DESIGN AND IMPLEMENTATION OF HOSPITAL INFORMTION

MANAGEMENT SYSTEM

ABSTRACT
We intend to aid in provision of hospital management information system. This
system provides ease in process of retrieving, storing and manipulating data and
information in the system. The findings of this study were arrived at the base on
the analysis conducted. Major findings of the study included observation of the
existing system and information gathering carried out using interviews. It also
includes a search property that allows a system administrator to search for
particular patient’s information using the unique ID. Software applications used
for this research work were python programing language and SQlite3.
1.2 STATEMENT OF THE PROBLEM
In the medical department of Clifford university , no comprehensive software has
been developed for use so far which would help in quick information storage
,retrieval , decision making and follow up measures for the students/patients .The
proposed system is designed to eliminate problems associated with manual
filling system.
1.3 AIM AND OBJECTIVES OF STUDY
The aim is to design and implement a practical hospital Management information
system, which will ensure timely availability of required information in the
desired mode of effective and efficient descent making.The objectives includes:
• A search field to find patients information.
• Efficient data storage (database).
• A receipt that validates patient’s transaction.
• A billing report to generate bills of patients.
• Design and implementation of software application that can contain large
amount of student’s information. These software includes programming
language(python), databases(sqlite3).
1.4 SIGNIFICANCE OF THE STUDY
This project work is basically aimed at automating the manual system of
information management as used in the medical department of Clifford
University Ihie, campus. It will help in a good number of ways to ease the
process of retrieving data and information in the system. It will also
highlight the importance of information management system to the
institution.
1.5 JUSTIFICATION OF THE STUDY
The student database will allow the system administrator of CLIFFORD
UNIVERSITY, Medical department login and update detailed students
records, to maintain efficient storage, quick retrieval of records and
information, proper accounting and file keeping, etc. It also enhances
efficient management of student’s information. In addition the database
system must ensure the safety of the information stored, despite system
crashes or attempt at unauthorized access.
1.6 SCOPE AND.
The scope of the study is the automation of patients records database
management system in the medical department of Clifford University.
1.7 LIMITATION OF STUDY
Some drawbacks experienced during this research work were in the
following areas:
• The proposed system is not designed not to check-mate staff of the
hospital to laxity of work
• The system will only process information if relevant data are keyed
in as input.
• Power supply
• Covid-19 pandemic .
• Financial resources.
CHAPTER TWO
LITERATURE REVIEW
2.2 THEORETICAL FRAMEWORK
A literature review by (Delone et al, 1992) in the field of management information
systems aimed at identifying determinants for system success.
They presented a framework with six dimensions
1.) System quality 2.) Information quality 3.) Usage 4.) User satisfaction 5).
Individual impact
6). Organizational impact.
The purpose of their review was to analyze evaluation studies of inpatient patient
care information systems requiring data entry and data retrieval by health care
professionals , published between 1991 and May 2001 , to determine the attributes
that were used to access the success of these systems and to categorize these
attributes according to (Delone et al, 1992).
2.2 SUMMARY OF REVIEW RELATED LITERATURE
Hospital Management Information System is a tool to automata transaction,
captures necessary data and generate a lot of insights for managing patients care
functions. Appropriate planning, developing good understanding of the
requirements and features available in the system would help to objectively
evaluate and implement right system. Regular monitoring by making use of the
information generated from system would help for continuous improvement
both in the system and in the areas of our focus.
2.3 GAPS IN LITERATURE
The review carried out by (Delone et al,1992) did not cover the outpatients –
patients who are not hospitalized overnight but who visits the hospital, clinic or
associated facility for diagnosis or treatment as compared to inpatients. This
research work will focus both on the inpatient and the outpatient. In contrast to the
six dimensions of information system success management model proposed by
(Delone et al ,1992)as well as ( Lee et al,2012). The researcher propose that
information system success can be achieved by nine dimensions which includes;
1). System quality 2.) Information quality 3.) Usage 4.) User satisfaction 5).
Individual impact 6).Organizational impact.7). Financial investment evaluation
8).human resources 9). Management.
In the study conducted by (AAFP) American Family of Physicians the major
challenge in the findings was the cost of developing an Electronic Health Record
system, others includes security risk and financial risk. The proposed system
overrides the outlined challenges. To facilitate the implementation of cost in HMIS,
the design of any proposed system needs to be simple and attuned to the local
context.
Some of the challenges of implementation of the system in Aravand hospital
are:

RESEARCH METHODLOGY

3.0 INTRODUCTION
This chapter gives a brief description of the methodology used to develop the
proposed system. These includes feasibility study, data collection, system
analysis and design, developing and implementing student’s database
management system. The data considered necessary to build the system were
collected and analyzed. The methodology is very important to ensure that new
system would give benefits to the school.
3.1 RESEARCH DESIGN
In this work, a function–oriented design was chosen. This is because of its
widespread popularity and they are concerned with record processing where the
processing of one record is not dependent on any previous processing. A
function-oriented design relies on decomposing the system into a set of
interacting functions with a centralized system state shared by these functions.
Database design is the process of producing a detailed data model of a
database. This logical data model contains all the needed logical and physical
design in a data model contains detailed attributes for each entity.
3.2.1PROGRAM DESIGN

LOGIN DETAILS

The program design reflects how the new computerized system looks like. The
system administrator is expected to login with a unique password and username.
Only the system administrator has authorizations to the system. There are
different sections in which the patient uses to get admitted into the hospital.
PATIENT REGISTERATION

A patient is first registered at the out-


patient or in-patient department front
office. If eventually the patient is admitted.
The same number is used .the IPD or OPD
identification number is used for tracking
the medical records of the patient for any
OPD visit or IPD admission. All medical
records of this patient are identified by this
number. The number helps flexible search
in finding patients records. card.
BILLING
This is part of the accounting module but this is used to pay patients bills
or lodge money into the patients account.
RECEIPTS
The receipt is a very important document. It serves as a proof that a transaction
happened
and record the terms of that transaction. This can protect both the patient and
the hospital in the transaction. if a patient wishes to get accurate information of a
past medical admission or services he/she uses a receipts to get information.
STAFF INFORMATION
Staff information includes personal data of every staff and administrator that is
responsible for rendering adequate services to patients and the medical institution.
This type of data helps us to get information on the population of staff and how
much each staff earn and to regulate the duties and position of any staff .data
includes the
following displayed in the program for staff registration.
SEARCH PATIENT INFORMATION
The search function enables us to search for a particular patients information every
information of all patient is stored in the registration record .to search for a particula
patient, a patient ID is requited to gain access to information concerning the patient,
and only one patient is allowed to use a particular Id .the system does not allow
multiple users for one identity. When multiple users use a particular it creates
inefficiency of the system and mismanagement of information. In this case the
system has not full filed it requirements or the purpose for which it was designed. .
3.2 POPULATION OF STUDY
The population of the study was derived from Clifford University medical
department. An average of over 65 workers belong to the department which
includes the nurses, doctors, lab scientist, cleaners and administrative
personnel

3.4 SOURCE OF DATA
This constitutes the existing literature on the subject matter of this research such
as: textbooks, periodic journals, articles etc.

3.5 METHOD OF DATA COLLECTION


3.5.1 INTERVIEW
The data for evaluation were collected by in-depth interviews of the program
managers and health workers. In depth interview method was chosen because
unlike focus group discussions, it gave the opportunity for one-one interaction,
and individual opinions could be elicited. Health workers from Clifford
University were interviewed to identify the benefits of computerization.
3.6 METHOD OF DATA ANALYSIS.
3.6.1 OBSERVATION
Apart from the interview method used in collecting data , and observation
method was used during data collection it was discovered that the Clifford
university did not have accurate record of students information also student
cannot access their bills in the medical department they have to visit the
bursary to get medical bills for each semester. Most of the data used was
gotten from the university ICT department hence the need for an automated
system. The analysis was done manually and no software was used for
analysis. The analysis was done by me separately and compared. In the case of
discrepancies, the issues were discussed and resolved by consensus.
1.2 PRESENTATION OF DATA
The table above represents the increase in population of students
with their progressive years.
A line graph is used below in fig 4.2 to represent the data analysis.

SUMMARY, CONCLUSION AND RECOMMENDATION
5.1 SUMMARY
In designing the computerized system, an observation of the existing system
was made. A complete design of database application and programming
language for searching, registering and allocating patients folder was
developed. The computerized automated hospital system will provide better
services for the nurses and doctors such as reduction in time taken to search
folders, accuracy and timeliness of record preparation etc. in the
implementation of this project much has been done to eliminate data
redundancy, inconsistency, and improve on the integrity of the data stored in
the system.
5.2 CONCLUSION
The research question presented at the beginning of this work addressed the
need and benefit and problems that could be verified with the use of
electronic records. As discussed throughout the literature review and in
relation to the results of the present study, the main benefits verified include
the standardization of processes; the ease and agility in the recovery of
information; better control over prescriptions, materials and procedures; and
better adherence to protocols and standards established by the hospital.
Despite these benefits, certain problems were found, such as difficulty
organizing the information on the screens of the system, interruption of the
system, and the difficulty in the formatting and adequacy of reports.
5.3 RECOMMENDATION
Since data management of a hospital is a vital part of its operations and its survival
in the modern world, it must be well updated. I recommend further work on the
possibility of securing the electronic health record system to stop unauthorized
persons from gaining access to the information.
