INTRODUCTION:

Malayan Banking Berhad also known as Maybank is a Malaysian universal bank, with key
operating "home markets" of Malaysia, Singapore, and Indonesia. Maybank was founded in 31
May 1960 by Singaporean business tycoon Tan Sri Khoo Teck Puat. Maybank is Malaysia's
largest bank and one of the largest banks in Southeast Asia, with assets over US$203 billion and
having a net profit of US$1.98 billion for 2019. Based on the 2020 Brand Finance report,
Maybank is Malaysia's most valuable bank brand, the fourth top brand in amongst the ASEAN
countries, and ranked 70th in the world’s most valuable bank brands.

Currently, Maybank is ranked 106th in The Banker's 2020 Top 1000 World Banks and
also ranked 349th in the Forbes Global 2000 Leading Companies. They are also the largest public
listed company on Bursa Malaysia.

Maybank offers a wide variety of products and services such as commercial banking,
investment banking, Islamic banking, offshore banking, leasing and hire purchase, insurance,
factoring, trustee services, asset management, stock broking, nominee services, venture capital
and Internet banking.

Maybank’s main headquarter is located at Menara Maybank, 100, Jalan Tun Perak,
50050 Kuala Lumpur. Moreover, they currently have over 400 branches in Malaysia. Maybank
also employs over 45000 workers and operates through a global network of over 2400 offices in
20 countries. London, New York, Shanghai, Hong Kong, Bahrain and Singapore are among the
company’s primary financial centers. Maybank Premier Wealth debuted in Singapore and
Malaysia in 2014.

b) TYPES OF PLANNING USE:-

The type of planning use in Maybank is organizational plan. Organizational plan can be divided
into two which are standing plan and single use plan. For Maybank, they use both plans. Below
are the examples: -

1) Standing plan – Policy

to anyone whose personal data has been supplied to the Maybank Group and/or gathered
in other ways as specified in Section 3 of this Privacy Notice.
You can choose not to provide your personal data/sensitive personal data at any
time or cancel your consent to Maybank Group processing your personal data/sensitive
personal data at any time. However, if you do not give such personal data/sensitive
personal data, or if you revoke your consent to process personal data/sensitive personal
data, Maybank Group may be unable to offer you with effective and continued products
and services.

 What types of personal data do we collect?


Your name, address, and other contact information, as well as your age, occupation,
marital status, financial information such as your income or tax details, your identity card
or passport, place of birth, credit history, and transaction history, are examples of the
types of personal data we collect.

 How do we collect your personal data?
We obtain your personal data in various ways, such as:

i) When you sign up for or use one of the many services we provide or when you
register an account at any Maybank Group websites; and/or
ii) When you contact any of Maybank Group entities through various methods such
as application forms, emails and letters, telephone calls and conversations you
have with our staff in a branch. If you contact us or we contact you using
telephone, we may monitor or record the phone call for quality assurance,
training and security purposes; and/or
iii) From our analysis of your transactions (e.g. payment history, loan, or deposit
balances, credit or debit card purchases); and/or
iv) We may also obtain your personal data when you participate in customer surveys
or when you sign up for any of our competitions or promotions; and/or
v) When we obtain any data and information from third parties (e.g. credit reference
agencies, regulatory and enforcement agencies, employers, joint account holders,
guarantors, legal representatives, spouses, parents, guardians, dependents and/or
companies/partnership that you hold directorships, shareholdings or partnership
in); and/or
vi) When you enter into any commercial transactions with the Maybank Group
including but not limited to you providing goods and/or services or your
professional services; ; and/or
vii) From video recordings from close circuit security surveillance cameras and audio
recordings; and/or
viii) From publicly available sources.

 How do we protect your data?
The security of your personal data is our priority. Maybank Group takes all physical,
technical and organisational measures needed to ensure the security and confidentiality of
personal data.  If we disclose any of your personal data to our authorised agents or
service providers, we will require them to appropriately safeguard the personal data
provided to them.

 How long may we retain your personal data?


We will only retain your personal data for as long as necessary to fulfil the purpose(s) for
which it was collected or to comply with legal, regulatory, and internal requirements.
Afterwards we will destruct or permanently delete your data.

b) Type of departmentalization

Many don’t know this, but Maybank combine three types of departmentalization which
are functional, divisional and matrix. All these three departments are combined to form one
hybrid organizational structure to make the groups to work together to accomplish goals. By
doing this hybrid departmentalization, the employees have to report about their work to the Chief
Financial Manager who is in charge. Maybank offers pros and cons to the organization in order
to achieve the best possible results by doing their work effectively and efficiently. For example,
Maybank successfully signed a RM6 million contract with oracle corporation Malaysia for a data
warehouse project. Moreover, Maybank has a functional structure that focuses on methodical
work and group specialties together. Employees with same department units based on product or
service, activities performed by employees, level of skill or expertise. Individuals are split into
certain divisions inside the organization, with each divisions have its own function to achieve
individual goals.

LEADING:
a) Leadership approach available in the company

Leading is the process of directing and influencing group members' task-related


activities, or of directing human resource efforts toward organizational goals. Trait theory,
behavioral theory, and contingency theory are three approaches to leadership. But in Maybank
they mostly used behavioral theory. This can be based on the Michigan Studies which was
introduced by Rensis Likert. Two basic forms of leader behavior in Michigan Studies are task
orientation leader behavior and relations orientation leader behavior.

Task orientation leader behavior mostly focus on job where the leader pays close
attention to employees’ work, corporate goals, setting standards and performances. For example,
Maybank have countless achievement, but their biggest achievement is becoming the largest
financial services and banking group in Malaysia. This is due to their notable milestones like
QRPay and Maybank Trade. All this is possible because the task orientation leadership that
pushes the employees and staffs to work harder thus making Maybank become successful. There
are many benefits for using the task orientation leader behavior such as it can reach more goals
in the company. The leader will always find ways to achieve the goals in a faster way. It also
helps you meet your company’s objectives, which may be beneficial to everyone who works
there. Other than that, it also can find better systems to get work done. The leader will cut down
any unnecessary tasks, which many employees may appreciate. Busy work is a waste of time for
these kinds of leaders, making them more likely to find more important work for their team.
However, there are also disadvantage in this leader behavior like lack of team bonding. Task-
focused leadership can lead to unhealthy competition among your team members. This may
cause them to not feel appreciated by the leader. Next, it also may cause less personal
development. While goal planning may assist your team in meeting the company's objectives, it
may not assist in their personal development. Thus, individual will have less experience and
skills in the job.

Relations orientation leader behavior focuses on employee only where the leaders
develop organized work groups and ensure employee satisfaction. For example, Maybank offers
plenty of employees benefits such as insurance, financial retirement, performance bonuses and
many more. They also do corporate events such as open houses for Hari Raya, National Labour
Day Celebration and Family Day. These events were participated by the staffs and their families.
The events held to build strong relationship between them. That can make the employees feel
satisfied because they feel appreciated by their leader. The advantage of relations orientation
leader behavior is that it can be a motivation boost. The employees who feel valued and listened
will be more motivated to do their work and increase productivity. Secondly, it will also create
an inclusive atmosphere in the working area. Team members feel like a valued, integral part of
the business because they can see their voice counts. There are also disadvantages in this leader
behavior. For instance, it will be hard to make tough decisions like firing someone. This is
because the leaders like a friend to the workers and he/she will have trouble in telling bad news
to their employees. Another disadvantage is that it will take longer to achieve the company goals
or results. This is because the leader is more towards employees well beings so they will not
pressure the workers too much.

Maybank concluded that the most productive work group leaders are those that have a
relations orientation leadership style rather than a task-oriented leadership style. Relations
orientation leadership style is the most productive because it prioritizes employees over jobs and
takes care of their well-being in order to promote good relationships between leaders and
employees.

CONTROLLING:
a) Controlling method used by the company

Controlling is a method for ensuring that actual activities match planned activities or for
monitoring performance and taking action to assure desired outcomes. The types of control used
by Maybank are pre-action control, steering control, Screening control (Yes or No control) and
post action control.

Pre-action control is a control that is done at the input level of any production or service.
The purpose is to anticipate potential problems and prevent them from occurring. For example,
before Maybank set up a new automated teller machine (ATM), they have to make sure it works
properly. The machine must be working fine, and no problems occurred during test runs so that it
will keep data and money safe from any robbery.

Besides that, steering control is a control that occurs during the work process or the
transformation process. The goal of steering control is to spot problems as they develop and take
actions to correct it before the results. For instance, the ATM machines that have problems
during customers are using it, the company should take immediate action by closing the machine
for the public. They should quickly fix the problem so that the money and satisfactory of
customers will not drop.

Next, screening control (Yes or No control) is done through specify check points that
must be completed before it can proceed further. Before proceeding to the next sequence, the
service must be approved to meet specific conditions. For example, before Maybank can approve
a large check amount, it has to go through several stages, because it involves a large amount of
money.

Lastly, post-action control is a controlling that takes place after an action is completed. It
is mostly about customers’ feedbacks on the services provided and if they are complaints, the
company will take actions to correct them in the future. For example, Maybank have a customer
service where they can make complaints about any specific products or services that they are
unhappy about. They also have an app called the MAE app to help customers see their
transactions easily without heading to the bank.
