What is Seclore?
Seclore Rights Management is a simple software that can be used to secure confidential
documents and emails. You can protect Excel spreadsheets, Word documents, PDF
documents, and even AutoCAD drawings. The document recipients can do only what you
allow them to do. This ensures that your information is not misused or leaked to
unauthorized parties.
Seclore Rights Management allows you to track activities on your document too. You can also
restrict or modify access even after the document is shared.
Document Permissions
You can specify various permissions on the document. document permissions fall under four
basic categories:
Real-time Tracking and Audits: All activities performed on documents are tracked
and reported. Email alerts are also sent to document owners about activities performed
on their documents.
How it Works
Using Seclore is simple: any document can be protected and then shared with others using
any means. All activities performed on the document will be tracked. Unauthorized users will
not be able to open it at all.
2. You share the document to the designated recipients using any medium: email, USB
drive, network folders etc.
4. If someone leaks the document - accidentally or maliciously - nobody apart from the
authorized users would be able to open it.
5. Even those authorized users cannot misuse the information. For example, a user
may be able to view, edit, and save the document; but printing and taking screen
captures would be blocked.
The Seclore Rights Management system has two major components: the Policy Server and a
local agent. You need a Seclore agent installed on your device to protect and access
documents in your native application: Microsoft Office, Adobe Reader etc. If you do not wish
to install an agent, you can also access protected documents online using Seclore Lite Online.
The Policy Server is a centralized repository containing details about protected documents,
their access rights, usage logs, and other related information. It may be deployed in your own
corporate network or on a cloud network accessed via the internet.
You can access the Policy Server by logging in to the Policy Server portal in your browser.
Contact your local administrator for your Policy Server portal URL.
Seclore Agents
Different Seclore agents and their supported platforms are summarized in the table below.
Only the Seclore Desktop Client requires administrative privileges to install.

Protecting on Windows
This section explains how to protect a document on Windows computers. You must have the
Seclore Desktop Client or Seclore Lite for Windows installed.
You can define the document's classification and assign permissions in this window.
Permissions
To add recipients, start typing the name of the desired recipient and select the user from the
drop-down list.
Press Enter to select the highlighted recipient. You can add multiple recipients with similar
permissions in the same text box.
Click Add recipients with different permissions to add another set of recipients with
different permissions.
For new (unregistered) users, type the entire email ID in the box and press Enter. They will be
registered automatically when the document is protected. They can access the document
online (without setting a password) or locally by downloading the Seclore agent. See Opening
Documents Online.
You can also add policies to the document from the Policies tab. Policies are predefined sets
of users and permissions which can be used frequently. Contact your administrator to create
policies.
Click Protect when done. There is no change in the document name, extension, or format
after protection.
This document can now travel anywhere in the world - but the information inside it will remain
secure and confidential. Only authorized users will be able to perform authorized activities on
it.
All copies of a protected document are also protected with the same set permissions as the
original one.
To protect multiple documents at once, select all the desired documents, right click on any
one of them, and click Seclore It! Follow the same procedure described above. All the
selected documents will get protected with the same classification and permissions.
You can also protect all documents within a folder. Right click on the folder and click Seclore
It!
Protecting on Mac
To protect documents on your Mac, you need to install Seclore Lite for Mac. It can be installed
without administrative privileges.
To protect a document on your Mac, right click on it and select Services > Seclore It!
The rest of the procedure is the same as that for Windows. See Protecting Documents on
Windows.
The Hot Folder is pre-configured with document permissions and a File Owner. These
permissions are applied on every document protected with this Hot Folder.
The document will now remain protected even when it is copied or moved out of the Hot
Folder.
No Seclore software is required to protect documents with this method. However, Seclore
agents are still required to access and work on protected documents. See Accessing
Protected Documents for more details.
Protecting Emails
You can protect your email body and attachments directly from within Outlook and Outlook
on the web.
Outlook
When a Seclore agent is installed, a new Email Protector section will be added to the
Outlook ribbon. Click Seclore It! to view protection options.
Click the desired permission group to assign to the email recipients: Read, Edit, Print, or Full
Control.
Note that if you reply to a protected email and save it in the drafts folder, then you need to
click Seclore It! again for the reply to go protected.
Outlook search is not supported for emails with protected email bodies.
Click the Seclore 'S' icon at the bottom right of the compose window, drag-and-drop
attachments to the add-in section (to the right), and click Seclore and Send. Attachments
dragged to the main Outlook window will not be protected. You may be asked to log in.
Note that, unlike Outlook, the email body cannot be protected in Outlook for the web.
Files uploaded directly to the Outlook compose section – and not to the Seclore plugin - will be
sent without protection. Only files uploaded to the Seclore plugin pane to the right will be
protected.
Sending the email from the Send button of the Outlook compose window will send only those
attachments that have been explicitly dragged/uploaded to the Outlook compose window.
Files uploaded to the Seclore add-in section will not be sent.
The table below explains the permissions available in the Seclore Email Protector:

If you send an email to a new user, he/she will be registered automatically. Registration is
required to open protected documents.
If at least one of the recipients is an external user, the protected attachments are "wrapped"
in HTML format. The html extension is appended to such attachments i.e. Proposal.docx will
become Proposal.docx.html.
This is to enable external users (who may not have an agent installed) to open the document
directly in their browsers. When they double click on the document, the following page will be
displayed in the browser.
After clicking Open it now!, the following page will be displayed. Users can enter their email
ID on this page and click Proceed. A security code will be sent to their email ID for
verification.
After they enter the security code and verify their email ID, the document will open directly in
their browser. See Accessing Documents Online for more details.
For users with a Seclore agent installed (generally the case with internal users), there is no
change in user experience. As soon as the HTML attachment is downloaded to the computer,
it will behave like a normal document of the original extension. The html extension will not be
displayed at all. Thus, internal users will always see Proposal.docx once they download the
attachment.
Users who have a Seclore agent installed can also double click on the attachment directly
from Outlook to open it in the native application.
If you check 'Protect Body' in the Outlook ribbon, the content of the email body will be
transferred to a secure email file (with extension smail) that can only be opened by Seclore's
Secure Email Viewer. This smail document is also "wrapped" in HTML format as explained
above for ease of use.
The recipients can simply double click on the smail attachment in Outlook, enter their
credentials in the browser page that will open (unregistered users would need to verify their
email address), and view the email body in Seclore Secure Email Viewer.
Recipients not using Outlook can download the smail file and then double click on it.
Tracking Emails
To track your protected emails and attachments, go to the email in your Sent Items folder
and click Track.
A list of all activities performed on your emial body and attachment will be displayed.
Click View more in browser at the bottom to go to the Seclore portal and view more
details.
A list of people with access to the email will be displayed. Select the desired user(s) and
click Revoke.
The selected user(s) will no longer have access to the email or its attachments.
Documents downloaded from an application such as SharePoint or IBM ECM can be protected
automatically upon download.
For example, if the Seclore connector for Microsoft SharePoint has been installed on your
SharePoint server, individual SharePoint Document Libraries, Picture Libraries, Custom Lists,
or Communities can be configured for protection. All documents downloaded from such lists
will be protected just before they are downloaded. Thus, documents would be downloaded
from SharePoint in protected form only. This drastically reduces the chances of information
leakage to unauthorized parties.
Moreover, the downloaded document will have the same permissions as it had inside
SharePoint.
Every time you access the protected document, it will open with real-time permissions fetched
from the integrating application (in this case, SharePoint). Hence, if you no longer have access
to the SharePoint library the document was downloaded from, you will not be able to access
the downloaded document too.
Requesting Access
How to request access to a protected document from the Owner.
Requesting Access
if you have a Seclore agent installed and open a protected document you don't have access
to, you will be prompted to request access to it. Click Request access in the message that
appears. You can also enter a reason (optional) in the text box.
Access requests go to the File Owner and up to 10 users with the Share permission on the
document.
Close the document and open it again to access it. You will be prompted to set your
password. Your email ID will be your username.
You will receive the Read permission on the document. If you need further access (editing,
printing etc.), contact the File Owner.
This section applies when you do not have any Seclore agent installed on your computer. The
procedure for Windows and Mac is similar.
Protected Documents
You will see the following generic template within the rendering application (e.g. Word, Excel,
Adobe Reader) when you open a protected document without any Seclore agent
installed. You may see your company logo in this template. The actual contents of the
document are encrypted and hidden behind this buffer content.
Click on the link inside the document and then close it. The Seclore Start page (see below) will
appear in the browser. On iOS and Android devices, you will be directed to the iTunes App
Store and the Google Play Store respectively.
Click View in your browser to view the document online in the browser. Click View on your
device to download the Seclore agent and view the document locally.
Requesting Access
If you choose to view the document in your browser, you will be asked to enter your email ID
or log in using Google. If you opted to download the agent, this page will be displayed
immediately after you run the Seclore setup.
Enter your email ID and click Proceed. Click Continue with Google to sign in with your
Google ID.
You will be asked to verify your email ID. Enter the received security code and click Proceed.
The Request Access screen will be displayed. Click Request access to request access to the
document. You can also enter a reason (optional) in the text box.
You will receive an email notification when the File Owner approves your request.
You can now open the document by dragging and dropping it into the View in your
browser section on the page you visited earlier:
"HTML-wrapped" documents will open in the browser when you double click on them. Follow
the steps shown above to request access.
To request access to protected emails, click Request Access as shown below. This option will
appear only if you have a Seclore agent installed.
This option applies only to the protected email body. To request access to the attachments,
download them on your computer, open them, and click Request Access as shown above.

Approve Access
If a user receives a protected document owned by you (or a document on which you have the
Share permission), they may request you for access to it.
In such cases, you will receive an email like the one shown below.
To approve the request, click Approve. You may be asked to log in.
The user will receive the 'Read' permission on the document and will not be able to edit or
print it. You can undo your decision within 30 seconds:
If you wish to assign additional permissions to the user (apart from Read), such as Edit and
Print, click View File Permissions.
Decline Access
If you wish to deny the request, simply ignore the email. The user will not receive any
notification and will not be able to open the document. Note that other users with the Share
permission may have approved the request.
Windows
Protected documents can be opened in Windows using either Seclore Lite for Windows or the
Seclore Desktop Client.
Open the desired protected document. You will see the message below with your company
logo and a link:
Click the link to proceed. The following page will open in the browser.
Click on the download icon under View on your device to download the Seclore agent. You
can install it without administrative privileges.
You can now open the document if the protector (Owner) has given you access (see
Protecting Documents on Windows).
If you are not registered or do not have access, you can request access from the File Owner
(see Requesting Access).
You can also open the document online. Upload the document in the box below View in your
browser and the document will open after you verify your email ID. See Opening Documents
Online for more details.
A helpful permission widget will appear at the bottom right listing protection details. Click on
the S icon to view the File Owner and your document permissions.
PDF Annotation
PDF documents can be annotated in Seclore Lite for Windows and saved - if you have the Edit
permission on them.
Supported Formats
You can also install the Seclore Desktop Client, which requires administrative access to install.
This agent supports all formats, including rare formats such as AutoCAD and SOLIDWORKS
documents.
Offline Access
Accessing a protected document offline requires the Offline permission on the document.
This is part of the 'Read' permission group by default.
You may receive protected documents in HTML format via a protected email (see Protecting
Emails).
If you do not have the agent installed, double click on the document and follow the
instructions on the screen. See Opening Documents Online for details.
If you have the agent installed, download the HTML document and double click on it - it will
open in the native application directly. If you are using Outlook, you can also open it by double
clicking the attachment as shown below.
Mac
You can open protected documents on your Mac by installing Seclore Lite for Mac.
Administrative privileges are not required to install it.
Note: After installation, you will be prompted to select SecloreLite.app as the default browser.
Choose Seclore if you wish to open protected "wrapped" HTML documents. See the
section Opening HTML Documents below for more details.
Microsoft Office documents will open in Microsoft Office 2016 for Mac. Other documents will
open in Seclore Lite.
When you open a protected document for the first time, you will be prompted for your
username and password. Once you log in, you won't need to log in again for a very long time.
A helpful permission widget will appear at the bottom right listing protection details. Click on
the S icon to view the File Owner and your document permissions.
Supported Formats
You may receive protected documents via the Seclore Email Protector in HTML format.
Download the HTML document and double click on it. If you have a Seclore agent installed,
you will not see the html extension. You will see the document as a normal document of the
original extension (docx in the above example). Simply double click on it as usual to open it.
If you do not wish to install the agent, you can also view an html document online. Simply
double click on the html document and follow the instructions. See Opening Documents
Online for more details.
If you do not have Seclore Lite for Mac installed, the following message will be displayed inside
Click on the link and follow the steps in Opening Documents on Windows. If you receive an
HTML "wrapped" file, simply double click on it and follow the instructions. See Accessing
Documents Online for more details.
iOS
Installing Seclore Lite for iOS
Click here to download Seclore Lite for iOS or simply search for 'Seclore' in the app store.
You can also open any protected document and click on the link inside it.
You will redirected to the Seclore app page on the iOS App Store shown above.
In the displayed template, tap the 'Open With' button in the top right corner and select
Seclore Lite. If prompted, enter your login credentials on the next screen.
The document will be displayed with a watermark containing the username and the current
date and time:
A list of recently opened documents will be available in the app. You can open previous
documents directly from the list.
Formats Supported
Offline Access
Offline access is not supported. You have to be connected to the Policy Server every time you
open a protected document.
Android
To view a protected document on your Android device, you need Seclore Lite for Android.
Click here to install it.
OR
You can also open any protected document and click on the link inside it to go to the same
page.
Select Open with Seclore Lite as shown below and enter your username and password.
Once you log in, you won't need to log in again for a very long time.
A list of recently opened documents will be available in the app. You can open documents
directly from this list.
Supported Formats
Offline Access
Offline access is not supported. You have to be connected to the Policy Server every time you
open a protected document.
Online
You may receive a protected document in which the html extension is appended to the
original document name i.e. Proposal.docx has been changed to Proposal.docx.html.
Such documents can be opened directly in the browser without installing any local software.
Double click on the HTML document. The following message will be displayed in your
browser.
Click Open it now! Enter your email ID on the next screen and click Proceed. A security code
will be sent to your email ID for verification. Enter the security code on the next page.
Once your email ID has been verified, the document will open in the browser.
Click Open this document on your device at the top right corner to download the Seclore
agent. Click the blue download button at the bottom right to download the document after
you are done editing (if you have Edit permissions).
If you do not have the Edit permission on the document, you will still be able to perform basic
operations such as content search, and sorting and filtering (for Excel documents).
In order to view a protected document from the Seclore portal, you need to know the URL of
the server that the document was protected with. If you do not know this, contact the File
Owner.
To view a document using Seclore Lite Online, follow the steps given below.
1. Log in to your Policy Server portal.
3. Drag the protected document to the screen and drop it anywhere inside the dotted line
as shown below. You can also upload the document manually by clicking Select File.
You may be asked to choose your encoding when opening a txt document:
If your organization has deployed only the Seclore Lite Online Viewer and not the Editor, or if
your browser is not supported by the Editor, all supported documents will open in the Viewer
only.

Emails ‐ Outlook
Accessing Email Content - With Seclore Agent
If you have a Seclore agent installed, the content of the protected email body appears within
Outlook itself. Additionally, a watermark appears if you are using Seclore Lite for Windows.
You can reply to this protected email from Outlook itself. If you want the reply to also be
protected, click Seclore It! in the toolbar before clicking Send.
To access attachments, double click on them within Outlook or download them on your
computer and open them as usual.
The content of the protected email body will be transferred to a secure email file (with
extension smail) that can only be opened by Seclore's Secure Email Viewer.
This smail document is also "wrapped" in HTML format as explained above for ease of use.

credentials in the browser page that will open (unregistered users would need to verify their

Requesting Access
If you wish to request access to an email, simply click Request Access in the yellow toolbar
above the email content. This bar will appear only if you have a Seclore agent installed.
You will receive an email notification when the Owner (sender) approves your request.
Note that this request applies only to the email body and not the attachments. To request
access to the protected attachments, download them, open them as usual to view the
Request Access prompt. See Requesting Document Access for more details.
To preserve data security and integrity, certain features of Excel documents may not work as
expected. This section contains a list of expected behaviors for Seclore Lite for Windows and
Seclore Desktop Client.

Excel Shortcuts
Microsoft has discontinued support for Office 2003. For the Seclore Desktop Client, some
shortcuts from Excel 2003 may not be supported. However, newer shortcuts of the same
functionality (see table below) will continue to work as normal. Seclore Lite for Windows
supports both shortcuts.
Activity Alerts
You will receive email alerts for activities performed on your documents.
Activity Alerts
You will receive two types of email notifications for activities performed on your protected
documents:
Alerts on Unauthorized Activities: An instant email alert for any unauthorized
activity
Daily Digests: A daily digest summarizing the day's activities on all your documents
You will get an email alert instantly for every unauthorized activity performed on your
documents. The email looks like this:
You can also change the permissions on the document by clicking on the link in the email.
To see all activities performed on the document, click on the document name.
A daily email will also be sent to you summarizing the day's activities on all your
documents. Unauthorized activities will be shown first.
Note that the Email Activity Alerts feature works only for documents protected manually on
Windows and Mac - and not for documents protected with a Hot Folder or by downloading
from an application.
You can view all activities performed on your documents from the Policy Server portal.
Click Activities and use the options on the left pane to search for the activities of your
choice.
If you are the File Owner, the window shown below will be displayed.
This section explains how to manage and track your protected documents and user activities.
It covers the following topics.
Unprotecting Documents
How to unprotect a protected document.
Revoking Access
How to revoke access of a particular user or group to one or more documents.
Right click on any protected document and click on Track and Manage.
Different screens are displayed depending on whether you are the Owner, an authorized user,
or an unauthorized user.
For File Owners, document details and a summary of activities are displayed.
Click View Permissions to view the permitted users and their permissions on the document.
Click More Details to open more details about the document and the activities in your
browser.
For authorized users with the Share permission, a View Permissions button is additionally
displayed to view or change permissions.
For unauthorized users, a Request access button is displayed to request access directly
from the Owner.
Unprotecting Documents
Unprotecting a protected document removes all Seclore protection from it. You can
unprotect a document if:

To unprotect a document, right click on the document and select Advanced >
Unprotect. This feature is available for both Windows and Mac.
If you try to unprotect a document and you are not the file owner or an authorized user with
the Full Control right, a failure message will be displayed. The activity will be logged as an
unauthorized unprotect attempt. The logs are visible to the File Owner and selected
administrators.
To unprotect multiple documents, select all the desired documents, right click on any
document, and select Advanced > Unprotect. All protected documents inside a folder can
also be unprotected this way.
Right click on the desired document and click Track and Manage.
You can change the desired parameters in the next window. You can add/remove users or
permissions on this screen. See Seclore It! for more details.
You can change a document's permissions even if you do not have access to it. Search for the
desired document, and then click against its row to the extreme right for the same window
shown above.
Transferring Ownership
If you wish to transfer ownership of your document to another user, you can use the
Transfer Ownership option.
Only the document owner or OU Administrator can transfer the ownership of a document.
To transfer the ownership of a document, search for it, check the box against the document
name in the search results, then click Actions at the top, and click Transfer Ownership.
In the Transfer Ownership window, select the new owner and click Transfer.
The ownership of all selected documents will be transferred to the new Owner.
In the File Profile page, click the More drop-down menu and then click Reset Lock.
Similar to Searching for Activities, the search results will appear in the center pane.
You can now either click on a document to go to its Details page (see Viewing Document
Details) or select document(s) and then click the Actions drop-down menu for additional
options. Click the to the right of a document to view its permissions.
Revoking Access
As a File Owner, you can revoke access of a particular user (or group) to multiple protected
documents simultaneously. This is useful when a user leaves the team and his access to all
protected content needs to be revoked immediately.
Search for the desired document(s) (see Searching for Documents), check the box against
them in the search results, then click Actions at the top, and click Revoke Access as shown
below.
In the Revoke Access window, select the user or group and click Revoke.
Only permissions given directly (via the 'Recipients' tab on the Protection screen - see
Protecting Documents) will be revoked.
Replacing Users
As a document owner, you can 'replace' a user with another user i.e. you can transfer all
permissions of one user to another user. The original user will lose all access to those
documents. This is useful when a member of a team is replaced with someone else.
Search for the desired document(s) (see Searching for Documents), check the box against
them in the search results, then click Actions at the top, and click Replace User as shown
below.
In the Replace User window, select the two users (old and new) and click Replace.
All permissions of the old user will be moved to the new user and the old user will lose all
access to the selected documents.
The ownership of documents owned by the old user will also be transferrred to the new user.
Permissions given via the following means will not be transferred:
1. Groups (i.e. if the old user is part of a group that has permissions on a document)
2. Policies (i.e. if the old user is part of a policy that is applied on a document)
3. Hot Folders
4. Integrated applications
Only permissions given directly (via the 'Recipients' tab on the Protection screen -
see Protecting on Windows) will be replaced.
Replicating Users
As a document owner, you can 'replace' a user with another user i.e. you can transfer all
permissions of one user to another user. The original user will lose all access to those
documents. This is useful when a member of a team is replaced with someone else.
Search for the desired document(s) (see Searching for Documents), check the box against
them in the search results, then click Actions at the top, and click Replicate User as shown
below.
In the Replicate User window, enter the two users and click Replicate.
All permissions of the old user will be copied to the new user. The old user will continue to
retain his/her permissions.
If the old user is the Owner of a document, the new user will receive Full Control
permission on it. The old user will continue to be the Owner. This is because one document
can have only one Owner.
Permissions granted via the following means will also be replicated to the new user:
1. Groups (i.e. if the old user is part of a group that has permissions on a document)
2. Policies (i.e. if the old user is part of a policy that is applied on a document)
3. Hot Folders
4. Integrated applications
This section lists a few cases of expected, non-standard behavior and ways to resolve such

General
The general limitations and expected behavior - applicable to all Seclore products - are listed
below:
Copy Data and Macro activities not logged: Due to technical limitations of Windows
programming interfaces, it is not feasible to log Copy Data and Macro activities
accurately. However, these controls will still remain in effect.
Email Protector
The Seclore Email Protector is a Seclore add-in for Outlook and Outlook on the web (also
called Outlook Web Access) that is installed with both the Seclore Desktop Client or Seclore
Lite for Windows. Depending on your client, run the Detect and Repair tool or repair your
installation if you encounter any problems. If the problem persists, go through the list below
to check if your issue is listed.
The table below lists the common issues and expected behavior encountered while using the
Seclore add-in for Outlook on the web.
HTML "Wrapping"
If external recipients are sent a protected email, attachments will be "wrapped" in HTML
format. This enables such external users (who may not have a Seclore agent) to open
protected documents in the browser itself. For users who have a Seclore agent installed, the
behavior remains unchanged and the html extension will not be displayed at all. See
Protecting Emails and Accessing Documents Online for more details.

Seclore Desktop Client has a built-in Detect and Repair tool that will run every time you restart
your computer or log off and log in.
It is recommended to run this tool at least once before contacting IT Support. If running this
tool does not solve your problem, run it with administrative privileges or restart your
computer. If the problem still persists, see Expected Behavior or contact IT Support.
Before running Detect and Repair, ensure that none of the following applications are running:
Microsoft Office, Excel, PowerPoint, and Outlook
FIEdi (FileSecure Image Editor)
SciTE
Any OpenOffice application
The OpenOffice Quickstarter (right click on the QuickStarter icon in your Windows
system tray and click Exit QuickStarter).
Click on the Seclore lock icon in the system tray. In the Desktop Client window, click Help >
About FileSecure.
Ensure that none of the listed software are running and click O K.
While the Detect and Repair process is running, you might see various progress bars,
messages and windows on the screen. Do not attempt to close or interfere with them.
Administrative privileges are required to repair some aspects of your system. Other aspects
should be repaired successfully. Click O K to close the window.
If you continue to experience problems even after running the tool, contact your local
administrator to run it with administrative privileges.

Repairing Installation
The Repair Installation tool in Seclore Lite for Windows automatically runs every time you
restart your computer or log off and log in.
It is recommended to run this tool at least once before contacting IT Support. If running this
tool does not solve your problem, run it with administrative privileges or restart your
computer. If the problem still persists, see Expected Behavior or contact IT Support.
If you wish to run it manually, right click on the Seclore lock icon in the system tray and click
Repair installation.
