Final Examination

1. Provided that there were technical documents discussed already in the class, please explain
three very important features or characteristics that need to be present in any form of a technical
document. Also, elaborate on how each of these three could be achieved when writing
documents. (20 points)

The following are the very important features or characteristics that a technical document must
have or possess:

 Grammar and Mechanics- These are the elements of a standard language which are a bit
critical matter because it needs knowledge and some procedures or rules to follow.
However, adopting these aspects will lead to well-organized ideas expressed in complete
and coherent sentences and paragraphs, and the readers will easily recognize and
understand the message because they use it regularly. All the technical documents should
avoid creating different interpretations and makes the message difficult to understand
because the message loses its impact. Moreover, these can be achieved by learning the
different rules to follow with regard to the correct grammar and mechanics, considering it
as a part that function on a daily basis, and making it as precepts that necessary for
everyday situations, in everyday life for transparency of meaning and intent. Thus,
applying the grammar and mechanics, the fewer the number of possible different
interpretations for a message wherein the writer considers the objective of the document.

 Clarity and Conciseness- It ensures that the information that we wish to convey is
correctly understood. This plays a vital role for all the technical documents in which
clarity needs to be achieved so that reader or the person who will read the documents will
not be confused or misunderstand the point of the message. The clearness of the idea is
important to support the purpose of write’s statement. Clarity expands connection and
engagement because it increases trust and transparency. On the other hand, conciseness
will provide the essential information in limited words which is more appealing and
comprehensible to the audience as it avoids using excessive and needless words that
wastes the time of the sender and the receiver and in turn limits their productivity. These
can be achieved through planning and exerting an amount of time to conceptualize or put
all the ideas in a one basket in order to identify the things that needs to be included and
which are not, and avoid a mixed up ideas and that will affect the clarity and conciseness
of the technical document. Thus, it will help to accurately interpret and received the
viewpoint of the document which demonstrates the overall thought.

 Completeness- The content of all the technical document must contain all the details in
which offering complete information makes a document more effective and it enhances
and develop a document that gives additional information. Additionally, this must be
checked for a possible omission in detail.to avoid confusions and leaves no questions in
the mind of the receiver of the document or else, this may lead to reiterations, a lot of
back-and-forth, and waste of time and effort. Thus, this can be achieved through
proofreading and editing in which it is a technical skill that are important to be applied
and practiced to add power in the technical document and will help to ensure that all the
necessary or appropriate information has been included.

2. Among the feasibility report, proposal, or progress report, choose one that has the most
function or purpose in your future career. Please comprehensively discuss in what way your
selected technical document could become purposeful in advancing your career or the company
where you will be working. Kindly provide concrete examples to explain your answer further.

Every single company requires different documents, especially when making a financial
transaction. As a future accountant, I will be making a lot of technical documents for the firm
where I will be working but most importantly, the feasibility report is a technical document that
has the vital purpose or function in recommending courses of action to management and useful
for making decisions regarding expansion and financing since it examine and determine the
practicability and viability of a proposal or any business venture. Accountant will always engage
in the world of business, it could be creating a great business idea in which it will look at how a
certain proposal can endure financial risks that may come and helps in recognizing potential cash
flow. For example, when a certain entrepreneur decides to start up a business and ask for an
advice and assistance from an accountant, feasibility report must be written first because without
this feasibility report it will be risky to start a business without having the essential components
that would affect the business later on. Furthermore, a feasibility report is always beneficial
which gives the business a big and clear picture first of the proposed project. In a certain
business company, an accountant would always seek whether or not there will be marketability
of the business they plan to and this strategic study of the marketability of a specific business
will highly depend on the results and recommendations of a feasibility report. Thus, the
feasibility report will give a specific information for a sustainable and optimal path for the
company’s success and to create set of recommendations based on the existing problems so you
could not proceed immediately in recommending without identifying first the different problems
that need to be solved.
