About This The focus of this course is on the fundamental skills and concepts
Course central to the successful use of SOLIDWORKS PDM. You shouldview
the training course manual as a supplement to, not a replacement for,
the system documentation and on-line help. Once you have developed a
good foundation in basic skills, you can refer to the on-line help for
information on less frequently used command options.
The intended audience for this course is a user who will access or
manage files with SOLIDWORKS PDM.
Prerequisites Students attending this course are expected to have the following:

under the guidance of an experienced instructor. It is not intended to be
a self-paced futorial. The examples and case sfudies are designed to be
demonstrated "live" by the instructor.

Access Rights Each user or group ofusers needs rights to access the files in the
SOLIDWORKS PDM file vault. Such rights yield permission to:
r Read or view a file.
r Share a file between folders.
r Check out a file for editing pulposes.
r Delete a file from view.
r Destroy a file, i.e. to permanently remove a file from the
SOLIDWORKS PDM file vault.
r Add or rename a file.
r Modifu af:ire data card, i.e. to alter the layout of the card associated
with a file.
SOLIDWORKS SOLIDWORKS PDM handles all types of files. Examples:
PDM'Smart'Files r Technical drawings (.slddrw, .dwg, etc.)
r Part and assemblies (.sldprt, .sldasm, etc.)
r Calculation sheets (.xls, etc.)
r Text hles (.doc, .txt, etc.)
r Graphic files (.bmp, .gif, jpg, etc.)

Each state can have its own set of user and user group access rights,
defining who may do what with the file at a parlicular state. Each
transition also contains rules of who may change the state of a file.
There must always be at least one state in the workflow: the initial
state. All new files created in or copied into SOLIDWORKS PDM are
assigned this state.

SOLIDwoRKS PDM Concepts
Versions and A file has at least one vcrsion. Each time a file is rlodifled and saled
Revisions into the SOLIDWORKS PDM file vault a neu'version is created.
Every one ofthese versions is assigned a version nutnber. A hle in
SOLIDWORKS PDM can have any number of versions stored in the
fi1e vault. When the editing of a 1-rle is f rnished, the latest version can be
designated a revision that is given an oflicial revision number. You can
retrieve earlier versions of a file fi'oflr the file vault. You can aiso rel,ert
(roll back) to an earlier version of a f-rle.

Preview When the Preview tab is selected, the lower paft of the right pane is
split in two preview sections: file preview and file data cardpreview.
Drag the border between the frames to resize the panes.
The left of the two preview sections contains a preview of the selected
file. You can zoom the frle preview to examine the file in more detail or
to make the text readable. Right-click the preview to access a context-
sensitive menu.

Bill of Materials The Bill of Materials tab displays a preset list of column values
View representing a Bill of Materials for the selected file. Multiple views can
be configured by the system administrator to display different BOMs as
required by the organization.
r SOLIDWORKS BOM:
BOM tables contained in assemblies and drawings. Components
excluded from a SOLIDWORKS BOM will not be listed.
r Named BOM:
Editable BOMs created from computed BOMs or SOLIDWORKS
BOMs. Named BOMs can be checked in and checked out to
maintain revision records using automated workflow processes.
Named BOMs are specific to the version of the assembly or
drawing used to create them. A named BOM can be updated to a
new version of the assembly or drawing.

Add Existing Files In some cases users l.rave files that were created prior to using
SOLIDWORKS PDM or files that were obtained from an outside
source such as a contractor who does not have access to the vault.
To add these llles to the vault, you can drag the files into the specific
vault folder, or you can drag a folder into the vault.
Copy folder.
Open a second Explorer window. Browse the location for the training
documents:

Drag the folder ACME Documents into the ACME vault fblder
Legacy Designs \ PRJ-XXXXXX.

Users can select multiple files or a folder. If a folder is selected, all
documents in the folder eligible for check in are selected.

SOLIDWORKS PDM menu.
Note All changes to a file are solely made in the frle in your local working
folder until you check them into the vault.
When a file is checked in and its data has changed from the latest
version stored in the file vault, a new version ofthe file is created. This
way SOLIDWORKS PDM ensures that all changes to a file are stored
without having the previous version overwritten and destroyed.
Ifnothing
has changed in the version ofthe file stored locally, the
Gomment field is grayed out during check in and the version will not
increment.
Procedure To check your files into the file vault and create a new version:
1. Select the files to be checked in.
2. Right-click the selection and select Check in, or click Actions,
Check in from the SOLIDWORKS PDM menu.
3. Refer to the description in the following table about the check in
columns and make any selections by marking the checkboxes.
4. Enter a comment about the changes made to the file in the
Comment field.
The columns in the Check in dialog box are as follows:
Type Displays the icon of the file being checked in. When hovering over
the icon, a preview ofthe frle is displayed.
File name Name of the file or referenced file. For SOLIDWORKS assemblies,
the list can include drawings, parts, and sub-assemblies, and
SOLIDWORKS Simulation fi les.
Note: The related drawings can be in the current folder or in a folder
elsewhere in the vault. By default, SOLIDWORKS PDM checks the
entire vault for related drawings. The scope ofthe search depends on
administrative settings.

results are:
6 Cyclic reference - The referenced file itselfrefers back to the
parent file and cannot be checked in.
6 File name is not unique - The administrator has configured the
system to disallow duplicate file names, and another file of the same
name already exists in the vault.
s, File not found - The referenced file is not found.
g Local file is modified - The local copy of the referenced file has
been modified.
6 Local version has been overwritten - The local version of the
file has been overwritten.
g Missing data necessary for BOM, needs resaving in
SOLIDWORKS - The intemal data necessary for BOM is either
missing or not updated leading to incorrect BOM entries. To correct
the BOM entries, resave the assembly hle in SOLIDWORKS.
g No local copy - The referenced file is present in the vault but
there is no copy in the local folder.
s Outside SOLIDWORKS PDM - The referenced file is stored in a
location outside the file vault and will not be added as a reference in
SOLIDWORKS PDM for the parent file (the actual reference is still
stored in the physical parent file).
g SOLIDWORKS Drawing is set to use lndependent Revision
table SOLIDWORKS drawing file uses the option for independent
revision tables. This option is not available if revision tables are
enabled in SOLIDWORKS PDM.
6 The file is checked out by another user - The referenced file is
checked out by another user.
6 The file is checked out in another folder The referenced file
is checked out in a different folder.
g The file is checked out on another computer - The referenced
file is checked out on another computer.
q g The file is not rebuilt (Configuration: 'Default') - The

Check in Select to check in the flle. Ifthe checkbox is gray out, the file is not
checked out by you and cannot be checked in.
Keep checked out Select to keep the file checked out after it has been checked in and a
new version with the changes has been made.
Remove local copy Select to remove the local copy of the file from the working folder
(cache) after check in.
Overwrite latest Overwrites the latest version of the file during check in rather than
version creating new versions with each check in.
Local ver. Shows both the local version (cached version) and the latest version
of the file. The local version is written as a hlphen ('-') if the local
file is modifled or not found.
New ver. If the file is a reference, and you have retrieved an earlier version to
the local working folder, you can select which version of the
reference should be attached to the checked in parent file. To change
the version, click # and select from the following:
Use Local Version Attach the version of the reference that is
retrieved to the local working folder.
Use Latest Version - Attach the latest version of the referenced file
Checked out in Shows the computer and folder where a checked out file resides.
Referenced as Shows how the file is referenced by the parent file (by full path,
relative path or only the file name).
State Shows which workflow state the selected version of the file is in.

Versioning Files One of the primary benefits of SOLIDWORKS PDM is the ability to
modif,, files and retain a history ofall file changes. Ifnecessary users
can retrieve older versions offiles.
To modify a file, you check it out for editing and make the changes
with an associated application. To later commit the changes to the file
vault for other users to see, you check it in. Each time a modified file is
checked in, a new version is created, but the filename remains the

Versioning Files
Type Displays the icon of the file being checked in. When hovering over
the icon, a preview of the file is displayed.
Warnings Shows if there arc ary problems checking out the file. The different
wamings are:
? File is checked out by you The file is already checked out by
you.
s File is checked out The file is checked out by the user listed in
the Checked Out By column.
g No check out rights - The file exists but you have no rights to
check out the latest version ofthe file. Contact your system
administrator to obtain sufficient access rights.
g File not found The file cannot be found.
a The file is deleted - The file has been deleted.
& Can't check out: Unsupported file type
A Document in multiple projects The file exists in multiple
folders.
A The file is open in another application
Check out Select to check out the file. Ifthe checkbox is grayed out you cannot
check out the file.
Get Select to retrieve the version (displayed in the Local ver. column) of
the file to your local working folder. If check out is selected, the
latest version of the file is retrieved. If the checkbox is grayed out
you lack rights to retrieve the selected version.
Local ver. Shows both the local version (cached version) and the latest version
of the file. The local version is written as a hyphen ('-') if the local
file is modified or not found.
Checked out by Shows who has the file checked out.
Checked out in Shows the computer and folder where a checked out file resides.
Referenced as Shows how the file is referenced by the parent file (by full path,
relative path or only the file name).
Found in Folder where the file is actually found.
State Shows which workflow state the selected version of the file is in.

File References CAD files typically have references that tie parts to assemblies, parts or
assemblies to drawings, etc. It is sometimes desirable to create refer-
ences (links) between office documents, PDFs, images, etc. Users can

together so that when working on the parent file, its references are dis-
played automatically.

Copying Files with You can copy a parent file with all its references to create a second
References instance unrelated to the original. For example, you can copy a docu-
ment set as the basis for a new document set or an assembly file as the
basis for a new product. Copying a file with references lets you reuse
all the related parts and drawings without having to recreate the data.
To copy files with references:
l. Select the parent file and select Tools, Gopy Tree.
2. In the dialog box, click Browse and navigate to the destination
folder.
3. Select an option for how to copy the files in the Copy Type:
o File. Copies all referenced files to the destination folder.
o Compressed Archive. Copies all referenced files into a
compressed archive stored in the destination folder. The
compression tool specified in the SOLIDWORKS PDM
settings is used. If no compression tool is specified, a
compressed Windows archive is created.

4. To change the names of the copied files, click one of the commands
in the Transform Operations section:
o To add a prefix to file names, click Add prefix and type a
prefix.
r To add a suffix to file names, click Add suffix and tJpe a
suffix.
o To replace strings in file or folder names, click Replace. In
the Replace dialog box, for Find what, type the string to
replace. For Replace with, type the replacement string. To
replace strings in file names, folder names, or both, select
File names, Folders, or both.
o To name files using serial numbers, click Rename with
Serial Number. In the Rename with Serial Number dialog
box, under Serial Number, select a serial number or click
<Do Not Rename>. You can select a different serial number'
for each file type. If a serial number is associated with a file
type in the SOLIDWORKS add-in, that serial number is
selected by default.
Tip You can also right-click files in the file list and select Rename with
Serial Number. If all selected files have the same serial number
defined in the SOLIDWORKS add-in, that serial number is bold and is
hrst in the list.
For all transformations, if you selected one or more flles before
clicking desired transform command, under Apply to, select one of
the following:
o All. Applies the transformation to all copied files.
o Selected only. Applies the transformation only to selected
files.
5. Set the remaining options:
o Preserve relative paths. Keeps the path of references
relative to the copied parent file, creating folder structure as
needed. With Preserve relative paths cleared, the folder
hierarchy is flattened; all referenced files are copied to the
same destination folder as the parent. In the list of referenced
files, see Target path to view the effect ofthis setting.
o Regenerate serial number in cards. If serial numbers are
used in data cards, assigns the next number in the sequence.
For Rename with Serial Number transformations, the same
serial numbers used to name the files are used in the data
cards.

To search for all files of a certain file type, enter the search value using
the wildcard, such as x.pdf. SOLIDWORKS PDM finds all pdf files.
You can search for several file types in the same search by entering
several extensions, separated by space or comma.
You will find the most recently used search values in the Name field
pulldown list. Ifyou select one ofthese search values, you can use it in
the next search without having to re-enter it.
Select lnclude subfolders to also search in all the underlying
subfolders ofthe selected folder.
Select Search in all versions to search through all fiie versions for the
file data card values.
Start Searching After you have defined the search criteria you can execute the search.
To clear the search criteria l, p*pu.utlo, for a new search, click Clear

Searching for It is often important for users to locate files they have checked out to
Checked Out Files themselves. These files should be checked in regularly. To help find
those files, the search engine allows for the checked out criteria to be
searched on.

Note Multiple files can be moved through the workflow at the same time. All
of the files must use transitions with the exact same name, regardless of
source or destination states or the workflow holding the file.
Notifications It is possible to design the workflow so that specified users or groups
receive a notification whenever files reach a certain state. For example,
a project manager may want to be notified when an engineer updates
project files.
It is also possible to subscribe to be notified when an action is
performed on specific files.
Case Study: In this case study, we will change the state of a SOLIDWORKS
Workflow assembiy and its referenced files to submit for approval. we will then
login as a different user and approve the submitted documents.
Notifications will be sent to and received by the specified users.

Gheck Out Files The Gheck Out command creates a writable copy of the latest version
of a file in the working folder of the frle vault. By checking out a file,
SOLIDWORKS PDM ensures that no two users can simultaneously
edit the file.
Note By default the client option Prompt to check out file if opened in
read-only mode is selected. When opening a SOLIDWORKS file you
will be prompted with an option to check out.

Managing Local When a file is retrieved from the SOLIDWORKS PDM file vault, a
Cache copy is placed in the working folder or local cache on the user's local
hard drive. The user should manage the cache accordingly and remove
files from the local cache area when they are no longer required.
Files can only be removed from within the Windows Explorer
interface. Two of the methods for removing files from local cache are:
1. Remove Local Copy. This is an option in the Gheck in dialog.
2. Clear Local Cache. This is a separate command.
Remove Local Select Remove Local Copy in the Check in dialog.

Create Named Users of SOLIDWORKS PDM Professional can save computed BOMs
BOM and SOLIDWORKS BOMs as named BOMs. Create named BOMs to
take a snapshot of the BOM for an assembly or drawing. You can check
in and check out named BOMs, modifl, values, and add items to the
BOM.
For example, you can add items such as glue to a named BOM, even if
you do not include glue in the original SOLIDWORKS assembly.
A named BOM has the same column configuration as the BOM from
which it is derived. A named BOM is treated as a stand-alone docu-
ment. If you update the assembly or the assembly bill of materials
table, you need to update the named BOM to reflect the changes.
You can use named BOMs to save a specific configuration or layout for
an assembly or to save a BOM in a particular format.
Note SOLIDWORKS PDM Standard does not allow the creation of Named
Bills of Materials.

Compare BOM You can compare any of the BOMs listed on the Bill of Materials tab or
you can compare different versions of the same BOM.
After comparing two BOMs, you can open the BOM comparison data
as a .csv file.
When you compare two BOMs, the union of all entries from both
BOMs appears in the BOM comparison. Colors indicate differences
between BOMs.

r Orange indicates different values in a cell. Square brackets show
