9) Monitor Attendance/bio metric every day by 10.30 AM.
10) Shall report late attendance to higher authorities
11) Conduct Spandana daily at Ward Secretariat.
12) Maintain Leave register & other related registers if any
13) Shall monitor outdoor visits of other secretaries through movement register.
14) Collection, Generation and sending Daily reports to Higher Authorities.
15) Remittance of Cheques (Cash if any) at ULB Office/any other designated place/Person designated by the
Municipal Commissioner on the same day.
16) Handbook should be Maintained
17) Attending RTI with in the time limits prescribed
18) Court Cases, SC/ST/HRC/Legal issues by maintaining registers and Coordinating with Municipal Standing
Counsel.
19) Shall record the tappals on the day of receipt itself and distribute them to concerned secretary on the same
day with due acknowledgement and see that all secretaries process files as per rules and in time.

April • Preparation on PT/VLT/water charges arrear list, Demand Notices generation and Distribution and give
wide publicity on 5% rebate on PT and concentrate on collections by utilizing the rebate offer.

May • Asset Register Updation, Completion of Distribution of demand notices.

June • Collection of 1st Half Year Taxes from all tax payers as per the demand notices to avoid imposition of
penalty on PT. Concentration on water supply in summer
July • Updating the register of people living outside ULB related to PT. Collection of PT/VLT/water charges
August • Concentration on Tax Collection, Tree Plantation monitoring, filing of charge sheets against the
defaulters for more than 3 years and filing of suits against defaulters of more than 6 years.
September • Concentration on Tax Collection, Tree Plantation monitoring, Identification of time barred assessments
and report to RI/RO

December • Collection of 2nd Half Year Taxes from all tax payers as per the demand notice to avoid imposition of

While all the activities daily, monthly (Roles and Responsibilities) have to be fulfilled by the Secretary, each of the specific
activity is assigned to a month, to lend specific focus and enable micro level activity plan
Summer season • Focus on uniform distribution water to all areas, and tail end areas through piped
(March to June) supply and through water tankers.
• Special care to avoid water contamination by pipe leakages, shifting of taps, crossing
of drains, etc.
• Establishment of "Cooling Water Centres" (Chalivendram)
• Providing Temporary shelters during Heat wave period.
• Providing Open Water Tubs for Animals/Birds.
• Focus on Water Quality tests to maintain the Chlorine levels in supplied water.
• Desilting of major out fall drains.
In addition to the daily activities, the Ward Amenity Secretaries shall perform the Specific
activities during the season, as per the priority
Rainy season • Readiness for clearing of blocks in the drains by keeping available with Diesel Pump-
(July to December) sets/Motors to avoid inundation of low-lying localities.
• Focus on Water Quality tests to maintain the Chlorine levels in supplied water.
• Monitoring of Turbidity of water
• Specific Water Tests such as e-coli, to prevent water contamination.
• Immediate action for removal of fallen trees during heavy rains.
In addition to the daily activities, the Ward Amenity Secretaries shall perform the Specific
activities during the season, as per the priority
March Pot Holes filling for Roads, Man Holes Repairs, Valve Pit Repairs

• On every 30th day of the month, Civil Rights Day shall be conducted
