Trainer- Good morning Rahul, how come you are late today?

Rahul – Good morning, I woke up late in the morning, apologies for that, I would take care of it from the
next time.

Trainer – Come and Sit down, today, we are going to talk about some important aspects about work life.

You are going to start your career and you have learnt a lot about the technical things related to your
work. But there is an important aspect about work life known as work ethics. Work ethics has a lot of
importance when it comes to an individual’s career and overall growth. It consists of the following
aspects:

1. Presentation – attire, behavior and communication


2. Organizing Documents
3. Time and work management
4. Team-work and collaboration
5. Responsibilities towards Company
6. Conflict and social media
7. Work life Balance

1) Presentation- attire, behavior and communication

Coming to office with proper grooming and proper clothes is also a part of the presentation of
oneself. The office or branch is a place of work where you interact and meet with your peers,
seniors, customers and various other kind of people. That is why our clothes, behavior, way of
speaking should be according to the culture of the office. This forms an important part of our
personality which contributes to our success. That is why it is very important to learn and
inculcate these in our lives. For example, the role of a micro credit officer consists of both the
field work and the office work. That is why the clothes and footwear of a micro credit officer
should always be comfortable and sober. For males, it is usually shirt and pant and for females,
it is usually Suit or saree. Dressing should be done according to the occasion and it should be
clean and sober. Shiny or weary clothes are not recommended to be worn in a workplace. Apart
from clothes, one should also take care about one’s grooming. Taking a bath, having brush,
shaving, keeping the hair and nails clean and short, covering one’s mouth while coughing,
sneezing and yawning, not to consume tobacco, ciggerate and alcohol or any other kind of
intoxication are some of the things one should be careful about. This way the both the individual
nad the people meeting the individual would feel good. A

Another important aspect of presentation is one’s behavior and communication. Having proper
behavior and communication in an office setting is an art and we have to take care about a lot of
important aspects in this regard too. These aspects include:

- Be friendly

- Respect others
- positive vocal and body language

- talk by understanding personality and interest area

- be careful on sensitive issue

- listen carefully, give chance to others to speak

- avoid incomplete or wrong information

- never insult others or make fun of others

- never make loose remarks

- handling difficult situations

2) Organizing Documents- The second important aspect of work ethics is to keep the company’s
document carefully and in an organized manner. Not doing these would leads to delays and
inconvenience in the workplace. In order to do these, remember the following things:
- Safe keeping of documents- Keep a scanned image/photo copy of important documents in a
digital format/cloud space apart from the physical copy and keep the physical copies in a safe
space too.
- Keep your phones, laptops, USB, Bags, Helmets, bike etc. should be kept safe and secured.
Always ensure that the phones and chargers are charged, the petrol tank in the bike is filled
and the bike tires have sufficient air before going to the field
- The loan documents such as the application form, customer documents, agreement etc.
should be filed properly according to the company’s policy. The arrangement and filing of
documents should be done in such a way that neither the individual nor the company’s
employee faces any trouble while finding any document.
- The branch of any organization contains a lot of documents. Ensure that the documents are
properly arranged and are kept in the right place and should be secured so that it could not
be misused by anybody.
- Maintain the cleanliness of the office and the arrangement and supply of important
documents and stationery should always be available.
3) Third is Time and work Management- In fields like micro credit, one needs to organize the work
and time very efficiently. We have the responsibility of a lot of customers, we also have to take
care of reporting and follow up and also have to cover up a big area for work. That is why it
becomes essential to do work in an organized and punctual manner. Like this management
includes waking up on time in the morning and reaching the office on time ,as delay in the
morning would disturb the schedule of the whole day. Having a record of your work of the day.
Keeping a diary or sticky notes or calendar consisting of the schedule of your work is essential so
that we don’t miss any work and the work is completed on time. ALSO, Do write the pending
work too and try to complete that also asap. Always keep a writing pad and a pen with you and
noting down all the important points. Keeping a schedule of the work and implementing the
schedule would ensure that the work is done properly and on time. Complete the work
according to the importance and priority of work ,after discussing with the seniors and not doing
it as per your wish, or what you like but deciding the work based on the company priority
allocating the time and completing the work is extremely essential.
4) Fourth one is Team work and Collaboration- Whenever we work for an organization, there are
a lot of people that get involved with us like branch people, seniors, zonal people etc. We all
work for the objectives of the organization and that is why it is important to collaborate and
work as a team and support the team. This way the work gets done comparatively easily,
everyone grows together and it creates a healthy atmosphere.Therefore stress on team work
and collaboration. For example: Every person in the team has their roles and responsibilities and
therefore, it is essential that we value and respect everybody in the team and not hesitating to
help or to ask for help from your peers. Take the feedback from seniors and peers with a
positive attitude and try to give feedback to others in a positive form only and also accept and
hear what people are trying to say. Try to resolve conflicts in a smart and professional manner. If
required take help from senior management. Always participate in the meetings and discussions
and never hesitate to take new work and learn from the new work. This would increase our
value and respect in the organization , and we open new avenues for learning and would also
increase the chance for promotion.
5) Fifth is Responsibility towards the company- we also have a lot of responsibilities towards the
company too like following the rules and regulations of the company, using the resources and
name of the company in a proper format and in a proper manner and informing the
management of the company about any wrong doing that you find in the company.

You are right Rahul and we have a very important policy related to this which is known as
whistle blower policy.

Girl: As you can understand from the name itself Whistle blower means if u find anything wrong ,you
blow the whistle and alert the company

Through the whistleblower policy if anyone be it employee, customer, vendor,partner sees anything
wrong or unethical in the company then he/she can inform the designated officer.

- Identity and details of the complainant are kept secret so that there is no harm to the person
who complains against the wrong doings.
- Whistleblower policy is an internal policy and every company has its own rules and processes
so if u find anything wrong in the company you can inform the company under this policy.
- After receiving the complaint company interrogates and based on the evidence takes it
forward.

Girl: Very good now let’s talk about the behavior with the female employees in the organization..

Yes you are right. You will be in contact with many female employees during the work , most of the
customers are also females, also in the company you are working with female employees. Your behavior
is absolutely fine but while interacting with the female employees you need to keep certain things in
mind:

ALways be respectful to them and never try to exploit anyone. Never discriminate anyone on the basis
of their sex, caste, religion etc. Always try to keep equality in the workplace. Never speak anything that
could be taken in a wrong way. Never exchange any personal stuff, or never have personal talks with the
customer. Never give importance to one customer more than the other and behave the same with every
customer of the group. Never share any personal relationship with any customer. Avoid statements that
might be offensive. Meet/contact the customer only at an appropriate time and for only work-related
matters.

Complaints from females against any misbehavior or wrong attitude will be registered under sexual
harassment case and will be taken very seriously by the company and dealt with severely.

6) Never disclose any confidential matter with the customer. Always visit to borrower’s home with
colleague or other customer. In case of any problem, report the problem to senior officials of
company immediately. Never misbehave with customers in any circumstance. In case of any
local issue, handle the issue wisely while keeping the senior officials involved. Never give any
public statement without consulting. Share instructions of the company with local
administration. Never share any confidential information with the customer or anybody on any
social media platform. Never spread any rumors. Never Spread any information that hurts the
sentiments of an individual or a group without proper permission from the company.
7) Work life balance- We ourselves have to take care of ourselves and try to maintain the work life
balance. There can be different types of stresses in a workplace. These include:
- Error In work
- Delay in work
- Incomplete work
- Peer pressure of performance
- Job insecurity/fear of job loss
- Misbehavior of colleague/senior officer/incompetency
- Unaware of new tools/technology
- Personal/family problem

In order to manage these, we need a balance between professional and personal life. In order to
maintain work life balance, we could take the following steps:

- Find out time for work which you enjoy the most
- Take care of your health, food habits and sleep
- Develop and maintain relationship with family and relatives
- Spend time with family, friends and relatives
- Give commitment after checking your capabilities
- Set Realistic Targets
- Build healthy bonding with your colleagues and managers
