Date: COMPANY CREATION, CREATING GROUPS

Aim:
to create a company and groups in Tally

Procedure:
to create a company in Tally
Step 1: In tally, after login double click on the create company option under company information. The
following navigation path is used to create the company in Tally:
Gateway of Tally → Company Info → Create Company

Step 2: The following screen displays the company creation window:


Step 3: Enter the "Company's Mailing Name". This is an important field because it shows all the printouts.
Step 4: Enter the "Company's Full Address". This is shown on all printouts. Thus it is an important field.
Step 5: Choose the "Name of the Country" as India from the given countries list.
Step 6: Choose the "State" from the given list of states.
Step 7: Update the "Company's Pin Code", where it is located.
Step 8: Update the "Telephone Number"/ landline of the company.
Step 9: Update the "E-Mail id" and "Website" of the company.
Step 10: Update the financial year starting date of the company. In India, the financial year of the company
starts on 1st April and ends on 31st March.
Step 11: Update the date from which accounting is allowed in Tally. Generally, this date and the starting
date of the financial year are the same. But if the company has been formed on any other date of the year,
that date will be mentioned.
For example: If books have been set to begin from 1-Dec 2019, the Tally will not allow the entries for the
1-April-2019 to 30-Nov-2019.
Step 12: If we want to use TallyVault, enter a password. It is a secure feature that encrypts data.
Step 13: Repeat the password of TallyVault. Tally ERP matches this password with the previously entered
password to ensure that the password we typed previously was the intended password, which means there is
no typing error.

How to Create Groups in Tally


Use the following path to create groups in Tally
Gateway of Tally → F12: Configure → Accts/ Inventory Info → Accounts
Step 1: In this step, go to the Gateway of Tally and then click on Accounts Info.

Step 2: Choose the option Groups under Accounts Info.


Step 3: In Tally ERP 9, choose the option Create under Single Group Menu to create a single group.

Step 4: Update the following details on the Group creation screen:


Name: Specify the name of the group and then press enter to continue.
Under: Under List of Groups, choose the group name as Sundry debtors.

After entering the required details,


press Ctrl+A: Accept or press enter to save the details.
Also, create other Groups using the above procedure
o South India debtors under Sundry Debtors
o Hyderabad Debtors, Bangalore debtors, and Vijayawada debtors under South India Debtors.
o Tech Solutions or ABC limited under Bangalore Debtors.

Tally is used to create any number of groups under all default groups. Here we have created two
groups under Sundry i.e., North India Debtors and South India Debtors. Under South India Debtors, three sub-
groups (Hyderabad Debtors, Bangalore debtors, Vijayawada debtors) created.

How to Display Group in Tally

In Tally ERP 9, after creating the group, we can display all the created groups in detail. However, users are
not allowed to edit/alter the data in display mode.

Step 1: Use the following path to display groups in Tally


Gateway of Tally → Accounts Info → Groups

Step 2: Under Single Group, click on the option display to display groups in Tally.
Step 3: Choose the required group name under List of Groups name and then click on that particular group
to display on the screen as follows:

Step 4: Now the ledger (Bangalore Debtors) display on the screen as:

Step 5: To close the screen, click on Q: Quit.

How to Alter Group in Tally ERP 9


In Tally ERP 9 application, after creating the group, we can alter the details as per the requirements. Refer the
following steps to modify/alter group in Tally:

Step 1: Use the following path to alter groups in Tally

Gateway of Tally → Accounts Info →Groups

Step 2: Click on Alter option under Single Group.


Step 3: From the given search field, we can search the group and then click on that group name to modify
the details.

Step 4: Update the required details on the Group Alteration screen and then click on A: Accept to save the
details.

Result:

The Company and groups has been created using Tally Software.

Date: CREATION OF LEDGER AND VOUCHERS

Aim:
to create a ledger and vouchers in tally

Procedure:

Create Single Ledger in Tally ERP 9

Here we will create ledger Axis Bank Account under Bank Account.

The required date for ledger depends upon the features opted by us. The ledger screen would provide minimal
information if the settings of accounting features (F11) of the company were "No" for all options.

Tally automatically creates two ledger accounts, i.e., Profit & Loss account and Cash in Hand account. As per
the requirements of the organization, we can create the ledger accounts. In Tally, we cannot create another
profit & loss account. We can create any number of cash accounts with different names.

How to Create Ledger Account in Tally

Step 1: Use the following path to create ledger accounts in Tally


Gateway of Tally → Accounts Info → Ledgers → Single Ledger → Choose Create
Step 2: Click on Accounts Info under Gateway of Tally screen.

Step 3: Choose Ledger option under Account Info.

Step 4: Under Single Ledger, choose the option Create


Step 5: Update the following details on Ledger creation screen.
Name: Specify the unique name of the ledger account.

Under: Under List of Groups, choose the group name that pertains to the ledger account.

In Tally, choose the "Yes" option under Accept to save the configured details.
How to Display Single Ledger in Tally

In Tally, after the creation of a single ledger account, we can view the details of the ledger by choosing the
display option.
Refer the following steps to show how to display single ledger:
Step 1: Use the following path to display the single ledger in Tally
Gateway of Tally → Accounts Info → Ledgers → Single Ledger → Choose Display
Step 2: Under List of Ledgers, choose the ledger account.
Step 3: Now, the following screen shows the complete details of ledger accounts.
How to Alter Single ledger in Tally

Step 1: Use the following path to alter the single ledger in Tally
Gateway of Tally → Accounts Info → Ledgers → Single Ledger → Choose Alter

Step 2: Under the List of Ledgers, choose the ledger account option.
In Tally ERP 9, now modify/ alter the required details for ledger account. To save the changed details, click
on A: Accept.

Create Multiple Ledgers in Tally

In this section, we are going to see how to create multiple ledgers in Tally.

Step 1: Goto Gateway of Tally and then choose Accounts Info as follows:
Step 2: Choose the option Ledgers under Accounts Info.

Step 3: Under multiple ledgers, click on Create option to create multi ledgers in Tally.

Step 4: Enter the following details under a multi ledger creation screen.

Under Group: Under the list of Groups, choose the Bangalore Debtors. However, we can search the group
by entering the group name under the group text field.

Step 5: Update the following details under the Group Bangalore Debtors screen.

1. Name of Ledgers: Enter the ledger name that we like to create in Tally.
2. Under: The under group field will be automatically filled by Tally as Bangalore Debtors.
3. Press Enter to continue after entering the details. We will get a message as Accept: Yes or No. To
accept the updated details in Tally, choose "Yes".
Now we have successfully created multiple ledgers in Tally ERP 9.

How to Display Multiple Ledgers in Tally

In Tally application, after ledgers are created, we can check multiple ledgers by choosing the display option.

Step 1: Use the following path to display multiple ledgers.

Gateway of Tally → Accounts Info → Ledgers → Multiple Ledgers (Display)

Step 2: Under the List of Groups, choose the group name as "Bangalore Debtors".
Step 3: Now, the multi ledgers screen displays, as shown below.

How to Alter Multi Ledgers in Tally

Use the following step to alter the multi ledgers in Tally.

Step 1: Using the following path, we can alter the change the details as per the requirements:

Gateway of Tally -> Accounts Info -> Ledgers -> Multiple Ledgers -> Choose Alter
Step 2: Choose the required group name under the list of the groups.

Step 3: We can update the following details on multi ledgers alteration screen:

o Add or delete the ledgers


o Opening Balance - Dr/Cr
In Tally, to save the details, press Enter and then Accept.

Creating Voucher Types


You can customise the voucher by creating a voucher class.
To create a voucher type
1. Go to Gateway of Tally > Accounts Info. or Inventory Info. > Voucher Type > Create.
2. Enter the Name of the voucher.
3. Select the type of voucher.
4. Enter the abbreviation in the Abbreviation field, if required.
5. Select the Method of voucher numbering from the Methods of Numbering list, which appears
as shown below:

6. Enable Use effective dates for vouchers to enter effective dates for vouchers.
7. Enable Make this voucher type 'Optional' by default to set your voucher to optional voucher by
default..
8. Enable Allow narration in voucher to give a common narration for voucher. A common narration
screen for voucher appears as shown below:
9. if you want to give a separate narration for each entry of a voucher. This would be applicable for a
multiple entry voucher where you want separate details for each entry. The narrations for each entry
appear as shown below:

For Delivery Note, Receipt Note, Sales order, Purchase order, Physical Stock, Stock Journal,
Rejection In and Rejection Out, the option Provide narration for each ledger in voucher ? is not
available.

10. Enable Print voucher after saving to print every voucher after entering it..
11. Set Use for POS invoicing to Yes to use the sales invoice as POS invoice.
12. Set the Default title to print on invoice to print the same title for POS invoice.
13. Select the bank in Default bank option to print the default bank ledger when the option Print
Bank Details is enabled in a Sales voucher.
14. Enter the Default jurisdiction to be printed on the invoice, if required.
15. Create a voucher class in the Name of Class field, if required.
The completed Voucher Type Creation screen appears as shown below:
16. Press Enter to save.
Stock Journal Voucher Type

While creating a Stock Journal Voucher Type, the option Use Manufacturing Journal is enabled.

Date: CREATING CONTRA, JOURNALS, CREDIT AND DEBIT NOTES

Aim:
to create a contra, journals, credit and debit notes in tally

Procedure:

CREATING CONTRA
The Contra Voucher can be recorded using Single entry mode or Double Entry mode . To toggle
between Single Entry and Double Entry mode, we need to change the setting Use Single Entry mode for
Pymt/Rcpt/Contra to Yes/No in F12: Configure .

.
To view Contra Voucher creation screen in Single Entry mode,
1. Go to Gateway of Tally > Accounting Vouchers > Select F4: Contra
2. For example, to transfer funds from Cash Account to Bank Account:
● Debit the Bank Account.
● Credit the Cash Account.
The entry will be displayed as shown:

4. In the Bank Allocation screen, users can select the mode of transaction from the List of
Transaction Type as shown:
4. When Cash is selected as a Transaction Type , you can specify the cash denominations for the
transaction in the voucher entry screen, if the option Show Cash Denomination Details set
to Yes in F12: Configuration (By default, this option is enabled)

5. During Bank Allocation, a new screen – Cash Denominations will appear for Cash Transaction Type.
The cash denominations entered here will be captured in the Cash Denomination details while printing
a Cash Deposit Slip for this transaction.

The Difference field will give the difference between the total and the sum of amounts specified for the
Denominations.
Advantages of Single Entry Mode
● Faster data entry.
● When there is a Single Debit and Multiple Credits in the entry.

Journal Voucher in Tally ERP9

You will not record all kind of transactions by using the journal voucher, in this voucher you
can record adjustment entries, provisional entries and tax adjustment entries except cash and
bank transactions.

However, by activating the below option you can able to post cash or bank transactions in Tally
erp9 by using the journal voucher.
Along with Journal voucher type, Tally has provided different voucher types like payment
voucher (F5), receipt voucher (F6), sales voucher (F8), purchase voucher (F9) and contra
voucher (F4).

You can post many accounting entries by using journal voucher in Tally erp9.

The following transactions are exam ples for journal voucher.

Debit Note and Credit Note in Tally ERP9

In simple words about Debit and Credit notes, when there are purchase returns and sales returns
in any business, debit note used for purchase returns and credit note used sales returns.

Example, ABC Company sold goods worth of Rs.50,000 to XYZ Company, After checking the
goods, XYZ company has returned damaged goods worth of Rs.20,000 to ABC company. Here
XYZ Company issue debit note to ABC Company.
Debit Note in Tally ERP9

This note will use for purchase returns, it is issued by a buyer to a seller debiting to his account
and requesting for credit note.

How to Activate Debit Note and Credit Note in Tally ERP9

Path: Gateway of Tally -> F11 Features -> Accounting Features

Use debit and credit notes: Yes

Example

ABC Company has purchased 6 HP Computers from Ram Enterprises worth of each is Rs. 45,000
with GST@18% (CGST@9% and SGST@9%).

Date: PREPARING TRIAL BALANCE AND FINAL ACCOUNTS

Aim:
to Prepare Trial Balance and final accounts in tally

Procedure:

Preparing Trial Balance and final accounts


A trial balance is a summary of all ledger balances, and helps in checking whether the transactions are
correct and balanced. If journal entries are error-free and posted correctly to the general ledger, the total
of all debit balances should be equal the total of all credit balances. You can view this report in browser .
Note : By default, the Trial Balance report will be generated as on the date of the last voucher entry. You
can change the date to view the report for the required period.

View Trial Balance
1. Go to Gateway of Tally > Display > Trial Balance . The Trial Balance appears as shown below:

2. Press F12 to configure the Trial Balance , as required.


Note: As per accounting principles, the Trial Balance does not display the closing stock.
3. Press Ctrl+A to accept.
Note: While providing the opening balance in ledgers, equivalent contrary balance will appear
as Difference in opening balances in order to tally the assets and liabilities, or debit and credit
balances. The entry passed for the difference will affect the closing balance, but
the Trial Balance will still display the difference in the amount. To balance the difference in the
opening balance, you need to adjust it with the opening balance of another ledger.
For example , if the Difference in opening balances is Rs. 5000/- on the debit side, adjust this with
Rs 5000/- of credit in the opening balance of another ledger.
Configuration options in Trial Balance
The Trial Balance shows the flow of the accounts from the opening balance to the effect of transactions
on the closing balance.
● Press F12 to configure. The Configuration screen appears as shown below:

After the configurations have been set, the Trial Balance appears as shown below:

Receipt Notes in Trial Balance


When a receipt note transaction is entered with a tracking number, it affects the Trial Balance .
● Go to Gateway of Tally > Display > Trial Balance > F5: Ledger-wise . The Trial
Balance report appears as shown below:
The values of Purchase Accounts (Bills to come) is displayed in the Debit field.
The values of Purchase Bills to Come is displayed in the Credit field.
The receipt note transaction does not affect ledger accounts, when it is entered without tracking number.
It is an inventory transaction, hence Trial Balance is not affected . There will be increase in the stock
quantity and stock value.
Group-wise Trial Balance in detailed mode
1. Go to Gateway of Tally > Display > Trial Balance > F5 : Ledger-wise > F5 : Grouped > F1 :
Detailed .
2. Click F12 : Configure .
3. Set Expand all levels in Detailed Format? to Yes . The group wise Trial Balance appears.
4. To view the ledger details of the Sundry Creditors in detailed mode:
o Select Sundry Creditors field.
o Press Shift + Enter .
The group wise Trial Balance in detailed mode appears as shown below:
o In Sundry Creditors group, the value of stock for which the receipt note is entered, but the
purchase voucher is not yet accounted, is displayed as Purchase Bills to
Come under Credit .
o In Purchase Accounts group, the value of stock for which the receipt note is entered, but the
purchase voucher is not yet accounted, is displayed as Purchase Bills to Come under Debit .

FINAL ACCOUNT

A businessman wants to know profit and loss and also financial condition of his business. For this, he
maintains Final Account.

It consist three types of account:-

1) Trading Account
2) Profit & Loss Account
3) Balance Sheet

1) Trading Account: - Trading Account shows gross profit and gross loss of business.

2) Profit & Loss Account: - Profit and Loss account shows net profit and net loss of business. In profit
and loss account, there are two aspects. First is called Debit side and second is called Credit side.
Debit side shows all expenses and losses & Credit side shows all incomes and profits.

3) Balance Sheet: - Balance Sheet shows assets and liabilities. It shows the financial condition of the
business. There are two aspects of balance sheet. First aspect is called liabilities and second is called
assets. Liabilities means which we have to pay and assets means which we purchase for self use.

Working steps in Final Account:-

First of all create a company and then create ledger as follow:

Path for ledger creation:- G.O.T. (Gateway of tally) account

After ledger creation, do voucher entry as follows:

Date: PREPARING REVENUE MANAGEMENT AND PORTFOLIO SELECTION

Aim:
to Prepare revenue management and portfolio selection in tally

Procedure:

Show Opening Balance for Revenue Items


By default, the Cost Centre reports will show the opening balance for Non-Revenue Items only.
Note: Revenue Items means all Profit & loss account Items and Non-Revenue Items means all Balance
sheet Items.
1. Press F11 > F1: Accounting Feature > Enable the option Show opening balance for revenue
items in reports

2. Re-load the Company in order to brought forward the opening balance for revenue items.
3. Go to Gateway of Tally > Accounts Info. > Cost Centres > Alter > Select the Cost Centre > Set
the option Show Opening Balance for Revenue Items in Reports to Yes .
Let us take a scenario, where the option Show Opening Balance for Revenue Items in Reports is
enabled in SalesMan A cost centre and the same option is not enabled in Salesman B cost centre.
4. Now the Cost Centre Reports for SalesMan A will display the Opening Balance for Revenue
Items also.

Date: PREPARING FINAL ACCOUNTS WITH ADJUSTMENTS

Aim:
to Prepare final accounts with adjustments in tally

Procedure:

Objectives of Final Account preparation


Final accounts are prepared with the following objectives:

1. To determine profit or loss incurred by a company in a given financial period


2. To determine the financial position of the company
3. To act as a source of information to convey the users of accounting information (owners, creditors,
investors and other stakeholders) about the solvency of the company.

The format of a final account is represented as follows:


Q. Following is the Trial Balance of Rajesh Ltd., Gurgaon as on 31.12.2009.
Adjustments:
1. Transfer Rs. 10000 to Reserve Fund.
2. Provide depreciation on building at 5%.
3. Stock on 31.12.2009 was valued at Rs. 12000.
4. Dividend at 15% on share capital is to the provided.
5. Depreciation on Plant and Machinery at 10%.
Prepare Trading, Profit and Loss Account, Profit and Loss Appropriation Account and Balance Sheet in the
prescribed form.

PREPARING INVENTORY CREATIONS ,PURCHASE, ORDER, SALES
Date: ORDER

Aim:
to Prepare inventory creations ,purchase, order, sales order in tally

Procedure:

Purchase Order Processing


When the order is placed with the suppliers for the supply of goods, the items, quantities, date of receipt,
and so on, details are given with the Purchase Order Number. Later, when these goods are received,
the Purchase Order is tracked for the Order Details either in the receipt note or in the purchase Invoice.

The Outstanding Purchase Order reports are available in Tally.ERP 9. It is possible to know the order
position of any item in the Stock Summary. Separate Purchase Order Outstanding report and Purchase
Order Summary report are also available.
Recording a Purchase Order
A purchase order is placed by a business entity with a supplier for the delivery of certain goods at a given
price and time. Purchase order processing has to be enabled in order to create a purchase order.
To enable purchase order processing
1. Go to Gateway of Tally > F11: Features > Inventory Features .
2. Set Enable purchase order processing? to Yes.
3. Press Ctrl+A to accept.
To create a purchase order
1. Go to Gateway of Tally > Inventory Vouchers > Ctrl+F2 > F4 : Purc. Order to view the Order
Voucher Creation screen.
2. Enter the Party's A/c Name .
3. Enter the Order No .
4. Select the Name of Item from the List of Stock Items , or press Alt+C to create a new stock item.
5. Enter the Quantity of the item, as required.
6. Enter the Rate of the item. The Order Voucher Creation screen appears as shown below:
7. Press Ctrl+A to accept.

Record Sales Order


When you receive an order from a customer, you may need to provide the details of items, quantities,
date of delivery, and so on, with a Sales Order Number. When these goods are delivered, this sales order
number will be used to track the order details either in the delivery note or in the sales invoice.
1. Enable sales order processing.
a. Press F11 (Features) > F2 (Inventory).
b. Set the option Enable sales order processing to Yes .
2. Open the sales order voucher screen.
a. Gateway of Tally > Inventory Vouchers > Alt + F5 (Sales Order).
b. Press Alt + I and select the invoice mode as per your business needs.
3. Specify the buyer details.
a. Party A/c Name : Select the party name.
b. Party Details : Provide the Despatch , Order , and Buyer details as per your invoice
requirements.
If you do not see the Party Details screen, press F12 (Configure), and set Enable
supplementary details to Yes .
As always, you can press Ctrl + A to save and proceed.
4. Enter the sales Order no. for the voucher.
If you want to enter an order number for each item, press F12 (Configure) > set Use Order No. for
every Item to Yes . The Order no. field will appear in the Stock Items Allocation screen. It will
not appear on the main screen of the invoice.
5. Select the Sales ledger to allocate the stock items.
6. Provide the stock item details.
As in other transactions, you can create the item on the fly by pressing Alt + C .
a. Select the stock item.
b. Enter the Due on date and Quantity . The Rate will be auto-filled, if available for the stock item.

c. If orders are split with different due dates, specify the appropriate due date for each lot to be sold.

Note: In F11 (Features) > F2 (Inventory), you can enable the feature of godown/location and batches to
provide these details in the Stock Item Allocations screen.
d. After entering the due dates for all the lots, press Enter on the Due on field to return to
the Voucher Creation screen.
7. Select additional ledgers, like transportation charges, insurance, or discount, if any.
8. Provide Narration , if needed, and accept the screen. As always, you can press Ctrl + A to save.
What you see on the screen can vary based on your choices. Press F12 (Configure) to change the
options and F11 (Features) to enable or disable features.

Sales Against Sales Order

In your business, you may be following a process of raising sales order first and then recording a sales
invoice without any delivery challan. In Tally.ERP 9, you can record transactions in the same order. If
you want to raise a delivery note at any point in time, you can do it by linking it to a sales order, and then
to a sales invoice.
1. Open a sales invoice and enable supplementary details.
a. Gateway of Tally > Accounting Vouchers > F8 (Sales).
b. Press F12 (Configure) > set Enable Supplementary Details to Yes .
Henceforth, you can enter the supplementary details in the sales voucher, until you change the
option in F12 (Configure).
2. Select the order number and record the invoice.
a. In the Party Details screen, select the order number.

The details from the sales order will be listed in the sales voucher.
b. Make the required changes in the items/quantities, if required.
c. Save the sales invoice. As always, you can press Ctrl+A to save.
The sales order will get closed, if completely billed. Otherwise, it will be partially closed, and the details
can be viewed in the Sales Order Outstandings report.
Record Delivery Note Against Sales Order

In your business, you may be following a process of raising a sales order first, then recording a delivery
note, and then a sales invoice against the delivery note. In Tally.ERP 9, you can record transactions in the
same order. You can also link all the three invoices.
Here is an example of recording a delivery note against a sales order.
1. Enable the delivery note feature.
● Press F11 (Features) > F2 (Inventory) > set Use tracking numbers (enables delivery and
receipt notes) to Yes .
2. Enable supplementary details screen for delivery note.
a. Gateway of Tally > Inventory Vouchers > Alt+ F8 (Delivery Note).
b. Press F12 (Configure) > ensure the option Enable Supplementary Details is set to Yes .
Henceforth, you can enter the supplementary details in the delivery note, until you change the
option in F12 (Configure).
3. Select the party ledger, sales order details, and record the transaction.
a. In the Party Details screen, select the order number.

b. The details from the sales order will be displayed in the delivery note.
c. Select an existing Tracking No. or create a new Tracking No. .

d. Make the required changes in the items/quantities, if required.


e. Save the delivery note. As always, you can press Ctrl+A to save.
Note: A Delivery Note with Tracking No. marked as Not Applicable will be an inventory document,
affecting only the inventory values. This will not affect the accounts. Click here for more details on

The sales order will get closed, if completely delivered. Otherwise, it will be partially closed, and the
details can be viewed in the Sales Order Outstandings report .
Record Partial Cancellation of Goods

Orders can be pre-closed when goods are delivered or received. This can be recorded in a delivery note or
receipt note.
1. Open a delivery note voucher and select the party details.
a. Gateway of Tally > Inventory Vouchers > press Alt+F8 (Delivery Note).
a. Press F12 (Configure) > set the option Use Pre-Closure order details to Yes .
Henceforth, you can enter the details of pre-closure of orders in delivery note, until you change
the option in F12 (Configure).
b. Select Party A/c Name .
2. Select the sales order details.
a. Press F12 (Configure) > ensure the option Enable Supplementary Details is set to Yes .
b. Select Order No(s) from the List of Orders .

3. Record the delivery note with details of partial cancellation of order.


a. Select the stock item. The Stock Item Allocations screen appears.
b. Select the Tracking Number . The stock item, quantity and rate will appear automatically as the
sales order number has been selected.
c. Select the Godown .
d. Enter the Quantity delivered, the Pre-Close Quantity and the Reason for Pre-Close .
e. Accept the Stock Item Allocations screen.

f. Accept the voucher. As always, you can press Ctrl+A to save.


The sales order is cleared as the required quantity of stock items are delivered after pre-closing the
partially cancelled order.
Record Quotation

If you want to generate a quotation, in Tally.ERP 9, you can mark the sales order as optional, and print it.
1. In the sales order, press Ctrl+L (Optional) > record the invoice > and save the transaction.
2. Press Alt+P (Print). The title appears as QUOTATION.
You can print the quotation for each sales order by marking it as optional voucher.
Pre-Close Sales Order

You may have to close orders that have negligible quantities left, or you are not planning to supply those
pending items to the customers. Pending references of such orders will continue to exist in Tally.ERP 9
until you close them. You can pre-close an order either from Sales Order Outstanding reports or from the
transactions, sales order, delivery note, or sales.
1. Open the sales order voucher screen in alteration mode and configure it for pre-closure of order.
a. Gateway of Tally > Display > Day Book > select the Sales Order voucher > press Enter .
b. Press F12 (Configure) > set the option Use pre-closure order details to Yes .
2. In the Stock Item Allocations screen, enter the Pre-Close Quantity and the Reason for Pre-Close .
Based on your convenience, you can pre-close the orders from the sales order voucher or delivery note or
sales voucher.
Reports | Know Your Sales Orders

You may want to know the sales orders outstandings, and account for the partially or completely
cancelled orders. You can use the reports of Sales Orders Outstandings and Pre-closure of orders report
and pre-close the cancelled orders at any point in time. There are different reports that show the sales
orders outstanding. The outstanding orders can be viewed Stock Group-wise, Stock Category-wise, Stock
Item-wise, account Group-wise, ledger-wise or from All Orders.

2. Select the Group .

3. Select the stock item and press Enter to view the Order Details .
You can press F12 (Configure) and set the options as needed , to view the details of the required orders
for each account group.
Sales Order - Ledger
This report displays the Sales Order Outstanding summary of ledgers.
1. Gateway of Tally > Display > Statements of Inventory > Sales Order Outstandings > Ledger .
2. Select a Ledger .
3. Select the stock item to view the Order Details .
4. Press F12 (Configure) and set the options as needed.

Sales Order - All Orders
This report displays the Sales Order Outstanding of all the pending orders. It provides information on
the order number, date of order, party, ordered Quantity, undelivered order, rate, value of ordered stock,
due date for delivering the goods and the number of days overdue. It also provides information on goods
delivered but orders not received.
1. Gateway of Tally > Display > Statements of Inventory > Sales Order Outstandings > All
Orders .
● Press Alt+F1 (Detailed) to view the Sales Order details.
● Press F7 (Due Only) to view only the orders that are due. This button can be used to view All
Orders and Due only orders .
● Press Alt+F6 (Age-wise) to view the age-wise analysis report.

1. Select the sales orders (press Spacebar to select more than one order), and press Ctrl+C (Pre-
Close).

2. Enter the Pre-Close Quantity , and the Reason for Pre-Close .


Pre-close order - complete cancellation of orders
1. Press Ctrl+C (Pre-Close) > press Alt+S (Set All Quantity).

2. The balance quantity will be displayed under pre-close quantity column. Accept or modify the
quantity and press Ctrl+A to accept.

PREPARING SALES JOURNAL REJECTIONS DELIVERY NOTE

When you receive an order from a customer, you may need to provide the details of items,
quantities, delivery date, and so on, with a Sales Order Number and when these goods are
delivered, this sales order number is used to track the order d etails either in the delivery note or in
the sales invoice.

1. Open the sales order voucher screen and specify the buyer details.
a. Press Alt+G (Go To) > Create Voucher > F10 (Other Vouchers) > type or select Sales
Order.
Alternatively, go to Gateway of Tally > Vouchers > F10 (Other Vouchers) > type or
select Sales Order.
You can activate the Sales Order voucher type if the voucher is inactive by selecting Yes or
pressing Y when prompted.
b. Party A/c Name: Select the party name.
c. Party Details: Add the relevant details to include Dispatch, Order, and Export details in
your invoice, if needed.
If you do not see the Party Details screen, press F12 (Configure), set Provide Dispatch,
Order, and Export details, and Provide Buyer details to Yes.
As always, press Ctrl+A to save and proceed.
2. Enter the sales Order no. for the voucher.
If you want to enter an order number for each item, press F12 (Configure), > set Provide
Order No. for each Stock Item to Yes. The Order no. field appears in the Items
Allocation screen. It does not appear on the main screen of the invoice.
3. Select the Sales ledger to allocate the stock items.
4. Provide the stock item details.

a. Select the stock item or create a new item on the fly by pressing Alt+C.
b. Enter the Due on date and Quantity. The Rate gets auto-filled if you have sold the same
item earlier. However, you may choose to enter the Rate manually. The Amount appears
automatically.
c. If you want orders with different due dates, specify the appropriate due date for each lot to
be sold.

In F11 (Features), you can enable the feature of batches and provide the details in the
Item Allocations screen. You can also enter these details if you have multiple
godowns/locations.

d. After entering the due dates for all the lots, press Enter on the Due on field to return to
the Voucher Creation screen.
5. Select additional ledgers, like transportation charges, insurance, or discount, if any.
6. Provide Narration, if needed. As always, press Ctrl+A to save and proceed.
7. Press Page Up to view the voucher in alteration mode > press Alt+P (Print) >
press Enter on Current.
8. Press I (Preview) to check the invoice before printing if needed, or press P (Print) to print.

b. Press F12 (Configure) > set the option Provide details to preclose orders to Yes.
Henceforth, you can enter the details of the pre-closure orders in the delivery note until you
change the option in F12 (Configure).
c. Select Party A/c Name.
2. Select the sales order details.
a. Press F12 (Configure) > set the option Provide Dispatch, Order, and Export
details to Yes.
b. Select Order No(s) from the List of Orders.

3. Record the delivery note with details of the partial cancellation of the order.
a. Select the stock item. The Stock Item Allocations screen appears.
b. Select the Tracking Number. The stock item, quantity, and rate appear automatically after

d. Enter the Quantity delivered, the Pre-Close Quantity, and the Reason for Pre-Close.

1. Select the sales orders (press Spacebar to select more than one order), and
press Alt+W (Preclose Orders).

2. Enter the Pre-Close Quantity and the Reason for Pre-Close.


Pre-close order – complete cancellation of orders

1. Select the sales orders (press Spacebar to select more than one order).
2. Press Alt+W (Preclose Orders) > press Alt+W (Set Quantity).

3. The balance quantity reflects under the pre-close quantity column.

4. Accept or modify the quantity and press Ctrl+A to accept.

Record a Delivery Note for Goods Dispatched


If your business requires you to record a delivery note for goods dispatched, you can record it in
TallyPrime and track it to the sales invoice. You can record a delivery note even without
recording a sales order. The procedure to record delivery notes without sales orders is explained
below.

1. Open the delivery note voucher screen and select the stock items.
a. Press Alt+G (Go To) > Create Voucher > F10 (Other Vouchers) > type or select Delivery
Note.
Alternatively, go to Gateway of Tally > Vouchers > F10 (Other Vouchers) > type or
select Delivery Note.
You can activate the Delivery Note voucher type if the voucher is inactive. Select Yes or
press Y to proceed.
b. Select the Party A/c name.
c. Select the Sales ledger.
d. Select the required stock item.
2. Specify the details in Stock Item Allocations screen.
a. Enter a Tracking No. By default, the invoice number appears. You can change it if
required by creating a New Number.
b. Set the Order No. to Not Applicable.
c. Enter the Quantity and Rate.

If you select a sales Order No(s) in the Party Details screen of the invoice:
o The stock items details in the sales order appear in the delivery note.
o The Order No.is prefilled in the Stock Item Allocations screen.
d. Accept the screen.
3. As always, press Ctrl+A to save.

A Delivery Note with Tracking No. marked as Not Applicable is an inventory


document affecting only the inventory values. This will not affect the accounts.
You can select the tracking number of the delivery note to track the delivery of goods in the sales
invoice.

Record Sales Against Delivery Note


If you have a delivery note, which needs to be tracked against the sales invoice, you can select the
order number and tracking number in TallyPrime to link it to the relevant invoices.

1. Open the sales invoice and select the party ledger.


a. Press Alt+G (Go To) > Create Voucher > press F8 (Sales).
Alternatively, go to Gateway of Tally > Vouchers > press F8 (Sales).
b. Press F12 (Configure) > set the option Provide Dispatch, Order, and Export
details to Yes.
Henceforth, you can enter the additional details in the delivery note until you change the
option in F12 (Configure).
c. Select the Party A/c name.
2. Select the delivery note reference in the sales invoice.
a. After selecting the party, a sub-screen opens. Select the delivery note reference. The details
from the delivery note reflect in the sales voucher. If you have generated the delivery note
against a sales order, that sales order details are also prefilled.
If you want to generate the bill against the sales order without selecting the delivery note
tracking number, you can select End of List and press Ctrl+A to return to the sales
invoice.
3. Make changes in the items/quantities, if required.
4. As always, press Ctrl+A to save.
A delivery note is closed if billed completely. The details appear in the Sales Bill Pending report
if it is partially closed.

Record Sales with New Tracking Number


If you want to record a sales invoice before a delivery no te, you can record the invoice with a
tracking number and track it in the delivery note. The transaction is accounted against the party
ledger without updating the stock value and appears as Bills made but goods not delivered in
the Sales Bill Pending report.

1. Ensure the tracking number feature is enabled.


2. Record the sales invoice.
a. Press Alt+G (Go To) > Create Voucher > press F8 (Sales).
Alternatively, go to Gateway of Tally > Vouchers > press F8 (Sales).
b. Select the party ledger and stock item.
c. In the Stock Item Allocations screen:
▪ Select New Number for the Tracking No.
▪ Enter the New Number.

d. Enter the Quantity and Rate. The Amount appears.


e. Press Enter to return to the sales invoice.
f. As always, press Ctrl+A to save.
You can use the tracking number of the sales invoice in the delivery note.

Disable the Tracking Number


To prevent the Tracking Number from being displayed in the transaction, after all your Delivery
Notes have been consumed by generating a Sales bill against them, or after generating a Delivery
Note against a Sales bill, you can deactivate the Delivery Note voucher type altogether.

1. Press Alt+G (Go To) > Alter Master > type or select Delivery Note > press Enter.
Alternatively, go to Gateway of Tally > Alter > type or select Delivery Note >
press Enter.
The Voucher Type Alteration screen appears.
2. Set the option to Activate this Voucher Type to No.
3. Press Y to accept the screen. As always, press Ctrl+A to save the Voucher Type
Alteration.
As a result of this change, the Delivery Note voucher types are deactivated, and the Tracking
Number no longer appears in the transaction unless you are specifically reactivating it.
Similarly, you can disable the Tracking Number in the Purchase ledger by deactivating the
Receipt Note voucher type. As a result, the Tracking Number no longer appears in the transaction.

Record Rejections In against Delivery Note


Rejections In vouchers are used when the customer rejects or returns goods. The transaction is
recorded after raising a delivery note but before raising a sales voucher.

1. Open the Rejections In voucher.


a. Press Alt+G (Go To) > Create Voucher > F10 (Other Vouchers) > type or
select Rejections In.
Alternatively, go to Gateway of Tally > Vouchers > F10 (Other Vouchers) > type or
select Rejections In.
b. You can activate the Rejections In voucher type if the voucher is inactive. Select Yes or
press Y to proceed.
2. Provide the party details.
a. Under Ledger Account, select the party’s name who returned the goods.
b. The party’s name appears under Customer’s Name and Address with the address entered
in the ledger master.
3. Provide the stock item details.
a. Select the stock item. In the Item Allocations screen, the same appears if you had recorded
a delivery note with a tracking number. You can select the relevant tracking number.
b. Enter the Quantity and Rate.

In the F12 configuration, enable the options Show Batch Wise Details and Show
Godown–wise Details to view the batch and godown details in the invoice.
4. As always, press Ctrl+A to save.
The stock increased to the extent of the quantity entered in the rejections in vouchers.

Know your Sales Bills Pending


Sales Bills Pending report lists all instances of incomplete sales, where goods may have been
delivered but not invoiced. It also lists instances of invoices raised but against which goods have
not been delivered.
When the delivery note or Rejections In voucher is recorded with a new tracking number, but the
sales invoice (or voucher) or credit note is not linked to it, the inventory details are updated, but
accounting entries are pending. Similarly, if you have entered a sales invoice or cr edit note with a
new tracking number, but the delivery note or Rejections In voucher is not linked to it, the
accounting details are updated, but inventory entries are pending.
This report lists transactions of Goods Delivered but bills not Made and Sales bills to make.
Press Alt+G (Go To) > type or select Sales Bills Pending.
Alternatively, go to Gateway of Tally > Display More Reports > Statements of
Inventory > Sales Bills Pending.
The default report appears as shown:

You can view the pending and cleared bills in the Sales Bills Pending report.
Press F12 (Configure) and set the options as needed.

You can configure the Sales Bills Pending report by selecting the appropriate option.

To drill down to the voucher level, place the cursor on the voucher detail line and press Enter.
The Sales Bills Pending report can be generated only when the option Tracking Numbers is

How to activate auto bank reconciliation in Tally.ERP 9?

Starting Point : Gateway of Tally


Destination : Banking Configuration

Step 1 Open the bank ledger (in case the Bank ledger is not opened) by creating a bank
ledger or use the option “alter the ledger” (if bank ledger is already created in Tally)
Step 2 Under banking configuration, set ‘Yes’ to use this feature of Auto bank reconciliation
in Tally. ERP 9
Step 3 Select the relevant bank from the ‘List of Banks’
Step 4 After selecting the bank from the list of banks, In the next dialogue box, Set ‘ Yes’ to
‘Activate Auto Reconciliation’
Step 5 Accept the change by selecting “Yes” in the next screen
Using auto bank reconciliation in Tally.ERP 9

After enabling the Auto Bank Reconciliation option, now one can go ahead and reconcile the bank statement
with the company’s books following these directions :

Step 1 Go to ‘Gateway of Tally > Banking > Bank Reconciliation’


Step 2 Select the required bank which has to be reconciled from the ‘List of Bank’
Step 3 On the ‘Bank Reconciliation’ screen, press ‘B: Bank Statement’ or ‘Alt + B’
Step 4 Specify the ‘Directory’, where you have saved the downloaded bank statement
Step 5 In case you need to change the ‘File Type’, you can press ‘Backspace’ to select the
appropriate ‘File Type’ for the bank statement to be imported
Step 6 Once you’ve selected the required ‘File Type’, select the required bank statement file
from the ‘List of Files’, and reconciliation will happen automatically. Once the
reconciliation happens, a ‘Success!!’ notification will be displayed with details like
‘Total Entries in Bank Statement’, number of entries reconciled and ‘Additional Bank
Entries’
Step 7 Now press any key and the Bank Reconciliation Statement with Imported bank
statement details will appear. Now the screen will show the reconciled list of entries
from the bank statement under ‘Amounts not reflected in Company Books’
Step 8 Begin the reconciliation process for entries under Amounts not reflected in company
books by verifying with the Bank Statements obtained from the bank or the Bank
book maintained by you.

Steps
• Go to gateway of Tally> Display> Account books> Cash/Bank book
• Select the required bank account and press enter on the required month (or press F2 function button
on the keyboard and Specify the required period from which date you want to reconcile your bank
account)
• Now press “F5”– the short cut key for bank reconciliation in Tally. ERP 9 function key from the
keyboard and Bank reconciliation statement screen will open
• Enter the date of clearing from the bank statements into Bank Date column next to voucher type
column to reconcile the statements and finally press Yes to accept/ save the reconciliation statement
prepared.

How to undo bank reconciliation in Tally.ERP 9?

To undo bank reconciliation in tally follow these simple steps :

Step 1: Go to gateway of Tally> Display> Account books> Cash/Bank book

Step 2: Select the required bank account and press enter on the required month for which reconciliation has
already been done and for which you have to undo the reconciliation which is already been done.

Step 3: Press “F5” - short cut for bank reconciliation in Tally. ERP 9

Step 4: Now press “F12” – Configuration and a dialogue box will appear.

Step 5: Select “Yes “ against the dialogue – Show also reconciled transactions

Step 6: The reconciled transactions for the period with bank dates will reopen and now one can alter or undo
bank reconciliation in Tally by feeding the correct inputs.

Profit & Loss Account

The Profit & Loss A/c is a periodic statement, which shows the net result of business operations for a
specified period. All the expenses incurred and incomes earned during the reporting period are recorded
here.

The Profit and Loss Account in Tally.ERP 9 displays information based on the default primary groups. It is
updated with every transaction/voucher that is entered and saved.

View Profit & Loss Account

You can view the Profit & Loss account details in Tally.ERP 9 for a specified period.

1. Go to Gateway of Tally > Display > Profit & Loss A/c .

2. Click F1 : Detailed to view the Profit & Loss Account in detailed format. The Profit & Loss Account
appears as shown below:

The Profit & Loss Account is generated and updated immediately from the date of opening of books till the
date of last entry.
3. Press F2: Period to change the period as required.

The Profit & Loss A/c is in horizontal form, by default. You can view the report in vertical format by
enabling the option Show Vertical Profit & Loss? by clicking F12: Configure . You can view additional
information or toggle to another report using the options available in the button bar.

4. Click S : Schedule VI in the Schedule VI Profit & Loss A/c, as shown below:

You can configure the Profit & Loss account details to view it in the required format.

● F12: Configure : Press F12 and set the option Show V

Trial Balance
A trial balance is a summary of all ledger balances, and helps in checking whether the transactions are
correct and balanced. If journal entries are error-free and posted correctly to the general ledger, the total
of all debit balances should be equal the total of all credit balances. You can view this report in browser .
Note : By default, the Trial Balance report will be generated as on the date of the last voucher entry. You can
change the date to view the report for the required period.

View Trial Balance
1. Go to Gateway of Tally > Display > Trial Balance . The Trial Balance appears as shown below:
2. Press F12 to configure the Trial Balance , as required.
Note: As per accounting principles, the Trial Balance does not display the closing stock.
3. Press Ctrl+A to accept.
Note: While providing the opening balance in ledgers, equivalent contrary balance will appear
as Difference in opening balances in order to tally the assets and liabilities, or debit and credit
balances. The entry passed for the difference will affect the closing balance, but
the Trial Balance will still display the difference in the amount. To balance the difference in the
opening balance, you need to adjust it with the opening balance of another ledger.
For example , if the Difference in opening balances is Rs. 5000/- on the debit side, adjust this with
Rs 5000/- of credit in the opening balance of another ledger.
Configuration options in Trial Balance
The Trial Balance shows the flow of the accounts from the opening balance to the effect of transactions
on the closing balance.
● Press F12 to configure. The Configuration screen appears as shown below:

After the configurations have been set, the Trial Balance appears as shown below:
Receipt Notes in Trial Balance
When a receipt note transaction is entered with a tracking number, it affects the Trial Balance .
● Go to Gateway of Tally > Display > Trial Balance > F5: Ledger-wise . The Trial
Balance report appears as shown below:

The values of Purchase Accounts (Bills to come) is displayed in the Debit field.
The values of Purchase Bills to Come is displayed in the Credit field.
The receipt note transaction does not affect ledger accounts, when it is entered without tracking number.
It is an inventory transaction, hence Trial Balance is not affected . There will be increase in the stock
quantity and stock value.
Group-wise Trial Balance in detailed mode
1. Go to Gateway of Tally > Display > Trial Balance > F5 : Ledger-wise > F5 : Grouped > F1 :
Detailed .
2. Click F12 : Configure .
3. Set Expand all levels in Detailed Format? to Yes . The group wise Trial Balance appears.
4. To view the ledger details of the Sundry Creditors in detailed mode:
o Select Sundry Creditors field.
o Press Shift + Enter .
The group wise Trial Balance in detailed mode appears as shown below:

o In Sundry Creditors group, the value of stock for which the receipt note is entered, but the
purchase voucher is not yet accounted, is displayed as Purchase Bills to
Come under Credit .
o In Purchase Accounts group, the value of stock for which the receipt note is entered, but the
purchase voucher is not yet accounted, is displayed as Purchase Bills to Come under Debit .
