Community Facilities Grant

Geographic Information Systems (GIS)

Records Systems

Disaster Management
Supports projects to develop, test, & implement disaster & business recovery plans & systems to protect local government archival & vital records.

Projects must address both hardcopy & electronic records systems.

NYC Department of Records & Information Services

NYC can receive up to $1 million in LGRMIF grants each year. Administered by Department of Records & Information Services (DORIS).

Inactive Records
Used to plan, develop, or improve management of records during inactive phase of their life cycle.

Inactive records are used infrequently but must be retained because their retention periods have not yet expired.

Historical Records
Also known as archival records, theyre worthy of permanent preservation & special care because of information they contain.

Frequently identified on records retention & disposition schedules as having permanent retention periods or potential historical importance.

Files Management
Systematic control of active files, beginning at point when files are created.
Active files can be paper, electronic, or micrographic. Managing active files well will make managing inactive files easier.

Document Conversion & Access

Local governments may choose to convert records to another format through microfilming or imaging, or a combination of these. Microfilming is appropriate for records used infrequently with retention periods of 10 years or more.
Imaging is a valuable tool for enhancing access to records.

Geographic Information Systems

Robust database system designed to store, retrieve, view, & allow analysis of geographically referenced information. GIS links or integrates information from multiple sources that would be difficult to associate through other means.

Records Systems
Supports implementation projects for recordkeeping systems not covered under another category. Projects must address effective management of records rather than merely create records or improve a business process.
