Inventory System with Barcode Scanner is one computer application tool that provides an ease
for the business owners because of this system. It helps owners and managers lessen the
workload and susceptibility of error by manual recording of sales and product inventory. The
proposal aims to develop a powerful-tool designed for the improvement of companies in the
Philippines. The system covers the inventory of companies having hardship in its current manual
system. It has user-friendly graphical user interface for easy utilization by the business owners,
managers and staff alike, and an easy to control tools that will help them make transactions a lot
easier and faster. It incorporates a database that will keep track of every individual user’s data
information and progress, and the various media needed for the system. It also has file
maintenance feature that will enable managers to maintain clients' records. In general, this
system offers cutting-edge features that meet the objectives of this study and solve the client’s
issue.

Technology is making its way everywhere these days, and companies are no exception. From
salon inventory system to streamline booking appointments for a more user-friendly experience,
to automatic loyalty programs, there are lots of technology wonders to try if clients want to bring
their salon into the 21st-century. Technology also reduces the business costs. Basic enterprise
software enables a firm to automate back office functions, such as record keeping, accounting
and payroll.
In the field of business, client retention and marketing strategies are not the only important
factors involved in business success. The innovation itself or the utilization of technology also
matters. Traditionally, businessmen use different types of papers, pens and calculators in
performing their task. Such materials and methods are widely used since the past years until now.
As technology progresses, so do these methods. Gadgets such as mobile phones, tablet and the
like are utilized as substitute. Problems occurred in the present generation. New technological
advances on computers and computer products are developed. More groups of companies are
getting to used computers especially the bigger ones. In turn, smaller businesses were left
behind.
Follicles Salon currently uses traditional inventory methods. The traditional methods makes the
business to become less competitive on other businesses salons it really affects their income and
services. When checking the inventory they just simply do physical count and write it on the
paper sheet, it is vulnerable to human error. We all know that people make mistakes however,
when inventory management errors occur it may cost the business significantly in the long run.
In calculating the receptionist calculates the daily income in profit with the use of log book. Sold
products are also written down on the book as well as the stocks of the products. The manual
calculating gives the receptionist a lot of pressure of work and may provoke loss of data. It also
might lead to a confusion of everyday transactions and records. Receptionist also has to
manually calculate and check for the hair, nail and the like colouring materials just to make sure
the store still has stocks, which is quite challenge for them. These are difficult tasks for the
receptionist and it usually takes several hours to accomplish. The customers tend to complain to
the hair dressers whenever they ran out of the materials. In this case, customers would not go
back to avail their services and also look for a better salon.
Checking the records is one of the difficulties they have encountered because it’s hard for to keep
track of paper documents, to find information and to keep details secure. It also takes a lot of
space on the receptionist desk which is hard to find the information needed, and sometimes they
can’t find the records because of the tons of paper. Manual checking also is time consuming not
only do you have to organize and store the files, hunting down the information when it is needed
can take time. It can take anywhere from minutes to hours to hunt down a file, depending on how
well organization is, this can cause annoyance.
Follicles Salon uses the traditional methods in terms of its product encoding inventory. Every
checking of the records it takes about 30 to 45 minutes a day and 6 times a week before the store
opens. There are 8 seats, so there will also be 8 customers served at a certain time. Only one
manager and an assistant handle the sales and records in the entire salon. The manager follows a
standard sales plan provided by the owner. The materials used are also come from what’s
prescribed by the salon.
Aside from that, the hair dressers also rely on the customers’ needs and wants. The services
offered were also display with the help of tarpaulins alongside with its corresponding price.
Books and magazines are also prepared by the hair dressers so the customers will have an idea
on what hair colour, haircut and other services they want to avail. All the process that the
manager and employees do in order to provide a quality service to their beloved customers
requires a lot of expense. If there will be no vacancy, other customers will have to wait for the
others to be served already. To keep on track of records and stocks needed by the salon, the
manager manually lists what materials should be bought and materials that were lacking.
Although the salon came up with great ideas, there are some instances that the materials wanted
by the customers will not be available and in process of buying item they base the price of an
item on paper where the list price of a specific item modify.
The proponents aim to develop a useful system for the Follicles salon which will attend data loss
problem and transaction issues. Salon Services with Inventory System promotes faster
transactions and allows the manager control every single transactions being done inside the
salon. That's why the proponents come up with the creation of a Salon Services with Inventory
System. The system notifies the user if the sold products are already below the minimum
amount.
Specific objectives
To create an inventory module that will keep track on the inventory of the products. The
sold products are deducted from the stored items in the inventory system while products
that were lacking will still be monitored.
To create a service module that will automatically calculate and display a bill based on
what products the clients have purchased and the services they acquired. This provides
faster transactions and promotes good record keeping.
To create a login module that will secure all the data files held in the system and prevent
unauthorized access. The security module restricts unauthorized users from gaining
access into the system.
To create a module that will view or highlights of the available services offered such as
hair colouring, haircuts, nail arts, and the like services.
The Salon Services with Inventory System for Follicles Salon will help the Management lessen
their work load and provide them an interesting way of managing products that would lead to
lesser error vulnerabilities and reduced product overstock. And it comes with an easy to
manipulate interface.
The system first includes a Login or Security Module. It was implemented for the purpose of
securing the data from the unauthorized user inside the system. Staffs cannot access the system
to ensure system integrity. The Administrator has the most access in the system. The
Management may access most of the features in the system like the Administrator, and also have
the ability to manipulate the user information in the database.
The system includes a Services Management module for the calculations cost of the sold
products and clients' acquired services. It highlights different services offered by the salon such
as hair colouring, haircut, nail arts and the like services.
The software includes Sales module where the manager can monitor all the daily income reports
and compare them from the other week for progress monitoring.
Lastly, the system includes Inventory Management module where it can help the Salon track
individual items from purchase to sale, thus maintaining control of the company’s stock at all
times.
Limitations
The system is dedicated to Follicles salon only and does not include client reservation and credit
card payments. Lastly, the employee, marketing records and payroll system are not included in
the proposed system of the researchers for the company.
Foreign Literature:
As defined by Carolina Barcode Inc. (2013), a Point-of-Sale system is a computer software and
hardware networked together to track sales and inventory as they occur. Point-of-Sale systems will
solve a multitude of problems in your business. It is one of the focal points of any retail or
hospitality business in the cash register. The ability to process transactions and tender cash are
essential to the efficient operation of the enterprise. If you have a lot of cash transactions, replacing
the cash registers with a Point-Of-Sale (POS) system save you money. In an early age when most of
the company are still using the manual system in the sales and inventory, most of the company
encountered so many problems and this is because of the process of the existing system is too slow
and too long.
According to Kaye Morris, manual inventory management system can help sales and production
managers control costs by identifying lost sales due to inventory shortages; inventory overrides on
products that are not selling; losses due to employee’s theft or damage. Implementing an inventory
management system can take a large amount of time depending on the size and diversity of
inventory.
According to the thesis of Carlo Magno “There was a ground swell to move from paper signature
and documents because the task of record management was huge. We had file cabinets full of
backup materials. By converting from manual process, we would be able to eliminate a lot of paper.
We could go further with the automation of manual process and remove manual paperwork if
people trusted the technology. Point-of-sale systems have replaced traditional cash registers, largely
for functionality reasons. POS systems, as they are sometimes called, are relatively easy to use and
help provide valuable data for important decision makers. In order to keep up with the record-
keeping needs of small and mid-sized businesses, a good point-of-sale system is necessary. Web-
based point-of-sale systems are preferred over software- based pos systems because they are easily
upgradeable, and feature access from multiple computers.
According to Gemma Navarro (2013) Computer is general purpose device which can be
programmed to carry out a finite set arithmetic or local operation. Computer has a big rule in our
nation today because of our technology. Wherever you go computer still exist, especially in business
it makes the procedure easy and secure by programming the manual system into a computerizing
system. The rule of technology in our life today has a big impact.
According to J.De Leon and M. Ferrer under the Koread Red Ginseng Enterprise Sales and
Inventory System, the researchers came up with a computerized sales and inventory system. The
proponents used database to easy access of files and for easier and faster processing of the selling
and inventory transaction. The program was designated to generate reports such as monthly reports,
inventory reports, sales invoice and list of items.
Our study relates on the researchers because we want a automated system that will replace the
manual to take control of the management. It has the capable of handling records efficiently and
also helps the sales control costs by identifying lost sales due to inventory shortages; inventory
overrides on products that are not selling. POS System is also good in checking for any obsolete or
out of date stock that needs to be disposed. If you are still counting your inventory manually on the
shelves or in the warehouse, you should think twice about your method, for there are many
advantages in using a POS System. One advantage of a POS System is its ability to help your
business achieve detailed real-time stock level information. In addition, public holidays and major
sporting events.
The researchers made a relative comparison of the systems to the content of our literature reviews.
Based on our research, we will create and adopt some ideas that are based on the review we have
gathered as it will help us improve the system we will be creating. Companies are using Inventory
System for their success and growth. Inventory Systems have a variety of function purposes in
businesses. Promoting the sales and shrinkage control are two main function of Inventory System.
Promoting the Sales function deals with availability of sufficient products for the costumers where
as shrink age control, function deals with monitoring the occurrence of damage loss. or theft, etc, of
the product.
According to "Fishbowl" an ideal inventory system solution for many types of businesses an
Inventory management is the ongoing process of moving parts and products into and out of a
company’s location. Companies manage their inventory on a daily basis as they place new orders
for products and ship orders out to customers. It’s important that business leaders gain a firm grasp
of everything involved in the inventory control process. That way, they can figure out creative ways
to solve inventory challenges by finding the right solutions.
The Salon Services with Inventory System will help and benefit the Follicles Salon to improve their
Service and make their task more easy more accurate and reliable in the business and let them more
competitive and innovative in transactions and services than other salon.
Follicles Salon uses traditional inventory methods which gives disadvantages to the salon. So our
solution is to develop automated system which calculates the sales report and products. It transacts
faster compare to the traditional and gives the control to the manager in every single transaction has
been done inside the salon. This system provides security module to secure all the data fields and
prevent unauthorized access. The Management may access most of the features in the system like
the Administrator
Different methods were used to attain the objectives of the study. The proponent made use of the
descriptive research method where the library research method and research survey falls under this
category, and creative type of research. To gather necessary data, the proponent made used of the
data gathering techniques such as observation and interview. The data gathering instruments used
was observation, and interview guide.

Data Flow Diagram (DFD)
A data flow diagram (DFD) illustrates how data is processed by a system in terms of inputs and
outputs. As its name indicates its focus is on the flow of information, where data comes from, where
it goes and how it gets stored. Data flow diagrams became popular in the 1970s in software
development. They were first described in a classic text about Structured Design written by Larry
Constantine and Ed Yourdon

Waterfall Model is a sequential model that divides software development into different phases. Each
phase is designed for performing specific activity during SDLC phase. It was introduced in 1970 by
Winston Royce.
The waterfall Model illustrates the software development process in a linear sequential flow. This
means that any phase in the development process begins only if the previous phase is complete. In
this waterfall model, the phases do not overlap.
Design Phase - the phase looks at how the system will built and how it will operate by the client.
The design phase was from the requirement specification which were studied in the first phase or
requirements Phase
Verification Phase - this phase will ensure that the project is meeting the expectation of the
customer or client. By verifying the project, it can also find out if there are any flaw or errors in
the system.
Maintenance Phase - the client are now using the developed system. As problems are found
because of the improper requirements or other mistakes in the design process, or due to the
changes of the user's requirements, there must be changes in the system in the maintenance
phase.
Throughout the course of the research, the proponents analyzed different factors in proving the
capabilities of the system. The modules that make up the entire system are capable of visually and
aurally relaying the inventory to the users. During our gathering information phase, we noticed that
there are some instances that a monitoring of equipments use in manual system is not efficient. Too
much papers works is also a problem in using the manual system. Follicles Salon is still using the
manual management system. Their manual transaction can’t include receipt and they just noted it
in a notebook or record book. The system study involves the development of management system
for Follicles Salon. The system will be use for daily transaction of the salon. It will also be use for
the reports of sales, client records, equipment and product information for the employees. This
system will help the salon to have an organized management system. Their records will be easy to
retrieve and it will avoid the possible loss of records. Their transaction to their customer will be
accurate and also help in monitoring their equipments and sale report. The Follicles Salon will
benefit from this study. It will make his work easier. The Salon manager can manage the salon in a
better way. The day to day activities in Follicels Salon will perform conveniently.
In the entirety of the course of activities, the proponents have successfully defined and analyzed the
current and existing problems; set goals and objectives based on the stated problems; devised
several theories for the formulation of the system’s framework; engineered the system; and
conducted experiments and analyzed the results. The developers studied and analyzed every aspect
and every instance of possible problems that will occur in a business company such as the Follicles
Salon. As it is clearly seen that the system provided an ease to an established salon in Philippines, it
is highly recommended for the like companies to have a system such as what the developers have
made. It will not only provide faster handling of transactions, but will also attend the problem with
inventory mismanagement. As an overall result, companies who may have used such a powerful
tool will now at last experience an innovative change for the company itself.
