Employee Leave Policy With Long Term Service Reward

Objective
The main objective of this policy is to decide the manner by which the
employee of the organisation could get rewarded in form of leaves for their
personnel needs.

Scope and Applicability


This policy will be applicable to all the on roll employee’s working Stone Age
group of companies.
This policy will be applicable with effect from 01/04/2023.

Type of Leaves
Earned Leave
Casual Leave
Sick Leave
Short leave gate pass
Earned Leave

15 days of Earned leave can be availed by an employee in a year. However


Organisation is rewarding employees by manner of increasing leaves as
loyalty reward for their long term service association with the organisation as
below :-

For new joiners joining during the mid of year Earned leave will be credited on
pro rata basis.
Employee can avail Earned leave on the basis of available carry forwarded
leaves or his/ her working days. However earned leaves will be credited in
employee’s leave balance account, but employee has to earn earned leaves
through actual working day. ( For Example : -Total days in year = 365, Weekly
off = 52, National / Festival / RH Holiday = 10, Hence Total Working day in

year ( 365-52-10) = 303 days, Total EL for the year = 15, If employee has
worked for 75 days, then he / she will be eligible to take EL as 15 EL for the
year /303 total working days * 75 working days = 3.71 ( Round Off 04 days))
Earned leave can be carried forward to next year up to a maximum of 30
days.
Employees who have resigned from their duties Earned leave entitlement
would be calculated on pro rata basis till their last working day.
For the calculation of EL Calculation as long term service reward, calculation
will be done on cut off date as 01st April of Every year. If any employee has
completed his /her 3 years / 05 years / 10 years of continue service with
organisation, then only he / she will be eligible to get rewarded EL’s for next
leave calendar 01st April to 31st March.
For Managing Work Life Balance of employees, an employee has to take
minimum 05 EL during the leave calendar. If any employee doesn’t take any
EL during calendar year, 05 EL will be lapsed and rest all EL will be carry
forwarded to next calendar year subject to maximum 30 EL.
If any Employee has more than 30 EL as after 31st March, then 30 EL will be
carry forward to next calendar year and rest EL will be encashed to employee
at basic salary / wages with considering 26 working days during month as per
minimum wages and payment of wages act.

Casual Leave

Maximum 07 days of casual leave can be availed by an employee in a year.


Casual leave is paid leave.
Employee can avail casual leave on the basis of his/ her working days.
However casual leaves will be credited in employee’s leave balance account,
but employee has to earn casual leaves through actual working day. ( For
Example : -Total days in year = 365, Weekly off = 52, National / Festival / RH
Holiday = 10, Hence Total Working day in year ( 365-52-10) = 303 days, Total
CL for the year = 07, If employee has worked for 75 days, then he / she will be
eligible to take CL as 07 CL for the year /303 total working days * 75 working
days = 1.73 ( Round Off 02 days))
Employee joining during the course of year will be entitled for casual leave on
pro-rata basis.
Casual leave can be taken for minimum half day and maximum 3 days at
single time.
Leave for more than 3 days can be taken as earned leave.
Casual leave cannot be carried forward to next year.

Casual leave cannot be clubbed with earned leave or any other type of leave.
Casual leave should be applied minimum one day in advance
Casual leave not availed during the year will lapse at the end of year.
No Casual leave will be encashed after the year or during F&F at the time of
separation.
No employee will be entitled to take casual leave during his / her notice
period.

Sick Leave
Sick leave is time off also given by the company to allow employees to
recover from an illness and take care of their health. These leaves allows
employees to get the rest they need without worrying about losing pay.

Maximum 05 days of sick leave can be availed by an employee in a year.

Employee can avail sick leave on the basis of his/ her working days. However
sick leaves will be credited in employee’s leave balance account, but
employee has to earn sick leaves through actual working day. ( For Example :
-Total days in year = 365, Weekly off = 52, National / Festival / RH Holiday =
10, Hence Total Working day in year ( 365-52-10) = 303 days, Total SL for the
year = 05, If employee has worked for 75 days, then he / she will be eligible to
take SL as 05 SL for the year /303 total working days * 75 working days =
1.23 ( Round Off 01 day))
In case of hospitalisation of employee for more then 24 hours, Employee can
avail Sick leave in advance also, if he / she doesn’t have sufficient sick leaves
for leave calendar year as per his/her working days, but at time of leave
calendar year closing same will be adjusted and if found excess sick leaves
beyond the earned sick leave, same excess leaves will be adjusted with
Earned leaves.
Employee joining during the course of year will be entitled for Sick leave on
pro-rata basis.
Sick leave can be taken for minimum half day and maximum 5 days at single
time in case of hospitalisation or if prescribed by a registered medical
practitioner along with medical reports.
No sick leave will be given to any employee without prescription of registered
medical practitioner.
Sick leave cannot be carried forward to next year.
Sick leave cannot be clubbed with earned leave or any other type of leave.

No Sick leave will be encashed after the year or during F&F at the time of
separation.
An employee can avail sick leave during notice period in case of
hospitalisation only.

Short Leave Gate Pass


The main objective of this policy is to decide the manner by which the
employees of the company could get benefited by the way of short leave paid
gate pass for their personnel work under employee welfare activities. The
objective of short leave paid gate pass is to minimize the absenteeism in the
organization.

All Stoneage group employees are eligible to take maximum 02 gate pass
monthly with maximum limit of 02 hours for each gate pass.
All Stoneage group staff employees want to avail such short leave gate pass
facility, shall complete 6 hours duty on the day, on which they would like to
seek short leave gate pass.
All Stoneage group workman employees want to avail such short leave gate
pass facility, shall complete 7 hours duty on the day, on which they would like
to seek short leave gate pass.
All Stone Age employees can take their short leave paid gate pass at any time
during their duty timings subject to approval from their department HOD.
No short leave paid gate pass will be allowed during overtime working or on
working on holiday.
This policy is the good will of company for its employees and cannot be taken
as a matter of right by the employees.
