Database Project

Abstract
Pharmacy Management system provides extensive roles of admin, the manager, the
pharmacist, and the cashiers. The roles are explained below:
1. The admin has an administrator role and is above the chain of command and
manages the other roles as mentioned.
2. The pharmacist oversees the prescriptions of the customers and give alternate
medicine suggestions.
3. The cashier checks the prescribed medicine and completes the payment process.
The cashier is also responsible for the management of the payments of the
customers.
4. The manager is below the admin and manages the cashier, pharmacist,
prescriptions, the patient, and the invoice. The stocks are also checked by the
manager.
1. Introduction
In general market in the developing countries the pharmacies are mostly manual
and there is no such software that manages the database of their store, and they are all
operating manually, even the pharmacies of the district and large hospitals the pharmacies
are manual or without software, no specific tool for managing, most of them do not know
about their stock, whether it is expiring or getting out of stock, the workers have to check
manually. The project is the solution for the above-mentioned problem.
The software to be developed is the proposed solution for the pharmacies. It will
help them to manage their stocks and customer orders easily and help the to automate
their manual processes. It will also help the patient to keep track of their medicines of he is
going to the specific pharmacist. It will digitize the regular pharmacy business.
We are going to create multiple sized databases and linking them with each other to
increase the functionality of the model. We are hoping to learn the better ERDs for useful
purposes, and to learn programming skills during this project.

2. Proposed System

This is not perfect but has abilities to solve many real-world problems related to the
specific role. Pharmacy Management System proposes the broad role of admin, managers,
pharmacist, and cashiers. Admin manages everything. Pharmacist manages prescriptions
and adds users (patients) and suggests them medicines. Cashier checks prescribed
medicine and issues it against the same patient. Cashier is also liable for the managing of
payments. Manager is the one who manages cashier, pharmacist, prescription and patient
and invoices. He is the one who checks the stocks.

3. Advantages/Benefits of Proposed System

Following are the advantages of the proposed system:

1. Real-world Model
2. Real-world Problem
3. Stocks Tracking
4. Benefit of large sector
5. Patient Tracking
6. Due to this system all work will be transparent
7. Better Design
4. 4 Scope
The planned scope of this project is not very wide but is useful in the areas where
the pharmacies are operating on the manual labor. The admin is the main part of the
project as he is the actual user. He can add more functions to the other user functions. The
patient and the actual user will not be able to use the software. It is developed for a single
business. The main function of the project is to keep record of the stock of the medicines.
Other software keeps track of the business, and the main characteristic of this project is to
keep invoices of the sold medicines.

5. Modules

Following will be the modules of our Pharmacy Management System with their specified
features:

a. Module 1: Admin

Admin is the controller of the main panel. Their information will be saved in the table as
Username, ID, and Password, through which they are able to login to their respective panel.
An admin can manage all users, including managers, cashiers, and pharmacists.

b. Module 2: Cashier

All the tasks that are related with payments will be handled by the cashier. Additionally,
they also perform tasks that are related with handling users or patients and invoices.
Cashier is the main link between a patient and a pharmacist. Keeping tracks of sales and
selling medicine also comes under a cashier.

c. Module 3: Manager

A manager manages all the stocks and keeps a close eye on the total inventory. They also
manage all those who work under him, which are Cashiers and Pharmacists.

d. Module 4: Pharmacist

A pharmacists’ main job is to prescribe the correct medicine to patients and add those in
the software to keep track of all the sales.

6. System Limitations/Constraints

Following are the constraints of the Pharmacy Management System:

1. This system is only limited to the medical field.
2. Patients and other normal users cannot use this software.
3. Stock can only be monitored by the manager.
4. The admin can control everyone and everything regardless of their rank.
5. All managers can view the cashiers and pharmacists, but they cannot remove or add
them.

7. Tools and Technologies

Below are all the mentioned tools and technologies that will be used in the development
process of the Pharmacy management system.
Tools and Technologies for Pharmacy Management System
Tools Version Rationale
Sublime Text 7.7 IDE
MS SQL Workbench 2018 DBMS
Tools XAMPP Server 3.2.2 Localhost
And MS Word 2016 Documentation
Technologies Technology Version Rationale
PHP 7.0 Programming language
HTML 5 Programming language
CSS CSS2.1 Styling
MySQL 5 Query Language

8. Conclusion

Pharmacy Management System offers the wide-ranging role of admin, managers,

pharmacist, and cashiers. It is a real-world model to solve a real-world problem. Medical
field is vast and a main portion of it consist of pharmacies, so it will help them. Not to
include patient’s/user’s activity is main drawback.
