Types of Reservations
There are different types of reservations and different billing
instructions that the Front Office Agent needs to understand when
we are dealing with hotel bookings.
Though this may differ, one must understand that in most of the
hotels, an agent must collect a room payment and security deposit
at point of check-in.
Room Payment - refers to the payment for the room for the entire
stay of the guest.
Security/Incidental Deposit - refers to the deposit collected from the
guest on top of the room payment to cover for other charges such
as restaurant, massage, airport transfer, minibar etc to give the
guest a signing privilege. In case this remains unused until
check-out, the security deposit must be refunded to the guest.
Types of Reservations
To understand more, let us discuss the types of reservations and
analyze how much shall we collect from the guest at point of
check-in.
◼ Direct Booking - a booking made by the guest itself where in
the guest will be the one to pay for all his/her charges.
The billing instruction that you must see in the guest booking
should be All charges to personal account.
Let’s dig deeper:
If the guest is staying for 1 night with a rate of Php 8,000.00 and the security
deposit required by the hotel is Php 2,000.00. Note that the guest has not paid
anything yet. How much should we collect from the guest during check-in?
The guest staying for 3 nights has paid his room booking already. However, he
has not given an incidental deposit yet. How much shall we collect during
check-in?

◼ Company Booking - company reservations which is normally


coursed through Reservations or Sales Department is a booking
is a booking wherein guest is using the corporate account of the
company. Companies who can avail of this privilege has a
contract and credit line with the hotel.
Booking under this type should be supported with Letter of
Authorization from the company indicating the name of the
guest, stay dates and room category. This should also be signed
by the authorized signatory and must be forwarded to the hotel
prior the arrival of their guest.
The billing instruction for this type of booking can be any of the
following. Room charge to company, other charges to personal
account or All charges to company.

A guest booked under the company Globe, staying for 2 nights, has a
letter of guarantee stating All charges to company, how much shall
we collect from the guest during check-in?
A guest staying for 5 nights under the company Netflix, with a letter
of guarantee indicating, Room charges to company, incidentals on
personal account. What are the charges that we must collect from
the guest during check-out?
A Smart Telecom VIP guest is checking out with yo. You read the
billing instruction and it says, All charges to SMART. What should
you do during check-out?
Types of Reservations

◼ Travel Agency Booking - this type of booking was made by the guest
using a third party channel such as Expedia, Agoda, Booking.com,
etc, wherein guests pays the travel agency at point of booking. The
rate of the travel agency that is offered to the guest on their website
differs from the rate that is reflected in the hotel system. This type of
booking should be supported with a booking order indicating the
name of the guest and the stay dates and room category.
The billing instruction for this booking is - Room to Travel Agency,
other charges to personal account.

A guest booked under Expedia is checking-in for 3 days. How much shall
we collect from the guest during check-in?
If a guest under Agoda is checking out, shall I present the bill with the
room rate to him?
