Project Reporting Plan

1. Introduction
This plan details the methods that will be used for progress reporting and control.

3. IT/UK/ESS Project Manager


The Instrument Project Manager will report into the IT/UK/ESS Project manager as per the UK
ESS reporting plan (****-*****-***-***-***)

4. Project Board Reviews


There will be regular Project Board reviews held at a frequency defined by the Board.

Progress reports for these meetings will be compiled by the Project Manager (PM), or the PM’s
representative, from data presented in the regular monthly progress reports generated by the
Instrument Project Managers (IPM), in a format defined by the Board

Project Reporting Plan

The ESS Instruments project is reviewed at the Corporate Project Board, and as such will deliver
a monthly report for review. The summary of this boards findings are presented to Operations
Board.

6. Written reports
Each month the IPMs and Pan-instrument Group Managers (PIGM) are to produce a single A4
page, written progress report covering time and resource:

Time

• Milestone progress against baseline report

Resource

• Graphical spend profile of current versus baselined expenditure and cost to


complete based on actual costs, commitments, encumbrances and IPM
contingency allowance
• Labour predictions

In addition to the above, the IPMs should undertake, and summarise, reviews of specification and
risk.

• Specification – status against approved specification should be noted and changes


referenced.
• Top 5 risks should be recorded in each progress report.

7. Reporting into ESS


To ensure clarity of information all projects reporting into ESS will come through the IT/UK\ESS
project manager. Where detail is required he will request this through the most appropriate route.
There will be a route through the sub teams that will report on build progress and scientific
highlights only directly into the appropriate boards at ESS.

8. Financial Control
Implementation Phase

Prior to commencing the Implementation Phase the IPMs and PIGMs produced a Cost
Breakdown Structure (CBS) for elements of the project budget under their control,
against which the monthly progress reports are monitored

This is loaded into Oracle and reports are drawn against these numbers.
