1. PURPOSE
The purpose of this procedure is to identify & define the requirements of field warehousing
activities for receipts, handling, identification, traceability, storage, care, preservation and
protection from damage, during the entire phase from receipt to issue of materials for the jobs
under GTA Powermech scope of work as per contract with the EIL.
2. SCOPE
This procedure covers field warehousing activities for such materials which are to be
used for fabrication, erection, installation, pre-commissioning & commissioning activities
within GTA Powermech scope of services such as:
a. Receipts, handling, identification and traceability, inspection and acceptance of materials
b. Documentation
c. Storage & preservation
d. Material issues, return, materials reconciliation and handling over to contractors
including monitoring of scrap disposal
e. Feedback to project group for replenishment action for piping bulk & imported items.
f. Material reconciliation during the project phase.

6. KEY PERSONNEL
a. Receive M.I.V. of materials and equipment, unloading and storing in the warehouse or
open storage area and provide protection against adverse weather and / or
environmental condition, as required.
b. Prepare material requisition slip with EIL format for the required material planned
for the activities.
c. Check the arrival condition of deliveries for adequacy of the packing, for any
damage to the materials or equipment.
d. Getting materials and equipment issued from E.I.L. stores accordance with MIV,
maintain stock control records, showing quantity received, issued and the current stock
status in computer.

f. Prepare and submit to the warehousing in charge, all damage reports for materials or
equipments in order to expedite the remedial action and establish claim.
h. Ensure general upkeep, cleanliness and good housekeeping in and around warehouse.
Sr. Store keeper/Store keeper shall report to sr. store officer/store officer and be responsible to:
a. Receive, store, preserve and timely issue of materials from warehouse and open storage
area to sub-contractors
b. Arrange unpacking & inspection
c. Prepare MRR’s and OSRD report after correlating identification marking, inspector’s
hard stamping, heat number and other details and submit to S.O with relevant unpacking
inspection report
d. Care & protection of stored materials and handling equipment.
e. Periodic stock taking of materials
f. Ensure general upkeep, cleanliness and high degree of housekeeping in and around
warehouse
g. To receive balance material returned by sub-contractors after ensuring correct
identification marking, colour coding, heat number etc
h. Take care of HSE requirements
Material handling and storing commences with receipt of the material at the site, and
includes the unloading of the material into the warehouse or open storage area, and the
issue of the material which is in the control of the GTA Powermech.
The final operation shall be the disposal of all surplus or residual material upon
completion of the construction work by GTA Powermech. The duties and scope of the
persons of GTA Powermech involved in material handling and storing activities are listed
as follows, including Mobilization of all labour, equipment, tools and material required.

c. Optimizing the use of available space within the STORAGE FACILITIES and
providing all racks, pallets, sleepers, natural drainage etc. necessary for the
appropriate storage of material in advance of their receipt.
e. Ensuring that all material stored in the open storage area are adequately
Protected, i.e., resting on sleeper by tarpaulins or the like, to
prevent deterioration.
g. Ensuring that all hazardous material shall be stored and handled with the utmost care
and in accordance with the laws and regulations applicable thereto.

vii. Stocktaking
7.11 Maximum care shall be taken during the transportation and handling of pipes,
pipe fittings, valves, structural materials, electrical materials and all kind of
materials.
7.12 Stainless steel and alloy steel pipes, flanges and fittings shall be handled,
Transported and stored separately.
7.13 Extreme care will be taken to prevent the surface of piping, fittings and valve
materials from contamination, damage and corrosion.
7.14 Nylon slings will be used for handling stainless steel materials.
7.21 stocked items shall be suitably protected from damage by providing spacers or
load distribution.
7.22 Carbon steel, alloy steel and stainless steel materials shall be properly segregated
during storage. Flange shall be kept on wooden planks in order to protect the
scratched free.
7.23 No materials shall be stocked directly on the ground.
7.24 Small materials, instruments and special items shall be stored on the shelf
classified in accordance to type, material and size identification shall be attached
in front of each material.
7.25 All stored materials, the open ends will be covered with caps etc. to avoid foreign
particles entry.
7.26 Manufacturers storage recommendations shall be followed when applicable.
Colour marking of material is for the identification and should be visible. If possible,
gaskets shall be marked to be visible after installation.

8.11 Storage of piping and piping equipment shall be under cover and protected against
contact with the ground;
8.12 Carbon steel and stainless steel components shall be segregated to avoid any
Cross contamination.
8.13 All fittings and equipment shall be protected against damage during handling from
supplier to fabrication yard and further to final installation plant. Especially focus shall be
made to sealing surfaces, bevelled areas, and contact between different material qualities
to avoid surface contamination. This also includes protection during erection phase in
order to protect against contamination from other activities on site.
