DOCUMENTS IN MS WORD

INTRODUCTION
In this session, we'll cover the essential skills you need to
efficiently manage your documents in Microsoft Word.
Agenda:
1. Creating a New Document: Learn how to start fresh
with a blank page or use templates.
2. Opening Existing Documents: Discover how to access
and edit files you've previously worked on.
3. Saving Your Work: Understand different saving
options to keep your documents secure and
accessible.
Objective:
By the end of this presentation, you'll be comfortable
with the basic document management functions in MS
Word, setting a solid foundation for more advanced
features.
FILE FORMAT IN
WORD 365
The default file format for a document created in
Word 365 is the .docx format.
Other native file formats available are the
following:
➢ .docx Word document
➢ .docm Word macro-enabled document
➢ .dotx Word document template
➢ .dotm Word macro-enabled document template
TO CREATE A NEW BLANK
DOCUMENT

STEP 1
to start with a new blank
document:
1. Select the File tab to access
Backstage view.
2. Select New, then click Blank
document.
3. A new blank document will
appear.

EXISTING DOCUMENT STEP 1
To open an existing document:

1. Navigate to Backstage view, then


click Open.
2. Select This PC, then click Browse.
Alternatively, you can choose OneDrive to
open files stored on your OneDrive.
3. The Open dialog box will appear. Locate
and select your document, then click Open.
4. The selected document will appear.

To open an existing document:

1. Navigate to Backstage view, then click


Open.
2. Select This PC, then click Browse.
Alternatively, you can choose OneDrive

To open an existing document:

1. Navigate to Backstage view, then click


Open.
2. Select This PC, then click Browse.

click Open.
4. The selected document will appear.
SAVING A DOCUMENT
Save and Save As
Word offers two ways to save a file: Save and Save As. These options work in
similar ways, with a few important differences.
Save:
➢ When we create or edit a document, we will use the Save command to save
our changes.
➢ We will use this command most of the time.
➢ When we save a file, we will only need to choose a file name and location
the first time.
➢ After that, we can click the Save command to save it with the same name
and location.
Save As:
➢ We will use this command to create a copy of a document while keeping the
original.
➢ When we use Save As, we will need to choose a different name and/or
location for the copied version.
Use Save as to save your
document for the first time
or to create a copy while
keeping the original one.
Click the "File" menu and
select "Save As" to save a
new document.
To quickly save changes
to an existing document,
click the disk icon on the
toolbar, or press Control
+ S on a PC or Command
+ S on a Mac.
Use Save to save

Use this method to save


changes to an existing
document. With your
document open, click the
File menu in the toolbar at
the top of the screen. Then,
click Save. Any recent
changes to your file will be
saved.
Click the disk icon in
the toolbar to quickly
save your changes.
This option lets you save
your changes with a single
click. The Quick Access Tool
Bar is located at the very top
of your document window on
the right side. Locate the
Save button, which looks like
an old-fashioned square
floppy disk, and click on it to
save your document.
