TRAVEL AGENCY
OPERATION OF A TRAVEL AGENCY
One of the mains roles as a travel agent is to give well-informed, appropriate
advice to clients about where and when to travel based on their needs.
Job Duties and Tasks for: "Travel Agent"
1) Collect payment for transportation and accommodations from customer.

2) Converse with customer to determine destination, mode of transportation,


travel dates, financial considerations, and accommodations required.
3) Compute cost of travel and accommodations, using calculator, computer,
carrier tariff books, and hotel rate books, or quote package tour's costs.

4) Book transportation and hotel reservations, using computer terminal or


telephone
5) Plan, describe, arrange, and sell itinerary tour packages and promotional
travel incentives offered by various travel carriers.

6) Provide customer with brochures and publications containing travel


information, such as local customs, points of interest, or foreign country
regulations.
7) Examine carrier operating rules, employee qualification guidelines, or
carrier training and testing programs for compliance with regulations or
safety standards.

 
PROFILE OF SET UP AT TRAVEL AGENCY
• A typical set up at any travel agency is divided into two parts-front office
and back office
• Front office interacts with customer, service providers, use various
technology gadgets and software to provide information, options,
booking, cancellation, etc. to the customer and facilitates the integration
and delivery to service.
• Back office typically raises invoices, credits notes for service
provided/cancelled, maintain customer account, provide periodic
statements, collection and makes receipts, makes airline reports,
reconcile various account banking etc.
• Front office requires various skills in terms of communication, knowledge
of business etc.
• Back office requires various skill sets apart from just accounting.
This has become necessary since there are multiple suppliers who require
various kinds of reports from agency, many customers demanding banking
information which has become quite techno savvy and taxations.

KINDS OF TRAVEL AGENCIES

Conventional, Full Service Agencies


• These agencies sell it all: Air, Lodging Car Rentals, Rail Travel,
Cruise Tour, Tours and most other forms of travel packages.
Customers can book and receive advise by phone, email or visiting
agency in person.
Online Agencies
• Online agencies operate almost exclusively through their web sites.
These agencies concentrate on selling travel commodities such as
air, lodging and car rentals. They do also sell experiential products
such as cruises and tours. A travel agent who works for the online
travel agency can explain their products through phone or online
chat.

FLIGHT RESERVATIONS

- Sector / Leg Segment: Sectors being travelled, that is the point of


origin to point of destination.
- -Date of Travel: Date the passenger(s) is / are travelling per sector.
- -Flight Number / Class: The prefer flight number and class.
- -Passenger(s) Name: and how many passenger (adults / children
with corresponding ages) or are seats are being reserved.
After providing the above information, the airline will be given you the
transaction / reservation status Ex. Confirmed, Waitlisted or Unable,
the Passenger Number Record (PNR) which the code reference for all
the transaction , and the ticket option which is the date and the time
when the ticket(s) has to be purchased / issued in order not to lose the
reservation.
TIMETABLE.- a chart showing the departure and arrival times of trains,
buses, or planes.
