Portal.
Culture
Employees working on board come from many different countries around the world. It is critical
to your success and the success of the company for everyone to get along, working as a team and
accepting cultural and individual differences in an atmosphere of mutual respect to both guests
and crew. It is very important to show common courtesy toward each other. Life on board is a
unique and unforgettable experience. At the beginning you might feel a little lost, but also very
excited. Keep a positive attitude towards all the new impressions and you will soon enjoy your
time on board. Ask for help when you don’t have the necessary information, skills, or time to serve
the guest well yourself. Offer help whenever you can; look out for co-workers who may need the
information, the skills, or the extra help you can offer.
D
Damage to Company Property
Replacement costs or repair costs of company property due to deliberate and malicious damage
by the employee will be deducted from the employee’s salary.

Disciplinary measures
Should employees fail to observe the rules governing behavior and the on-board regulations,
the Scylla Group will take internal disciplinary measures with the aim of drawing the attention of
employees to the undesirable behavior or inadequate performance.
Note that serious misconduct may lead directly to a written warning or even immediate
termination of employment. Employees are informed of the possible consequences of internal
disciplinary actions within one calendar year or season:
1. Verbal Warning (recorded in writing)
2. First Written Warning
3. Second Written Warning with immediate termination of employment
Drugs
The Scylla Group commits to a zero-tolerance policy to use or possession of illegal or controlled
substances onboard all company owned and managed vessels.
In this policy, illegal or controlled substances are those described but not limited to the below:
• Cannabis
• Amphetamine
• Methylamphetamine
• Ecstasy
• Cocaine
• Opiates
• Other substances defined as controlled or illegal by European authorities or other national and/or
international body.
Crew members who violate this policy are subject to immediate dismissal without compensation.
Further to the above, the Scylla Group does not tolerate the misuse of legitimate prescription
drugs, or the use, possession, distribution, or sale of illicit or un-prescribed controlled drugs on
board company managed vessels.

E
Extra duties
You can be assigned to do extra duties as part of your activities on board. These activities will be
assigned by the hotel manager and/or the captain.
F
Free time
It is only allowed for Head of Departments in uniform (on Duty) to remain in the public (guest
areas). Other crew members are requested to use their cabins, the crew mess, or the crew area
on the sundeck. Topless sunbathing is forbidden for all crew members. When the vessel is in port,
crew are allowed to go ashore. All crew members must be back on the vessel 30 minutes prior to
departure. Do not forget to scan your key card when leaving and entering the vessel or register
your departure in the crew book at the reception. Make good use of your time ashore for there
are many fantastic things to be discovered in the many places we dock. Ask your fellow crew who
have been sailing a little longer already for good tips on the sights and sounds!

Holidays
Next to work there is also time for holidays of course, to recharge those batteries, meet friends
and family and loved ones, after which you will return to your vessel with newfound spirit and
motivation. All crew members have according to their contracts a number of free days per month.
These are accumulated over a period of time to match the rotation schedule to ensure that the
vessel is manned correctly at all times.
The rotation schedule is set for each vessel by the Nautical Operation Manager (NOM) for
nautical crew and by the Hotel Operations Manager, Culinary Director and HR Crewing Officer
for hotel crew at the start of the season. If you would like to have holidays in a certain time of
year this can be requested, however we cannot guarantee that all your requests can be fulfilled.
Requests need to be entered into the Vessel Portal by hotel manager (for hotel crew) and captain
(for nautical crew), therefore all requests need to be addressed to Head of Department.
Vacation schedules may change during the season due to various reasons. You can leave the vessel
after 13:00 for your vacation and you must be back before 13:00 after your vacation. For any
exceptions an approval is needed from the hotel manager (hotel crew) or captain (nautical crew).
I
Insurance and invoices related to illness/accidents
CH contracts
SUVA (accident insurance) and Sympany (health insurance) for employees with CH contract.
All invoices related to accidents should be passed on to your HR Crewing Officer for submission
to SUVA.

Reimbursement for these will be made via crew payroll once received from SUVA.
Crew on CH contract are covered by Sympany insurance for sickness. For swift processing of
invoices, download the mobile app. Reimbursement will be done directly to the employee’s
account.
Please consult the newsletter regarding Sympany in your Crew Portal for more details.
CY contracts
Crew on CY contract are covered by Allianz (health and accident insurance). For swift
processing of invoices, download the mobile app. Reimbursement will be done directly to the
em-ployee’s account.
Internet
We understand the need to stay in touch with friends and loved ones when being away from
home for longer periods of time, therefore the Scylla Group will provide employees with 1 GB per
week of data. A personal login code will enable employee to continue to use his/her data, even in
the event of transfer to another vessel.
Please note that usage of internet is strictly limited to certain items such as: Social Media,
WhatsApp and e-mail.It will not be possible and/or allowed to download/stream and use
applications such as (but not limited to) Skype, downloading music or movies.

Key
A key of your cabin will be provided to you when embarking the assigned vessel, this is your
personal key and is not to be shared with other crew members. Certain officers will be provided
with a master key related to their specific working area, use of this key is only allowed to be used
by that officer. Loss of your key/floor card may result in a penalty.
L
Language
The spoken languages onboard in the guest areas are English and/or German and/or the language
of the guests on board. On board language should be used at all times when you are in guest
related areas no matter if guests are present or not as well during the whole service time in the
galley.
Laundry
You are allowed as crew to wash and iron your clothes using the designated “Crew Laundry
Machine” and “Crew Iron Area”, we ask you to do this outside of working times. All uniform
parts are done by the laundry master. Captain, hotel manager and executive chef are allowed to
have their private laundry done for them by the laundry master.

and must therefore always maintain a pleasant behavior away from the vessel.
All employees must be back onboard the vessel at least half an hour before the vessel departs. If
you leave the vessel, you must register your departure in the departures book or scan your key
card at the reception, and similarly, on your return. All employees must be on board by 01:00.
Don’t forget to take your cabin key with you, entrance doors are locked after 23:00. In case the
vessel does not use a key card system, don’t forget to ask for the door code before leaving the
vessel.
M
Meals
Coffee, tea, and milk products are free of charge. All other beverages need to be purchased
ashore. No beverages for personal consumption may be taken from the refrigerators in the
restaurant / bar / kitchen.
Not following these rules will lead to disciplinary measures which can include termination of
employment without notice. Cold rooms and refrigerated areas may only be entered with the
permission of the executive chef, the hotel manager, or the captain.
Mess room
This is the place for you to unwind, relax after work and enjoy a good conversation, watch some
TV, read a book, play a game, or have meals at certain times. The mess room is equipped with
a microwave, dishwasher, cooking area, TV, and other items to make your stay on board more
comfortable. Please treat these items including furniture with respect. Please treat TVs, video and
music equipment with care as other colleagues will also wish to use them.
The mess room is the living room for all employees: please make sure a good atmosphere is
maintained. Please don’t leave anything behind when leaving the mess room. Used crockery,
cutlery and glasses must be placed in the dishwasher.

If the dishwasher contains clean crockery, everyone has an obligation to empty the machine and
tidy away the contents into the cupboards. Please always clean the table. Colleagues must
sometimes also sleep during the day, therefore please keep noise to a minimum. Please turn down
the volume of radio and TVs and close doors quietly. If any of the vessel’s equipment is
deliberately destroyed the cost will be debited to your account.

Nautical talk
Here is a small list of Nautical Terms to give you a heads up about the life on board:
Aft Behind or near the back of the vessel.
Ahead Something in front of the vessel’s bow.
Astern Something behind the vessel.
Bow The front end of the vessel.
Bulkhead A wall or upright position separating a vessel’s compartments.
Chart A nautical map used for navigating the vessel.
Debark To leave a vessel.
Draught The depth of the water needed to float a vessel, the measurement from a
vessel’s waterline to the lowest point of its keel.
Embark To go on board a vessel.
Flagstaff The pole at the stern of the vessel from which the flag of the vessel’s country of
the registry is flown.
Forward Towards or at the front of the vessel.
Galley The vessel’s kitchen.
Hull The framework of the vessel.
Keel The main structural member of the vessel extending along the centre of the bottom:
the lateral area beneath the hull.
Latitude Distance north or south of the equator.

Leeward Toward the side of the vessel that is sheltered from the wind.
Manifest List of the vessel’s passengers and crew.
Midship The middle of the vessel.
Muster To assemble guests and/or crew on the vessel.
Stern The rear of the vessel.
Waterline The line along which the surface of water touches a vessel’s hull.
Windward On the side of the vessel, from which the wind is blowing.
Newsletter
Information from HR will be added to your Crew Portal in the Newsletter section. Here you will
find information about your contract, health insurance, how to upload documents in your Crew
Portal and your contact persons in HR and Operations.
O
Order & cleanliness
As you can imagine in a place where 25/30 plus crew members live together, some rules and
regulations in regard to order and cleanliness have to be installed. In the Mess Room you will find
a cleaning plan stating which department will have “Cleaning Duty” at which time, however each
individual crew member is responsible to clean after him/herself. Of course not only the Mess
Room has to be kept clean. This goes for all crew related areas and for your cabin which will be
checked by hotel manager and captain/head of housekeeping on regular basis.

Pandemic
In case of an outbreak or pandemic the health protocol is leading and overrules this crew ABC or
other protocol.

Personal effects
It is the responsibility of the employee to ensure that no personal effects are left on the vessel
when they disembark for vacation, and that if they do so it is at their risk. The employee is
responsible for the safe keeping of his/her personal effects whilst on board, the Scylla Group is in
no way liable for damage or loss of employee personal belongings.
Definition of mobbing/bullying
Mobbing means systematically to torment, pressurize, exclude, and thus devalue someone in the
workplace over a longer period of time.
Responsibility of managers
Managers are responsible for creating a bullying- and harassment-free working atmosphere in
their area. They must ensure that indications of bullying or sexual harassment are immediately
investigated.
Responsibility of employees
Anyone noticing that others are being bullied or harassed is required to make this directly clear
and to offer support to the persons concerned. Employees are likewise obliged via their personal
behavior to work towards a bullying- and harassment-free atmosphere.
Consequences
The misuse of power in the workplace will have consequences. Depending on the gravity of the
case, these may involve awareness-raising measures, a written warning, a transfer to another job
or even dismissal without notice and criminal proceedings.

Phone
Calls made with vessel’s telephones are only allowed in case of an emergency or for company
related purposes. It is not allowed to carry mobile phones with you at your working place except
for the captain, hotel manager and executive chef.
Public areas
Outside duty hours crew are not permitted to be in the public areas of the vessel such as the bar,
salon, reception, or sundeck (guest area). The reception is not a meeting place for the crew. If
you nevertheless have to be at reception, you may only appear in your official working clothes
and must use one of the official onboard languages i.e., German or English. Sunbathing is only
permitted in appropriate clothing and only on the crew deck. Sunloungers are only for the use of
passengers. Blankets and cushions may not be taken to the sundeck. Neither slippers nor bath
slippers may be worn in the corridors.
R
Radiant Fleet
HR Crewing Software – ensures the safe keeping of your personal data. Your personal
information can be viewed and updated via your Crew Portal. Here you will also be able to view
your contacts, payslips, holiday balances and planning.

Reitsma family
The Scylla Group has been founded in 1973 by the Reitsma Family. Today, the company is still
family-owned by them. The picture underneath shows the Mr. and Mrs. Reitsma Senior in the
middle. They started the company and are still very actively involved with the daily operations.

Reference
At the end of the season each employee may request a reference providing information about his/
her performance and behavior. The employee should contact the hotel manager or captain (if on
board) and HR crewing officer (if shoreside) in this regard.
S
Safety onboard
Employees are obliged to always observe the safety regulations and not to expose themselves,
colleagues, or guests to any unnecessary danger. The machines and devices (kitchen, bar,
restaurant, engine room) are only to be serviced by specialists and all instructions must be
observed. Articles with sharp edges/points must always be carried in such a way as to avoid any
danger to colleagues. Please refer to the captain for further regulations concerning safety on
board.
Security
The security rules and regulations will be explained by the captain and the hotel manager.

Smoking
Generally forbidden:
Smoking is only permitted in the specially marked area on the sundeck assigned by the captain.
Smoking (including e-cigarettes) is forbidden on board, employees should not smoke during the
following period: 30 minutes before the beginning of their shift, until the end of their working
hours. All crew is forbidden to smoke in the presence of guests. This also applies to electronic
cigarettes. Smoking ashore is allowed at least 100m aside from the vessel. The maximum
permitted quantity of tobacco goods brought on board may not be exceeded. Ignoring the
applicable customs regulations will involve disciplinary measures.
Social media
Anytime a crew member participates on social media he/she does so on his/her own behalf.
No social media posts can be posted on behalf of the Scylla Group or another company related to
the Scylla Group. Dishonorable content such as racial, ethnic, sexual, religious and physical/
mental disability slurs are not permitted. Crew members are not allowed to disclose any
information regarding the Scylla Group that is financial, operational and/or legal in nature, as well
as any information that pertains to guests and/or clients /tour operators. This includes pictures of
/ information related to accidents or calamities.
Any improper posting made by any crew member will lead to immediate dismissal and criminal
proceeding.

U
Uniforms/external appearance
Employees (including management) are obliged during working hours to wear uniform, which
must always be clean, ironed and complete. The uniform is provided by the employer.
Employees must pay a deposit for the use of the uniform and this amount is depending on the
position. This deposit will be returned at the end of contract if the uniform is returned cleaned and
intact.
Hotel crew are obliged to buy their shirts/blouses from the uniform supplier. From this moment
they belong to you personally and you can keep them. Uniform deposits will be deducted on
confirmation of receipt. Deposits will be reimbursed at the end of contract, depending on the
condition of the uniform.
The uniform costs for the hotel manager and head of department will be deducted from the first
salary. The first 50% will be reimbursed at the end of the first season and the second 50% after
the second season.

Housekeeping - white shoes

Service crew (bar & restaurant) - during the day polo shirt can be worn with black sneakers
without any visible logos/brand other - at night shirt & vest with black formal shoes
Nautical crew are obliged to buy work shirts, trousers and shoes. Uniform costs for crew will be
deducted from first salary.
Service clothing and personal clothes may be washed free of charge on board.
Each crew member must ensure that they maintain a neat and tidy appearance, including during
their free time. Leisure clothes must always be tidy and clean.
-H
air must always be neat and tidy; only unobtrusive hair colors are permitted; and long hair
must be tied back during working hours.
-B
eards should be clean and well-trimmed.
-L
adies should only wear unobtrusive make-up and light perfume; gentlemen should only wear
unobtrusive aftershave.
- One
pair of unobtrusive earrings are permitted for women; conspicuous piercings are not
permitted. Men may wear one ring on their hands and wear a smart, unobtrusive watch.
-F
ingernails must be clean and well-trimmed. Only natural color varnish is allowed for all (female)
crew members.
- Tattoos should be not visible on the neck or face.
-N
autical personnel and service employees working or serving on sundecks in sunny weather may
only wear caps from the shop on the company’s vessels.
-S
unglasses are not permitted except for nautical crew performing manoeuvres, external works
on the vessel, painting or steering duties.
-C
hewing gum is forbidden during working hours.
ame tags must always be worn on the upper left side of service clothing and be clearly visible.

Nautical crew only need to wear name tags when in uniform. Loss of your name tag may result
in a penalty.

Vessel Portal
Hotel Managers and Captains can access crew data, planning, confirm embarkation and
disembarkation of their crew, receive cash advance requests and request planning changes via
Vessel Portal. Vessel Portal Manuals are located in the Vessel Portal Newsletter tab.
Visitors
When the possibility arises, we recognize the need for you to meet with your family and loved
ones, and you might be interested to show them your “workplace” where they have only heard
about. If you have an opportunity to do so you will need to discuss this first with the hotel mana-
ger. He/she will then inform you about the possibilities. All visitors must register at the reception
(after approval by the hotel manager) upon arrival and wear the visitor badge if applicable.
