CHAPTER I

INTRODUCTION

Project Context

Nowadays through the advancement of modern technology, computerization is widely


used in businesses, schools and at homes. It is designed to speed up and lessen the time that is
being consumed in finishing a particular job with accuracy and efficiency. Through the use of
computers, a lot of manual processes of daily mechanism are improved into much easier and
more convenient system. Computer is a part of the basic provisions of a company which also
includes small business establishments. This is the reason why most of them are engaged into a
computer-based system for easier and faster completion of transaction.

Ridium Motor Parts & Accessories, a family business, was established on June 6, 2007.
The shop is located at Brgy. 14 Gen. Luna St., Laoag City with an estimated size of three
badminton courts. The people who work for the business consists of 4 people, 1 manager which
is always a family member, 1 mechanic and 2 salesmen who are very knowledgeable in this type
of business. Ridium Motor Parts & Accessories is owned by Richie P. Agngarayngay which sells
any kind of motorcycle parts and accessories. The business has been using a manual system for
inventory and on its daily transaction. If the owner wants to know their stock status, the
management will manually count all the remaining products in their stockroom. If the customer
wants to purchase products, the facilitator will write all the orders. After the calculations of the
bill, they will issue a receipt. In general, this old-fashioned type of system is time consuming.

Furthermore, all documents are only handwritten and difficult to understand. Also in the
manual system, copy of each document is unorganized, thus in case of loss, no replacement can
be provided. Through these issues’ operation of Ridium Motor Parts & Accessories, it slows
down and at times becomes inefficient.

This study deals with the development of Web-Based Sales and Inventory Management
System of Riduim Motor Parts and Accessoris that will provide an efficient, accurate and reliable
report. The web-based system provides convenience and timesaving effort in calculating bills,
sales and in the inventory process, as well as on generating reports.

Purpose and Description

The proponent’s purpose to create a software which can help to implement good and
accurate system to the business, to satisfy the current needs of the business by making a web-
based sales and inventory system that will help them in their business. To develop and
implement a web-based sales and inventory system for Ridium Motor Parts & Accessories that
will enhance the business operation.

The system mainly provides significance to the following:

1. Management / Owner

● Easy to monitor all the products / stocks that are sold out and all remaining.

● Lessen the time spent in monitoring the quantity of supplies.

● The developed system can provide faster way when it comes to making inventory
reports.

2. Cashier:

● The system can provide faster way in tracking the remaining items.

● The system can provide faster way in searching for the availability of supplies.

● The system will provide an efficient way of calculating bills and issuing of
receipts.

The Web-Based Sales and Inventory Management System of Riduim Motor Parts and
Accessories will resolve the problems and will accelerate the shop's service in order for the shop
to be more successful in the mere future. The problems that will be eliminated are checking the

availability of different products of different brands that are in stock, and it also serves as
a heads-up on when to restock items. Time is also valuable in running a business, so with this
system applied, the time of the employees or manager is lessened when the monthly inventory
comes.

Objectives of the Study

The main objective of the study is to develop and implement a web-based sales and inventory
system for Ridium Motor Parts & Accessories. In this study, it introduces the general objectives
and specific objectives.

General objective

The objective of the system is to provide functions in Ridium Motor Parts & Accessories
more efficiently. In order to achieve the objectives derived, the scope of the project will focus on
the aspects such as database, report generating and point of sale of the store.

Specific Objective

1. Identify the processing of items at Ridium Motor Parts & Accessories.


2. Provide function to manage parts and accessories in the store more efficiently.
3. Reduce time and cost to control and manage inventory.
4. Determine the sustainability of the proposed system as evaluated by different experts and
users.
Scope and Limitation

The system focuses on the sales and inventory system of Ridium Motor Parts and
Accessories. All reports can be accessed by the manager / owner and if an employee will log in,
he/she cannot access all the reports.

The system will be used to monitor the status of products whether it is available or out of
stock in the inventory and daily sales of Ridium Motor Parts & Accessories. The system does not
include online transaction and online payment, as well as the salary of the employee.

Definition of Terms

The terms listed below specify operational definition as utilized in this study.

● Computerized. It is to use a computer in order to provide paper works through computer,


in this study computerized means upgrading the manual system of the Ridium Motor
Parts & Accessories in order to provide easy and accurate process for every transaction.
● Data Entry. It refers to the coding of data regarding to sales and inventory for the
intention of storing it into the database.
● Inventory. It is the goods available for sale and raw materials used to produce goods
available for sale in Ridium Motor Parts & Accessories
● Items. It refers to any item available for sale within the inventory at the stockroom of
Ridium Motor Parts & Accessories.
● Sales. It is a type of selling an item or product in return for money or other compensation
it is an engagement between customer and seller.
● System. It is an organized scheme or method and a set of principles or procedures
according to which is done which can apply in in Ridium Motor Parts & Accessories
● Technology . It is the use of system especially in computer and telecommunication for
retrieving and sending of info.

CHAPTER II

REVIEW OF RELATED LITERATURE

This chapter presents the review of related literature and studies. It shows the similarities,
differences, as well as the synthesis of the study to compare the different studies conducted and
literature that help the researchers broaden their knowledge and achieve their goal respectively.

A. Related Literature

Sales Monitoring System

An inventory system, records the quantity of items sold as items are purchased. For an
example, the Wal-Mart keeps up with additions or deduction from inventory and tells
management what items are on hand. The organization also conducts counts of employee and
manual counts of inventory, periodically. When an item arrives at Wal-Mart distribution center,
it is scanned into the inventory system. When items are purchased by the consumer, the point-of-
sale system reduces the inventory from the purchase. A leaner inventory will help clear out store
clutter and help Wal-Mart focus on specific brands and products that consumer want (The
Associated, 2006).

According to Bonnie Conrad, Computerized Inventory Management System gives


advantages to the business. First, it gives speed and efficiency. A computerized inventory
management system makes everything from encoding information to taking inventory easier.
Doing a hand count of inventory can take days, but with a computerized inventory management
system, the same process can be done in a matter of hours. Second, it gives easy document
generation. Once the computerized inventory management system is in place, managers and
workers can use it to automatically generate all kinds of documents, from purchase orders and
check to invoices and account statements. Managers can also use the system to automatically
order products when they run low. Third, it gives timely data. In a manual system, the data is
only as accurate and up to date as the last hand count. With Computerized Inventory

Management System, the management team can pull a report and instantly see how many units
are on the floor, how many have sold and which products are selling the fastest.

Sales and Inventory System

According to the U.S. Small Business Administration (2013), inventory refers to stocks
of anything necessary to do business. The U.S. Small Business Administration publication
describes what constitutes successful inventory management (balancing cost versus benefits of
inventory), including:

1) maintaining a wide assortment without spreading the rapidly moving items too thin;

2) increasing inventory turnover without sacrificing service;

3) keeping stock low without sacrificing performance;

4) obtaining lower prices by making volume purchases; and

5) maintaining an adequate inventory without an excess of obsolete items.

Anyone in business must understand the business of inventory. Below is a comprehensive


look to six different inventory systems as well as a comparison of the advantages and
disadvantages.

Wal-Mart Inventory System

Wal-Mart runs its stores on a perpetual inventory system. This system records the
quantity of items sold as items are purchased. The computer system at Wal-Mart constantly
keeps up with additions or deductions from inventory and tells management what items are on
hand. The organization also conducts counts of employee manual counts of inventory

Advantages and Disadvantages of the Wal-Mart Inventory System

The advantages of a perpetual inventory system are that inventory is quickly updated in
real-time, which gives a constant picture of the inventory status

Inventory Management System


According to Janes (2011), computers are extremely reliable device and very powerful
calculators with some great accessories’ application like processing problem for business
activities, regardless of size, computers have three advantages over other type of business
equipment that process information because computer are faster, more accurate and more
economical.
Inventory management systems were created to help dealerships implement, maintain,
and fine-tune their inventory plans. Dealers who use inventory management systems realize
quicker vehicle turns and a higher ROI than dealers that don’t. Choosing the right system can
make a significant contribution to your inventory management efforts

B. Related Studies

Local Studies

Korean Red Ginseng Enterprise Sales and Inventory System

According to J.De Leon and M. Ferrer (2016) Under the Korean Red Ginseng Enterprise
Sales and Inventory System, the researchers came up with a computerized sales and
inventory system. The proponents used database to easy access of files and for easier and faster
processing of the selling and inventory transaction. The program was designated to generate
reports such as monthly reports, inventory reports, sales invoice and list of items.
The proponents acquire knowledge about the file processing and report generations
through this study. It also gives them the idea to create the proposed system’s report in sales and
inventory.

Sales Monitoring System

According to Distors (2017), as claimed on her study on Sales Monitoring System, she
emphasized that in the accelerated work structure of the company, proper monitoring is essential
in order to keep track of the company's sales activities. Her system aims to come up with an
efficient, and accurate mechanized system of preparing invoices that will keep track of the daily
transactions and generate reports. Important information will be provided to prove that the
computerization of the company’s operation provides a more reliable and efficient which means
monitoring daily activities. Her system focuses on the analysis and design of the sales
monitoring system which will monitor the stocks inventory of the sales departments. This system
is somewhat related to the present study but the system focuses more on the inventory
monitoring system of a trading company.

The proponents acquire knowledge about the monitoring of the stocks inventory of the
sales department. It also gives them ideas to create daily reports for the sales and products.

Sales and Inventory Management System (SIMS) for a Department Store

In this study by Aparanjitha (2016), this project is aimed to developing in Sales and
Inventory Management System (SIMS) for a department store. This system can be used to store
details of the inventory, update the inventory based on sale details, produce receipts for sales,
generate sales and inventory reports periodically, etc. This is one integrated system that contains
both the user component (used by salesperson, sales manager, inventory manager, etc.) and the
admin component (used by the administrators for performing admin level function such as
adding new items to the inventory, changing the price of an item, etc.). This system runs on
multiple terminals, offer GUI to its users and connects to a common database(s).

The proponents acquire knowledge on real time inventory, security features wherein
restricted information is only accessible by manager and owner of the company. The proposed
system can be accessible by the manager for updating the sales and products. The owner can also
view the daily sales of the company.

Foreign Studies

STASH - Inventory Management System

STASH - Inventory Management System (2019) is a web-based application where aim is


to manage the stock of an organization. With the involvement of technology system’ the
inventory management system refers to the system that mainly processes to manage the stock of
organization. To store the details of the purchase, adjustments, bookings, sample issue, sales and
generate report based on criteria this system can be used. We are solving different problems,
whose are involve in direct sales management and purchase management of this project. This
system is important for both warranty and no warranty item. Unless making any proper inventory
control, a bulky store may runout of stock on a valuable item. A good inventory management
system improves the accuracy of inventory orders and show the actual quantity of available item.
Inventory Management System is also important to lead a more organize warehouse. While
recording the stock, an automated inventory management system helps to minimize the errors
and maximize service effectiveness and value at the same time.

Sales and Inventory Management System


According to Piedmont (2018), for inventory management processes, you need robust
functionality for managing your logistics facilities. Support for inventory management helps you
record and track materials on the basis of both quantity and value. Warehouse inventory
management functions cover internal warehouse movements and storage. Using this software we
can reduce costs for warehousing, transportation, order fulfillment, and material handling – while
improving customer service. You can significantly improve inventory turns, optimize the flow of
goods, and shorten routes within your warehouse or distribution center. This software is user
friendly and hence easy to use. Employees can plan, enter, and document warehouse and internal
stock movements.

The scope of this system is to provide user efficient working environment and more
output can be generated through this. This system provides user friendly interface resulting in
knowing each and every usability feature of the system. This system helps in tracking records so
that past records can be verified through them and one can make decisions based on the past

records. This system completes the work in a very less time resulting in less time consumption
and high level of efficiency. This system is developed in such a way that even a naïve user can
also operate the system easily. The calculations are made very quickly and the records are
directly saved into databases and the databases can be maintained for a longer period of time.
Each record can be retrieved and can be verified for the future transactions. Also, this system
provides high level of security for data leaking as only admin people can access the database no
changes can be made in it until it verifies the user login id and password.

computers began from a wild imaginative idea to the world’s highly prioritized tool. Computers
today are now used as a substitute to manual processes and other past inventions like the radio,
television, etc. It is now used by people for much simpler, easier and faster way to do things.
Some used it as a hobby, and some use it as a job. 

Technology has never stopped from advancing through the years. Its new innovations
help answer the people’s further complex questions. Why not use these advantages to benefit
ourselves?

Many people use computers in their daily lives. Some use it for transactions, some use it
for educational purposes and others use it for data storage. Though it might sound unnecessary
but, in some cases, when storing a file or such a big company, can you manage it properly.
Organizing, finding a file, etc. With computers, it can help you simplify the process of storing
and managing the files you need for future use and make finding files easier than the manual
process.

A Proposed Sales and Inventory System

In business like merchandising, Sales and Inventory system plays an important role. It is


used to track all the transactions made by the business and responsible for monitoring the items

supplies. All the business transactions must be properly recorded and must be fully secured by a


password. A web-based system is the best solution and most innovative answer for their needs. 

The proponents had been motivated to do a study on this topic according to the above
observation. The result may help others to understand more about computer
generated data processing, especially on how to deal with computers in terms of speed, accuracy
and data security. Monitoring the transactions and other significant information regarding the
customer is the main concern of this study.

SYNTHESIS OF THE REVIEWED LITERATURE AND STUDIES

With the help of this literature and studies, the researchers gathered information and
knowledge about the system that will be developed and implemented in this project. The
following are the listed information and data adopted from the literature and studies:

 it helps the researchers to identify the problem and flow about Sales and Inventory
Management System:
 it offers the idea about the constraints, features and objectives about the system;
 it tells us what report should be generated in this system including the purpose of each
report;
 the problems and issues that the researchers going to encounter during the development
of this project; and
 it helps to identify the losing features of their system that we can include in our system.

CHAPTER III

TECHNICAL BACKGROUND

Sources of Data
Specifically, the following will the sources of data to be gathered:

Field Sources – Conducting an interview with Mr. Richie P. Agngarayngay, the manager
or owner of Ridium Motor Parts & Accessories, is the most typical method of gathering
information.
Websites Sources – The researchers obtain knowledge about associated studies and
systems by using materials from books, research studies, and the internet.

Data Gathering Techniques


Interview – The Researchers will have a virtual conversation with Ridium Motor Parts &
Accessories' manager or owner in order to identify any further system specifications that are
needed, as well as to optimize and improve the system's performance for any issues that arise.
Observation – The Researchers will personally observe the current system flow of
Ridium Motor Parts & Access in order to understand the system process and evaluate for the
proposed system web-based sales and inventory system for Ridium Motor Parts & Accessories.

Existing System

The process of the existing system using a flowchart. Each step represents the manual
process of sales and inventory and contains a short description of the process and step which are
linked together by arrows showing the process of the existing system.

business work and employees are still writing all the transactions for their business process in a
sheet of paper.

The data flow diagram shows all the processes of the whole system. In Figure 2.0, it
shows the existing system process of their business work. The context diagram in Figure 3.0
shows the graphical representation of the existing system of Ridium Motor Parts & Accessories

Problems Encountered in the Existing System


As described, Ridium Motor Parts & Accessories operates most of its transactions
manually, therefore problems regarding fatigue, balancing quality and growth were evident.
Capital management and client dependence were yet other problems for them to deal with due to
the competitiveness of other shops in the city and the impact of the pandemic, therefore, it has a
direct effect on sales.

CHAPTER IV

Research Design
A software development methodology or system development methodology in software
engineering is a framework that is used to structure, plan, and control the process of developing
information system.
As shown in Figure 1.0, the System Developing Life Cycle (SDLC) waterfall model has a
sequential design process, often used in software development processes, in which progress is
seen as flowing steadily downwards (like waterfall). This model consists of five different
processes, purpose, techniques.
The different phases in the waterfall model are namely, (1) System Planning, (2) System
Analysis, (3) System Design, (4) System Development, and (5) System Evaluation and
Implementation.
The System Development Life Cycle has some advantages and disadvantages. Some
advantages are: (1) a schedule can be set with deadlines for each stage development, (2) each
phase of development proceeds in strict order, without any overlapping, (3) the number of
resources required to implement this model is minimal, and (4) documentation is produced at
every stage of software’s development. This makes the understanding of the product designing
procedures to be simple.
If there is an advantage, there is also some disadvantages of the System Development
Life Cycle, as follows: (1) does not allow for much reflection and revisions, (2) small changes or
errors that arise in the completed software may cause a lot of problems, (3) until the final stage
of the development life cycle is complete, a working model of the software does not lie in the
hands of the client, so they never know if it is what they ask for, and (4) often, the client is not
very clear of what exactly from the software.

Phase 1: System Planning
The purpose of this phase is to determine if the significant resources can be considered to
the nature and scope of the problem. This is where preliminary Investigation took place.
Preliminary interviews and observation to give the researchers a broad overview on the
background of the study. It goes with the investigation of the existing system and what the
researchers and end-user expect in the future.
The end product of this phase was the overview of how the system should operate.
Phase 2: System Analysis
The objective of this phase is to create a logical model of the new system. At this stage,
the researchers performed an interview and observation. The researchers used Data Flow
Diagram (DFD) model to present and analyze and process flow of the existing system.
The end product of this stage was the system requirement documents. This is the
document which describes what the end-users wanted and needed in the system.

Phase 3: System Design


The objective of this is to generate a blueprint that satisfies the system requirement of the
study. Additionally, the researchers created the Data Flow Diagram (DFD) and Entity-
Relationship Diagram (ERD) and likewise the researchers designed the user interface and
identified all required outputs, input and processes.
The end product of this stage was the general features of the system along with the
complete interface.
Phase 4: System Development
The development of the proposed system was done in this phase. This was the most time
consuming and the most tedious phase. In this phase, coding of the program was being done.
The end product of this phase, adjustment or improvement with the system is done.
Additional features are added to the system.
Phase 5: System Evaluation and Implementation
At this stage, the system evaluation took place to assess the validity of the proposed
system by the end-user and I.T experts.
At the end of this phase, evaluated system shall be ready for use. The objective of the
system implementation was to deliver a completely functioning and documented information
system. Preparation such as converting data to new system’s database, training end-user,
performing the actual operation to the new system was done.

Functional Requirement

The development of the proposed Web-Based Sales and Inventory Management System
will automate the sales and inventory of Riduim Motor Parts and Accessories. It is expected to
introduce new way of a sales and inventory process that would replace the existing system of
business.
Description of the Proposed System
The Web-Based Sales and Inventory Management System for Riduim Motor Parts and
Accessories is proposed to replace the existing system of Riduim Motor Parts and Accessories.
The proposed system has the following features:

A. Electronic Data Entry - wherein the data needed in the system is like the product items
included in the inventory of the business and price information of each item are encoded
into the system.
B. Automated computation of total amount to be paid by the costumer.
C. Generation Report – Wherein automated generation of reports like sales inventory list
(daily, monthly, yearly).
D. Security – wherein the system only allows users by means of implementing a security
login interface where the users are required to enter their username and password.

The flowcharts below refers to the expected result of the system is that the user interface to be

CHAPTER V

SUMMARY, CONCLUSION AND RECOMMENDATION

This section presents the summary of the study, the conclusions reached and the

recommendation offered by the researchers.

Summary

The inclusion of Sales and Inventory System into the Riduim Motor Parts and

Accessories provides a comprehensive sales and inventory system that is capable of providing

and easy access sales and inventory conditions to the partners.

Specifically, the study aimed to achieve the following:

 to identify the processes of the existing system of the Riduim Motor Parts and

Accessories;

 to determine the problems encountered in the existing system of the Riduim

Motor Parts and Accessories;

 to determine the features that will included in the proposed system of the

Riduim Motor Parts and Accessories; and

 to determine the validity of the proposed system as evaluated by the IT

experts through technical defense and end-users through pilot testing.

The researchers used the System Development Life Cycle methodology to

develop the proposed system. It has five (5) phases: (1) System Planning; (2) System

Analysis; (3) System Design; (4) System Development; and (5) System Evaluation and

Implementation. The staffs of the front desk office and the manager were involved in the

study. Interview, observations, and documentary analysis were conducted to gather

supplementary information. A thorough review of the existing system was made to

ensure that corresponding features were properly integrated in the design of the proposed

system.

Findings

After the data were presented, analyzed and interpreted, the following findings were

yielded:

1. The processes in conducting sales and inventory in the existing system of Riduim

Motor Parts and Accessories is done manually.

Most commonly used system in the Riduim Motor Parts and Accessories is

via manual system wherein the front desk personnel receive walk-in orders. These transactions

are written in logbooks. The transactions include information of costumer’s orders and receipts

to be issued. After the payment of the costumer a receipt will be given to him, then the copy of

the receipt will be kept by the manager for accounting process.

2. There were problems that were encountered in the existing system of Riduim Motor

Parts and Accessories as follows:

 their records do not coincide in their manually recorded data; and

 they often forget to record the products that have been sold.

3. The features that can be incorporated in the proposed sales and inventory system of the

Riduim Motor Parts and Accessories are the following

 electronic data entry;

 automatic computation of costumer’s order;

 timely generation of reports;

 user-friendly interfaces; and

 system control and security measures.

Conclusion

Sales and Inventory System, a software developed for a company, has been designed to

achieve maximum efficiency and reduce the time taken to handle the payroll activity. It is

designed to replace an existing manual record system thereby reducing time taken for

calculations and for storing data.

The system is strong enough to withstand regressive daily operations under conditions

where the database is maintained and cleared over a certain time of span. The implementation of

the system in the organization will considerably reduce data entry, time and also provide readily

calculated reports.

Recommendations

The developed system's functions are still limited, and the researchers recommend that

this be addressed in the future. Creating a website on the internet and adding new features to the

system, such as creating a payment option for “other services” and a delivery module and a

payment module, would be fantastic. Using hardware such as a barcode scanner and a fingerprint

scanner and a receipt printer would further improve the system's innovation and performance.

The researchers also encourage future researchers who may propose the similar approach to

review this study.
