Chapter 1

INTRODUCTION

In our society technology is the most important advancement a necessity in bringing about progress as we

move along in this computerized world. Nowadays, using computers in companies and other establishments in

transacting with their clients is a big factor. Some of the companies are still using the manual process in running

business. By using the manual way, it consumes more time and energy and susceptible to errors in finishing work.

So, companies now are making system to be computerized because in this way it can minimize time and efforts

consumed by using manual system. One way to save time and effort is to start using POS and Inventory System.

A sale refers to the exchange of product or services for an amount total of money or its equivalent while

making Inventory in a business is a total amount of goods and the act counting them. Inventory is merchandise

in- stock and on hand, also known as stock. Inventory is basically the total amount of goods and materials held in

stock by a factory, store and other business. In its simplest sense, it can be done manually by counting at the end

of each day.

In this way, it is possible to keep a record of the goods coming in to the business and goods being sold, a

company owner must know the precise number of items in their storage areas in order to place orders and control

losses. Computerizing both POS and Inventory System will make an easier and faster transaction with the

customers as well as monitoring the stocks of the products.

COMPANY BACKGROUND

The Chitangs General Merchandise Store began its operation on its early year of 1946. The owners, Lola

Consolacion Rotonda De Jesus and Lolo Jose De Jesus named their store Chitangs after their daughter Felicia

Chitang De Jesus Cruz. The store was selling general merchandise to begin with but with little variety compared

as of now. The store was destroyed by a fire but has been restored back with the help of the war claims from

World War II and it continued to prosper until today, serving clients with their needs in the City Proper of Antipolo

City. Lola Chitang passed the family business to her daughter who is the current owner, Mrs. Jennifer Navarro.

OVERVIEW OF EXISTING SYSTEM

The Chitangs General Merchandise Store has been operating since World War II, which means they have the

upper hand when it comes to experience and are more accustomed to serving the customer needs but they also havent

moved from their old ways of manual inventory process. At present, the owner has no computerized stock control system

in place. They keep track of the numbers of their goods by simply counting whats in the storage, every time the owner

observes that theyre running low on certain supplies they would just call for their supplier to replenish the stocks.

STATEMENT OF THE PROBLEM

General Problem

How to improve the manual inventory system of Chitangs General Merchandise Store

Specific Problem

1. How to save time when monitoring the availability of a product in the inventory?

2. How to solve the problem of faulty computations when using the manual method?

3. How can the inventory management be made easier for the admin?

4. How to ascertain the time to order for more goods?

OBJECTIVES OF THE STUDY

General Objective

To design a Computerized Sales and Inventory Management System for Chitangs General

Merchandise Store

Specific Objective

1. To design a system that will shorten the time needed to monitor the availability of a product in

the inventory.

2. To provide a system that can compute and store data or transactions much secure than that of a

manual process.

3. To create a system that can be used and accessed easily by the authorized user.

4. To develop a system that can best ascertain the time to replenish the stock of goods.

SCOPE AND LIMITATION

Scope

Geographical

a. The project was confined to the business of Chitangs General Merchandise Store.

Inventory Management

a. Register product categories, products within the categories.

b. Control stock by automatically deducting items at the time of selling and showing the

remaining stock

c. Generate reports such as availability of stocks

System Account Management

a. Registration of system users and assigning usernames and passwords

b. Assigning the users privileges according to the different roles they would perform within the

system.

Operational

a. The main concern of the proponents is to ensure operational feasibility of the system. In this

regard, they assume that the system is operationally feasible. Another thing, regarding its

practical application, they guarantee that the system can easily be understood by the user

owing to the understandable language as provided for by the system help messages.

Limitation

Can only use by the company itself

Only an authorized person can access and update the system

The system is intended for inventory use only

The system does not include solving hardware problems and malfunctions

SIGNIFICANCE OF THE STUDY

This study is beneficial to the following:

Chitangs General Merchandise. The designed Sale and Inventory System would create a positive

impression towards the owner and staffs, to adopt technology advancement to improve their current

system.

Owner and Staff. The system could lessen the difficulties in managing the inventory count. This would

also help in saving time in doing inventory count because of the sale and inventory system that can

search and update quickly.

Customers. The system could lessen inconvenience to customers when they make a purchase. It would

be easily known if the certain item they want to buy is still available or how many stocks are still

available.

Students. This study can enhance their skills and knowledge in advance technology by developing a

system, and become more aware of the existence and benefits of new technology.

Future Researchers. This study would serve as a guide in the area of Sale and Inventory System and in

the conduct of a similar study.
