Importance
The Front Office Department is an
integral part of the organization into
which a lodging and service operation is
associated.
Although, its primary communication
takes place with Housekeeping and
Accounts, a strong relationship must
exist with all the other units of the
property for a smooth functioning.

Within The Department
 In the front and back office, during:
1. Reservation;
2. Paging;
3. Arrival;
4. Baggage handling;
5. Shifting;
6. Sending message;
7. Departure.
With Housekeeping Dept.
 Sellable rooms.
 Reports:
1. Guest room status in Housekeeper’s report
as Occupied, Vacant, Checked-out, Double-
lock, OOO;
2. Discrepancy and DND-SNS report.
3. Arrival and Departure report.
4. Incident report.
 Notification slips:
1. VIP arrivals;
2. Special amenities provided;
3. Lost and found articles;
4. Other guest movements.
With Accounts Dept.
 Cash.
-Payments and vouchers are charged to guest
folios.
 Night audit.
-States the total room sales.
 City ledger.
-Maintains record of unpaid bills of the
checked-out guests, but with permission.
With Room Service Dept.
 Expected Arrival Report.
 VIP Arrival Report.
 Group Arrival Report.
 Expected Departure Report.
 VIP In-house Report.
 Special Guest Requests.
Other Departments
 Engineering.
-for maintenance issues.
 Stores.
-for relevant formats & stationary.
 Sales.
-for updation on new agreements made with
travel agents, airlines, etc.
-for improving the room sales in coordination
with reservation dept.
