• The product your team presented in your assignment #3 pitch deck had a great impact on its
market. A big company in this space wants to hire your group to develop internally the project you
presented as a start-up. However, they imposed one condition: you should be the project managers
and hire external vendors to develop and implement your ideas.
• So, it is time for your group to come up with an RFP to send to some potential vendors.
• Instructions:
• Please read carefully and follow the instructions.
• Your group and Product/project will be the same as assignment 3.
• Each group should elect 1 student who will be the responsible to submit the assignment on behalf
of the group. So, just 1 person can submit the assignment per group.
• Your RFP’s must have the follow this structure:
1. Summary and Background: should provide a high-level description of what the request for
proposal is for and the purpose of the requirement. You should not require details here.
They will be included in subsequent sections of the document.
2. Proposal Guidelines: should provide a description of what each vendor’s proposal should
contain. It should also include a timeline within which all proposals must be submitted. It
is like what steps the vendor must address to answer properly your RFP.
3. Project Purpose and Description: should provide as much detail as possible of the context.
Vendors need the details of exactly what work is asked to be performed and the purpose
of the work. The purpose of the work is important because sometimes vendors may be
able to provide different but more effective solutions.
4. Project Scope: should provide the exact scope of the project. What is expected and what
is not expected?
5. Budget (RFQ): Should provide the cost of the project aligned with the business drivers.
• All submissions should be in .PDF format (no word documents).
• All RFP’s must have a cover page, inspired in the cover page of assignment #3 + all team member’s
name.
• Sections 1, 2 and 3 should have a maximum of 2 pages length each.
• Sections 4 and 5 must be in a table format. These tables must encompass:
o Section 4 (Project Scope):
▪ Table should include 10 and 30 items representing development
requirements/product features.
▪ The table must have 4 columns:
1. Description of Feature: what is needed for this.
2. Vendor Evaluation: vendors to fill their basic answers if their current solutions
meet requirement, meets them partially, don’t meet requirements or they feel
the question is not applicable.
3. Mandatory requirement: your team will state if a given feature is mandatory or
is a plus.
4. Vendor Comments.: Vendors should elaborate on their basic answers.
▪ You Only need to fill columns 1 and 3.
o Section 5 (Budget):
▪ Table should include 1 and 5 items to be priced.
▪ The table must have 4 columns:
1. Cost Driver: team must define cost drivers. (1 per row)
2. Quantity: team should estimate several volumes for each driver
3. Unit: your team put the units to be priced. For instance, per unit, per thousand,
etc. you can also ask for fixed cost (for example for a license per year)
4. Vendor’s Bid: This is where vendors would write their BID in CAD$
Evaluation:
The assignment grade will be distributed as follow:
• Summary and Background 15%
• Proposal Guidelines 15%
• Project Purpose and Description 25%
• Project Scope 25%
• Budget (RFQ) 20%
