PFA Board Meeting

Oct 20, 2023

I. CALL TO ORDER – 9:00

II. MINUTES: APPROVAL OF EXECUTIVE BOARD MEETING MINUTES – September 22, 2023
a. MOTION TO APPROVE: Heather Siri motioned to approve, Brooklyn Joiner seconded

III. OFFICER’S REPORTS

B. Presidents: Jen Shepphird & Tory Yerton


a. Thank you for Arts Night
i. Over 400 attendees
ii. Thanks to Sofaer family for providing dinner for teachers
iii. Hospitality will write thank you cards to all business donors going forward
b. Thank you to Mr. Ford for Choir
i. AV equipment will arrive in late Nov, early Dec. Will be portable, can use on
Field
c. Heather – switch Open House and Arts Night timing
d. Joseph – focus on the Specialists was really powerful, esp since the PFA supports the
specials.
e. Barb –Thank you to Art of Gold for offering a 6-week free art class for raffle
i. Thank you to Claio and Buenos for sharing proceeds. They had a busy night
too.
f. We will try 8:45 meeting start time so that teachers can be in the meeting longer
g. Introduction to Cameron Klein who will be a Student Voice

C. Faculty Representatives: Ms. Donley & Ms. McKibben


a. No updates

D. Food Drive: Stephani Hoffert


a. It would be nice to have two full weeks to collect food
b. Jimmy is doing turkeys and he found someone to donate rolls
c. Alice Smith will be the school for the food drive
d. New flyer needs to go out that is grade-specific and doesn’t include rolls
e. Maybe one of the grades can do the tins
f. Angel Tree starts on the 28th – benefits Grace Warner
g. Made so many food baskets last year that teachers were taking them home

C. Jimmy Lockie: Field Update and Jogathon


a. Jogathon will be launched on Sunday announcement. Envelopes are going home
today. Flyers go home Monday.
b. Big prize is Amazon Fire tablet, PE teacher for the Day, Principal for the Day. Earn
tickets for every $25 raised
c. Goal is $100 per student which would be $40,000
d. Date has changed to Thursday, Nov 9, from 10-12.
e. Field update: District has done some weed abatement. Coming back to aerate and
thatch in the Fall. In the Spring they will aerate, thatch, fertilize, re-seed, and fix
irrigation.
i. This extends the time period for when the track will be done.
ii. Track could be done at any time before this – why isn’t it happening?
iii. Trying to get the district to pay for what they can
iv. Parents want to see the impact of the money they donated

D. Vice Presidents: Julie Backman & Heather Siri


a. Handed out a Directory so that we can reach out to the Board easily
b. Yearbook – Sales link will go out in Sunday announcements. Price starts at $30, will
go up to $35, leftover books will be $40.
i. 5th grade classes will enter a cover contest
ii. Send pictures to [email protected]

E. Treasurers: Chris Verre & Lesley Klein


a. Checks will be issued
b. Faye raised $460 in Givebutter donations for Arts Night
i. Check from Buenos for $100
ii. More expected from Claio and Eclipse

F. Bingo Night: Jessica Cao


a. New location: Swope gym, lots of space
b. First committee meeting is Nov 2 after school at 3:30
c. Bingo Night is Jan 19, 6-8 TBD
G. Discretionary: Noree Staudmeister
a. Approved AV equipment and birthday treats
b. Provisional approval for handicapped swing – trying to get District to pay
c. Ipad covers were donated
d. For other requests from the Counselor we need requests to: a)be itemized with
specific item and price; b)benefit most scholars, not a small group; c)come to the
PFA last – exhaust other sources of funds first

IV. Denim and Spring: Brooklyn Joiner


a. March 2
b. Need help with backend – inputting data, setting up spreadsheets, several people during
the event working on GiveButter running the auction. Need people good at computers
c. Three committees left: Silent Auction, Volunteer Coordinator, PowerPoint
d. Sponsorships will go out today, signage, table, etc
e. We already have silent auction items $3,131
f. Live auction $2,778
g. Sparks Florist cards – 12 months of flowers that scholars can sell. Have it go out right
after Jogathon with the Denim and Spring invitations
h. 50/50 raffle is worth the time and effort but we need to get a gaming license for Roy
Gomm PFA.
i. Met with Angie who ran D&S in the past.
j. Could consider an incentive to get parents to help. Give parents tickets to donate their
time, be on a committee, etc.
i. Katie Hill – Managing that could be a ton of work.
ii. Explore other ways to get people to donate their time
k. Noree – what about an information session for volunteers where there’s no obligation
to commit but you can sign up for small jobs
l. Erin – have very specific small jobs listed on Sign Up Genius
m. Katie Hill – We raised too much last year but things sold for way less than they were
worth
n. Barb – how about a Sign Up Genius in the Weekly Announcements
o. Whiskey ring toss - $20 to play at D&S, Brandon will run it
p. Design mock-ups shared by Heather

V. Web Update: Joseph Sofaer


a. Website is ready to launch
b. You can look at it now and provide feedback
c. Merch store is ready to be turned on
d. Launch Monday Nov 6– separate announcement from Barb

VI. PRINCIPALS’ UPDATE: Barbara Barker


a. Some parents are interested in a Wellness Committee
b. PFA is an opportunity to help support scholars not just with money but with other
things, wellness will be one of those things
c. Conferences coming up this week
i. Will be sharing iReady reports
1. 2 pages: diagnostic summary, things you can do at home to support
your scholar
2. Conversations about acceleration not remediation
d. Attached to every teachers evaluation is an SLO, student learning objective, it’s 15% of
the teachers evaluation. An area that the building struggles in is Writing. Last year
working on Writing was continuous across every grade level. We take scores every 6
weeks and we want to see growth. We want to see growth of at least 2 item points by
the end of the year. Every teacher has the standards and the scoring guide. We are
focused on informational texts.
e. Every Wed during PLC time teachers bring their SLO info and they calibrate what the
scoring means and how we can adjust.
