A Complaint Letter is a type of letter written
to address any type wrong doing, bad state
of affairs, errors, offence, grievance,
resentment arising out of a product, service
etc.

1. Sender’s Info
Sender info/ address usually given in the
letterhead, but if there is none, the Address
can be typep in the top right-or left hand
corner of the letter.

2. Date
Written bellow sender’s address.

3. Receiver’s Info/ Address

Receiver address begins with the name of the


company or-if you know the name of person you
writing to- you begin with his/her name. the address
can also begin with a job tittle or a department (if
you don’t know the name).
4. Salutation
The salutations are as follows:
Dear sir-to a man whose name you do not know
Dear sir/ gentlemen-to a company, etc.

5. Body of the letter
▸ The body of the letter usually written in the
blocked style, A line of space is left between
the paragraphs.

6. Complimentary close
▸ The complimentary close is related to the salutations.
▸ If the letter begins Dear Sir/Sirs/madam, the
complimentary close should be (Yours Faithfully)
▸ If the letter begins with a personal name, e.g. Dear
Mr. James, it should be (Yours Sincerely)
▸ A letter to someone you know well may end with best
wishes, and comma after the complimentary close is
optional

7. Signature
Always type your name and possibly your
job tittle below your handwritten signature
(the so called signature block).

8. Enclosure
If there are any document enclosed with a
letter, although the might be mentioned in
the body of the letter, it is common to write
Enc. Or Encl. bellow the signature block.
