Creating a Tag
Tag Entity is in the settings

To access the settings, click on the button at the left-hand bottom of the CRM screen.

From the list of available areas, select settings

The Tags entity is on the list of available entities on the left side of the screen in the Extensions
category.

To create a Tag, click on the new button on w top menu bar


An empty form is launched “New Tag”
Fill in the fields with the relevant data.

Obligatory fields:
Superior Tag – this field is only required if the option in the Start of tree field - No is selected.

In this field, indicate the Superior Tag available from the list of created active Tags in the system.

Name – specifies a name for the Tag record to be created

Question – here enter the question associated with the Tag. If there is no question, enter (NA)

Validity (days) – specifies how many days the Tag is valid for

Country – specifies the country for which the Tag is created


Additional fields:
Beginning of the tree – with this field we specify whether the Tag being created is a superior Tag for
other Tags. If we set the value of the field to "No", the Superior Tag field will be required to be
completed

If we set the value of the field to "Yes", the Superior tag field is no longer mandatory and we can skip
this field when creating a record

Tree - field locked for editing, it is filled in automatically by the system. It contains the name of the
Superior Tag.

Priority - enter a numeric value indicating the priority of the Tag with respect to others

System - a yes/no option is selected from the drop-down menu. A system Tag is associated with, for
example, some distribution group.

Type - this field defines the system status of the Tag.

To be selected from:

• Basic status
• Sales group
• Distribution group
• Distribution group [Company]
Type: id - field for the value Type: id of the Tag being created

Send to ICBI - Select the value Yes/No whether the Tag should be sent to the ICBI

Importing the Tag
In order to import a Tag, we need to have a data import template.

To do this, go to the CRM settings by clicking on the sprocket icon in the top right hand corner and
then select the advanced settings option

In the next step, launch the menu by clicking on the arrow icon next to the word settings and select
the data management option

Select Templates for data import


A window is open with the templates to be selected. From the list of available entities, select Tag and
click download

An empty .xlsx file will be downloaded, which will be used to import the data
Run the file

The columns in the Excel file correspond to the fields available in the blank form - new Tag element

Note - do not modify a column in the template for import.

Fill in the template with data that is to be imported into the system

To import the template, go to the Tags entity in CRM

Then click on the 3 dots icon and select import from Excel file
On the right hand side of the screen, a context menu for importing data pops up

Click on the select file button, a Windows explorer window will open, in which the import template is
to be selected

In the next step, click on the view mapping button

In this step we can see if the columns from Excel (left hand side of the frame) have been linked to the
corresponding entity in CRM (right hand side of the frame). Next, click on Finish import button
Click on the track progress button

A new browser tab is open with My Imports tab. From here we can see the status of the imported
template. We can see whether it was successful or failed

The import was successful The data has been added to the CRM system
Creating Customer Tags Record

In order to create a new record in Customer Tags, one must go to Customer Tags tab, which is in the
sales area, in Customers category.

Click on New button in the top menu bar.

A new form shall be launched - New Customer Tag - which we are to fill in with data
Obligatory fields:
customer - here we enter the customer number and select proper value from the list

Tag – from a drop-down list, select an available TAG from the system, with which the added record
will be linked

Additional fields:
Name – enter the name for the created record. If no name is entered here, the name will be filled in
automatically with the TAG name.

Question - here one can enter information that characterises the added value, e.g. we can include
information on why a given customer has been tagged with this tag

Value - we specify the value of the YES/NO tag (for example, we could create a tag with the question
"Does the customer repair brakes and assign a tag with the No or Yes value to the given customer)

Comment - in this field we can add additional information about the tag being created

Valid from - we mark the start date of the tag in the calendar.

Valid until - we mark the end date of the tag in the calendar.
Status - a field specifying whether the added record is active or inactive in the system

Status - a field indicating the current status of a given tag. The tag can have the status of Active, To
be confirmed, Expired.

Visit - in this field, we can associate a created Customer TAG record with a Visit entity available in the
system.

Importing Customer Tags
In order to import Customer Tags, we need to have a data import template.

To do this, go to the CRM settings by clicking on the sprocket icon in the top right hand corner and
then select the advanced settings option

In the next step, launch the menu by clicking on the arrow icon next to the word settings and select
the data management option

Select Templates for data import

A window is open with the templates to be selected. From the list of available entities, select
Customer Tags and click download
An empty .xlsx file will be downloaded, which will be used to import the data

Run the file

The columns in the Excel file correspond to the fields available in the blank form - new Customer Tags
element

Note - do not modify a column in the template for import.

Fill in the template with data that is to be imported into the system

In the Customer field, enter the customer number - the customer number is a unique value.

In the Tag field, enter the name of the Superior Tag.

In the status field, select whether the tag should be active/inactive


In the valid from/to fields, enter the date in the format DD.MM.YYYY

To import the template, go to the Customer Tags entity in CRM

Then click on the 3 dots icon and select import from Excel file

On the right hand side of the screen, a context menu for importing data pops up
Click on the select file button, a Windows explorer window will open, in which the import template is
to be selected
Click on the next button
In the next step, click on the view mapping button

In this step we can see if the columns from Excel (left hand side of the frame) have been linked to the
corresponding entity in CRM (right hand side of the frame).

We need to change the customer reference from the standard (search by name), to a search by
customer number
Next to the customer field, click on the magnifying glass button

Then remove the value Name

Next, add the customer number value

Confirm using OK.


Click on Finish import button
Click on the track progress button

A new browser tab is open with My Imports tab. From here we can see the status of the imported
template. We can see whether it was successful or failed

The import was successful The data has been added to the CRM system
