1. Understand the common productivity tools such as Word Processor,
Slideshow Presentation, and Spreadsheet;
2. Practice the different advanced techniques on Word Processor, Slideshow
Presentation, and Spreadsheet; and
3. Create an advance document on Word Processor, Slideshow Presentation,
and Spreadsheet using the prepared materials.

WHAT IS IT

Productivity Tools
It refers to the software that people use to create and produce
documents, presentations, databases, charts, and graphs.
Productivity tools help you create professional-quality documents,
presentations, graphics, and more.
Why should you learn productivity tools?
While there is a wide range of benefits of using productivity tools, the
best reason is that it just makes essential, every day we use a computer to do
different tasks for more efficiency.
Common productivity tools
1. Word Processor/ Word Processing Software - is used to manipulate a text
document, such as a resume or a report. You typically enter text by typing,
and the software provides tools for copying, deleting, and various types of
formatting.
2. Slideshow Presentation - is a type of computer program that allows the
user to create slide shows featuring text, images, sound, and any other
information, for the purpose of presenting it to a person or group.
3. Spreadsheet Software - is a software application capable of organizing,
storing, and analyzing data in tabular form. The application can provide a
digital simulation of paper accounting worksheets.
Most use suite productivity tools
1. Microsoft Office - is a suite of desktop productivity applications that is
designed specifically by Microsoft for business use. It is a proprietary
product of Microsoft Corporation and was first released in 1990. For
decades, MS Office has been a dominant model in delivering modern
office-related document-handling software environments.
2. WPS Office - (Writer Presentation Spreadsheet Office) An office suite from
China-based Kingsoft Corporation for Windows, Mac, Linux, iOS, and
Android.
3. Libre Office - is a free, open-source suite of office productivity software. It
contains applications for word processing, spreadsheets, presentations,
database management, and graphics editing. It is compatible with other
office productivity suites including Microsoft Office. It runs on Microsoft
Windows, macOS, and Linux.
4. G Suite - is a suite of collaborative productivity apps that offers your
business professional email, shared calendars, online document editing
and storage, video meetings, and much more.

In this module, we are going to learn the following tools/techniques:

1. Mail Merge
It is a Word’s way of generating mass mailings. It involves combining a
list of names and addresses to individually address each person/receiver of
the list. You can use Mail Merge to create envelopes or address labels, as well
as form letters.
Mail Merged involved the following documents;
▪ the Main document – This document contains text and graphics.
Example body of the letter.
▪ Mailing list – this is your data source that is used to populate
information in the letter. It contains the names and addresses of the
recipients.
▪ Merged document - this document is the combination of the main
document

2. Custom Animation
Animation is a simulation of movement created by displaying a series of
pictures, or frames. Animation on computers is one of the chief ingredients of
multimedia presentations. There are many software applications that enable
you to create animations that you can display on a computer monitor. One of
these applications is presentation software that you can use to create a slide
show for your presentation.
3. A hyperlink
or simply a link is a reference data that the reader can directly follow
either by clicking or tapping. Hyperlinks are found on nearly all Web pages,
allowing users to click their way from one page to another. In the text,
hyperlinks are often color blue and underlined. When you move the cursor
over a hyperlink, whether it is text, a button, or an image, the arrow cursor
should be changed to a small hand pointing to the link.
Hyperlinks have two basic parts:
1. The Address – can be a webpage, email address, or other location
they are linking.
2. The Display – can be a picture or shape.
Example:
• https://www.microsoft.com – address Microsoft - display text
• https://www.microsoft.com - address at the same time display text.
4. Integrating Images
In Microsoft word processing you can do a lot of things to make your
documents look good and presentable. One of its functions is to integrate
images. Word processing refers to an application program for manipulating
text-based documents; the electronic equivalent of paper, pen, typewriter,
eraser, and most likely, dictionary and thesaurus. Word processors run the
scope from simple through complex, but all ease the tasks associated with
editing documents (deleting, inserting, rewording, and so on).
4. Electronic Spreadsheet: Function and Formula
According to emerald.com electronic spreadsheet is probably the most
useful general-purpose software for the microcomputer user. Almost all
spreadsheets are now packaged in combination with other applications, such
as database systems and graphic capabilities. An electronic spreadsheet
refers to a collection of text and numbers laid out in a rectangular grid. It is an
application program commonly used for budgeting, inventory management,
decision-making, forecasting, and other finance-related tasks.
It replaces the traditional financial modeling tools, the accountant’s
columnar pad, pencil, and calculator. It is a spreadsheet program, data, and
formulas used to calculate those data are entered into ledge-like forms
(Spreadsheets or Worksheets) for analysis, tracking, planning, or “what-if”
evaluations of the impact of real or proposed changes on an economic
strategy. 4
Formula – an equation designed by a user in Excel and this is an expression that
calculates values in a cell or in a range of cells.
For example, =A2+A2+A3+A4 is a formula that adds up the values in cells
A2 through A4.

Function - is a predefined formula already available in Excel. Functions perform


specific calculations in a particular order based on the specified values, called
arguments, or parameters.
For example, instead of specifying each value to be summed like in the
above formula, you can use the SUM function to add up a range of cells:
=SUM(A2:A4)

Task 4: Spreadsheet activity: Formula and Function

Mechanics:
1. The teacher will assign one activity per group.
2. Additional materials will be provided in each group to accomplish the task.
3. Group will follow the guide in the provided material t accomplish their task.
4. Pointing system will be based on the provided rubrics.
5. Group will present their work in class and share their experience in using
productivity tools.
