Adjustment Letter

November 4, 2011

Mrs. Trisha Anne Banzon Complete Table, Inc. P.O. Box 3132 Austin, TX 78703

Subj.: November 4 letter about damaged shipment

Dear Mrs. Banzons: I have just received your October 20 letter about the damaged shipment you received through Redfox Corporation and regret the inconvenience that it has caused you. From your account of the problem, I am quite sure that your request for the $200 adjustment on the damage to the 2 computer processor will be granted. A certain amount of breakage of this sort does unavoidably occur in cross-country shipping; I am sorry that it was your company that had to be the one to suffer the delay. I must remind you to keep the damaged computer processor in the same condition in which you received them until one of our representatives can inspect them. That inspection should take place within 2 weeks. If all is in order, as it sounds to be in your letter, you can expect the full reimbursement within 2 weeks after our representatives inspection. I hope this unfortunate accident will not keep you from having merchandise shipped by Redfox Corporation in the future.

Sincerely,

Oscar P. Acuyong Customer Relations Redfox Corporation Columbus, Ohio 45453 (315) 565-6789

Recommendation Letter

Aug. 18, 2011 Re: Recommendation for Sharon Westman

Dear Hiring Manager: I was initially impressed with Sharon Westman's enthusiasm, communication skills and professional demeanor when I hired her four years ago as a customer service rep within JRW Inc.'s call center. During the two years Sharon reported to me (I have since moved on to a different department), she consistently demonstrated all of these qualities and more, and I heartily endorse her for any customer service position. Sharon is reliable, dedicated and eternally upbeat. Her ability to calm angry or frustrated customers is unparalleled, and it is because of her excellence in this area that I repeatedly asked her to mentor new employees in the call center. Sharon multitasks effectively and is able to handle a high-volume workload. She consistently met or surpassed all weekly call center metrics (including customer satisfaction, call volume and response time), and her daily written reports were accurate and thorough. Of particular value to me as a former call center manager was Sharon's team player mind-set, enthusiastic embrace of change, ability to work with minimal supervision and unwavering commitment to exceeding customer expectations. I regularly received unsolicited praise from customers commending Sharon's outstanding level of service, professionalism and followthrough. Organized and diligent, Sharon quickly learned technology systems and software that were unfamiliar to her when she first started with JRW, and she also attended optional professionaldevelopment seminars offered through the company. She is pursuing an associate's degree in business through evening classes at ABC Community College. Sharon is a hardworking, top-performing customer service professional. She has my highest recommendation, and I am happy to furnish more details if you would like additional information.

Sincerely,

Oscar P. Acuyong Field Service Manager (former Call Center Manager) JRW Inc. (555) 555-5555

Claim Letter

3000 East James Road Alexandria, VA 22303 July 20, 1997 Mr. Joel Turner, Manager Professional Computing, Inc. 2500 Leesburg Pike, Suite 10 Alexandria, VA 22300

Dear Mr. Turner: I am pleased with the Pentium computer that I purchased from you on July 10, 1997. However, I have discovered one problem that needs to be corrected. When I purchased the computer, I requested a Matrox Millennium graphics accelerator with a 4 megabyte base board. When I picked up the computer, I signed a statement on the invoice that the computer was configured properly. However, as you can see from an attached copy of the invoice, it does not make clear how much memory was installed with the accelerator. Before signing the statement, I asked about the amount of memory that had been installed. Your salesman, Richard Riley, told me that my system contained a board with 4 MB of memory. Unfortunately, I have since discovered that my system has only 2 MB of memory. I am upset about the lack of memory since I am unable to produce the project for which I specifically purchased my new computer. I need to have the memory installed as soon as possible, or I will return the computer within the 30-day period allowed in the sales contract. Please let me know when I can bring the computer in for service. You can reach me at home (572-3304) or at work (634-6803).

Letter Asking for Donation

Mr. John Anderson 1528 NE 173rd Avenue Woodinville, WA 98072 Dear Mr. Anderson As someone who is in a leadership position at Your Company, I know that youre pressed for time. But please, could you give me your full attention for the next 30 seconds as you read this letter? You see, the children at Our School would like to have a science fair this year. But you know how it is: government budget cuts, on top of too-small budgets in the first place, have combined to make it impossible for them to be able to do so. Unless someone steps in to help them. And thats where you come in. The benefits of science fairs at schools are priceless: teaching children about the wonders of science and motivating them to learn about their world is one of the best ways they can learn about themselves and develop their interests, leading to future careers in engineering, biology, chemistry, and hundreds of other fields. By helping the children at Our School to be able to have a science fair, you are not just helping them, but youre also investing in the long-term future health of your community and even your company. A healthy, well-trained workforce is the most valuable asset at any company, and by helping our children to have the science fair they so desperately desire, you will be planting seeds for future employees loyal to your company. Not only that, by contributing you will also be receiving free advertising and positive public relations in the community. Thats because we will post your name in the program for the science fair, as well as on any materials produced promoting the science fair. To top it all off, we will have a Partner Wall, bearing the names of all the contributors to the science fair, which will be prominently displayed at the science fair itself. By contributing towards the science fair at your local school you can help our children immeasurably, receive free advertising and promotion for your company and feel good about it all! Would you please help? Were planning on holding the science fair in January inside the school gymnasium. By then we need to raise a total of Php. 50, 000.00, which will cover equipment rentals, presentation tables and chair rentals, printed materials like entry forms and flyers. Any amount youre willing to donate will be greatly appreciated! Please contact us at 09289474709 to find out how we can work together to give our children the best science fair possible while giving your company the exposure it deserves for helping us out. Hope to hear from you and thank you for your time. Sincerely,

Oscar P. Acuyong

To Whom it May Concern: Kathleen Doe volunteered for four years in the Women's Health ward at ZBD Community Hospital. During this time, she was a dependable volunteer who never missed a shift. Kathleen was an asset to the hospital. She was always cheerful and willing to assist with any task. In addition, Kathleen was motivated and interested in learning. Kathleen is relocating due to family circumstances, and, unfortunately, we will no longer be lucky enough to have her services. She will be missed and I highly recommend her to any future employer or volunteer organization.

I am writing to request a letter of recommendation. I hope that you remember me. My name is Eliza Doolittle, and I was a student in four of your classes: HIST 314, Spring 1993; HIST 448, Fall 1994; HIST 432, Winter 1994; and HIST 449, Spring 1994. My final class project for HIST 449, History of Medicine, was a 30 page paper entitled, "Medical History: The Germ Theory Enlightens a Dark Medical Past." My paper received an A from you, and it was published in the college journal, Prism, that year. At the time, you suggested that I might consider a career in the writing or publishing fields. Well, the time has come for me to follow your suggestions. I have applied for an editorial position with the McGovern/Hill Publishing Company in Chicago. The company has asked me to supply them with three letters of recommendation. I would appreciate it if you could write one for me. McGraw/Hill wishes to know the conditions under which you knew me, your understanding of my aptitude for writing, my qualifications to edit the work of others, my leadership abilities, and anything else you feel pertinent. I have enclosed a copy of my resume to help you write the letter. McGraw/Hill would like the letter by the end of the month as I have an interview scheduled for the first week of February. If you would, please send it to the following person and address: Betty Butler Human Resources Department McGraw/Hill Publishing Company One Research Park West Chicago, IL 55555 Thank you very much for your attention to this matter, and I sincerely appreciate your efforts on my behalf.

Fund Raising Letter

Dear friends and family,

Can you envision a land where cows are holy, animal sacrifices are a weekly occurrence and human cremations take place daily? I want to share with you a challenging ministry opportunity God has presented to me. During March 28 - April 10, I will be going to Bangkok and Nepal with a team from First Christian Church. Our two-week trip will focus on Hindu and Buddhist cultures in this area of the world that is often referred to as 'the heart of darkness.' The purpose of our trip is fourfold:

First, we will be allowing God to work in our lives through the personal enrichment that comes from this type of a mission trip. Second, this Prayer Journey will help us focus our individual prayers by traveling to a foreign land and praying 'on-site with insight.' We will pray for the Hindu and Buddhist people that God may open their eyes and hearts to the message of Jesus. Third, we will be visiting an 'unreached people group' of which less than 1% is Christian. First Christian Church has adopted the Newar people group and is assisting in bringing them the gospel. We will be working with some Newar churches to help them grow in their Christian walk. Fourth, we will encourage local Christians in Bangkok and Kathmandu. Our presence will bolster their spirits and support their work. We will visit many small villages in Nepal where we will develop relationships with the Christians there.

I'm excited about the opportunity and experience that lie ahead. I hope you see the value in what we will accomplish. As you can imagine, a trip like this requires financial support from a number of people. I need to raise $3,000 by March 20th. If you can support me in a financial way, I would be very grateful. And, most importantly, I also need your prayer support. Prayer is the fuel that will allow us to be successful as we follow God's leading in ministry in these countries. Without prayer, nothing will happen. If you would like to be part of this mission through your financial support, send a check to: [ insert church address here ] Envelopes are enclosed for your convenience. Please make your check payable to [ insert name of church here ] and write "Nepal" and my name on the memo line. All contributions are tax deductible. While money is important, it comes in a distant second to my need for your prayer support. Since prayer support is so important to the success of this mission, I would like to know if I can count on you in that area. Enclosed is a bookmark that you can put in your Bible, on your bathroom mirror, on the "fridge", or anywhere else you will see it at least once a day. Please pray daily for the areas listed. Because they haven't heard,

Endorsement Letter June 20, 2010 Mr. Gale Forceberg R & D Manager Fast Lane Production Company 75 Kilometer Drive Detroit, MI 55555 Production Department Fast Lane Production Company 75 Kilometer Drive Detroit, MI 55555 Dear Team, Effective June 10, 2010, the company will impose a 10% daily salary deduction from all employees that come to work late. The company used to impose only a 5% daily salary deduction. However, weve noticed that within the past few months, the number of employees coming to work late has increased. If an employee is tardy, the companys overall productivity is also affected since less work is accomplished in a day. If employees come on time, we could reach our quota for the day, or may even exceed it. As a part of our rules and regulations, everybody is required to abide by this new policy. Failure to follow this will result to breach of company policy. We are looking forward to the employees improvement. Let us all work cooperatively for our companys success. Should you have any other questions or concerns, please feel free to contact me at 123-45-67. Thank you very much. Sincerely, Oscar P. Acuyong

These days, it's also common to include an email address. 2. Date: Type the date five spaces to the right of center or flush with the right margin, two to six lines below the letterhead. Five spaces to the right of center and three lines below the letterhead are common. If there is no letterhead, type it where shown. 3. Examples include SPECIAL DELIVERY CERTIFIED MAIL AIRMAIL

Tips:

Replace the text in brackets [ ] with the component indicated. Don't type the brackets. Try to keep your letters to one page, but see page 2 of this sample if you need continuation pages. How many blank lines you add between lines that require more than one, depends on how much space is available on the page. The same goes for margins. One and one-half inch (108 points) for short letters and one inch (72 points) for longer letters are standard. If there is a letterhead, its position determines the top margin on page 1. If you don't type one of the more formal components, don't leave space for them. For example, if you don't type the Reference Line (3), Special Mailing Notations (4) and On-Arrival Notations (5), type the Inside Address (6) four lines below the Date (2).

Guidelines / Rules in Making Apology Letter

Most teachers send one letter to welcome both the parents and their students, but this is not an effective means of communication for a kindergarten teacher because kindergarteners cannot yet read. Send the kindergarteners a postcard. For your students, receiving a postcard, or any mail is exciting, and receiving correspondence from you makes you their friend instead of a stranger. This is especially important for kindergarteners. Children in older grades have the benefit of having seen their teacher around the school building. Since you have not had this kind of interaction with your students, the postcard serves an important icebreaker. Send the parents a letter. For the parent, a letter establishes an open line of communication, which may make them more likely to continue communicating with you during the school year.

When
o

Send the letter to parents 10 to 14 days before school starts. Send this letter first, so that parents have time to contact you if they have questions and so they have time to prepare for any special requests you make in the letter. For example, if you have a special project planned for the first day of school and request supplies, you need to give them time to get those supplies. Send the students' postcards five to seven days before school starts. You want the postcard to get the child excited about coming to kindergarten. The closer to the first day of school the postcard arrives, the more motivating it will be.

What- Postcard
o

The goal of the postcard is to put the kindergartener at ease before the first day of school. For kindergarteners, the image on the postcard needs to be meaningful because it is the part of the message they can most easily understand. The postcard should ideally have a picture of their classroom on the front. You can print these out on card stock from your computer. This allows the kids to get familiar with the learning space before the first day of school and can do a lot to minimize their fear of the unknown and ease their transition. On the back, tell them how excited you are about having them in your classroom and how much fun you plan to have this year. You may list a few of the activities you have planned if there is space.

What - Letter
o

In the parent letter, include your basic contact information and a brief positive spin of your expectations. Teachers of higher grades often send supply lists, goals and expectations, classroom rules and other essential information in the welcome letter. This is not the best approach for a letter to your kindergartener's parents. Parents of kindergarteners, especially if your student is their oldest child, may quickly become overwhelmed with this information. Save specific instructions

and essential information for the packet you hand out at open house, or that you send home on the first day. Instead list supplies needed for the first day of school in this letter, and give a brief description of what you plan to do on the first day. Parents who are nervous will be comforted to know that you have a plan for their child's first day of school. You can also encourage parents to talk to their child about the planned activity. Knowing what to expect from the first day of school may reduce the child's anxiety.

How
o

Be positive. Both the letter and the postcard should be encouraging because kindergarten students and their parents will be apprehensive about the first day of kindergarten. Maintain an upbeat tone throughout the correspondence. It is important that you sound excited in the postcard and competent in the letter. Be personal. Include personal information about yourself in both the postcard and the letter that will put the reader at ease. In the postcard, say something that gains the kids' interest like "I am Miss Jane Doe, and I love the color purple" or " I am Mr. John Smith, and I have three dogs." It helps the child feel like they know you and gives them something that they can use to relate to. It gives them a conversation starter. The letter should say something that gains the parents' confidence like " I have been teaching kindergarten for five years." If you are a first-year teacher, relate to them other experience you have in the field like "Before entering teaching, I worked as a counselor at Camp Sunshine with fourto six year-olds".
