What is Report Writing?
A report is a factual Description of an issue or a problem. A report
is written for a clear purpose and for a particular audience. Various
forms of reports are: newspaper reports, inquiry reports, progress
or action taken report, a police report, a report of meeting, etc.,
each having a distinct(vishist) character and format. It is always
written in past tense.
Points to Remember
A good report should present all the necessary information clearly as possible.
Write in a practical manner.

Write in indirect Speech and preferably in passive voice.
Write in third person form and avoid using pronouns like I, me, or you.

Ornamental launguage (fancy language) is to be avoided. The contents should
include details like what, when, why, who, how, eye-witness account, action etc.
The aim of the report and source from where it was obtained should be
mentioned at the beginning itself.
It should have a proper heading and simple language, which is easy to grasp
(understanding), in several small paragraphs.
Adhere to the word limit to 150-200 words.

Reports are written to present and
discuss research findings. They
provide the reader with the
rationale(tark) for the research, a
description of the method used to
conduct the research, the findings,
results, a logical discussion, and
conclusions/recommendations. A report
should provide enough detail to enable
others to repeat the research.
What are the types of
reports?
1. Science reports usually focus on testing a
hypothesis (such as in a lab report) or investigating
research questions (such as in a master thesis).

2. Business reports investigate a research topic


or question, with the view to advising clients or
reporting to others within an organsiation. There are
different types of reports, for example, feasibility
studies, informational reports, or analytical reports.

3. Case studies are a type of report that exemplify


a particular point. A case study may relate to a
person, organisation, phenomenon(ghatna), or a
specific(vishist) event.

1. Analyse the assignment task
2. Establish the purpose and scope of the
report and identify audience
3. Prepare a draft plan using headings
4. Investigate prior research
5. Design and plan your research
6. Conduct your research
7. Analyse the results 8. Write first draft

Objectives of Report Writing
Office report has the following objectives: –

Objective of office reports is to communicate the information (suchana) to


those who need it.
To facilitate planning and co-ordination by presenting factual information.

To provide the information to shareholders, creditors, investors, customers


and also general public.
To facilitate the management to take appropriate(uchit) course of action.

To provide valuable records of documents to the office which can be used as


future reference(sandarbh ya vishay )?
To provide facts and results of an enquiry.

To give the basis of measuring the performance of executives.

are written to help managers in the decision-making process. Other reports are written just to provide
information. Examples of these are status reports or monthly sales reports.
