Accepted. We undertake to carry out the works relating to our Consultancy as per
the attached conditions of agreement.

CONDITIONS OF AGREEMENT
1. SCOPE OF WORK:

The architect shall provide services in respect of the following works:


1.1. Site evaluation and analysis
1.2. Design proposals and layouts.
1.3. Architectural work and site development details
1.4. Structural work and design.
1.5. Sanitary, plumbing, drainage, water supply and sewerage work.
1.6. Electrical works schematic drawings (in association with electrical consultant)
1.7. Heating, ventilation and air conditioning work (only to the extent of
coordinating with the consultant appointed independently by the Client).
1.8. Acoustical work. (Only to the extent of coordinating with the consultant
appointed independently by the Client).
1.9. All services according the detailed schedule of architectural services agreed
upon.
2. SCHEDULE OF SERVICES

2.1. Establish Planning, Design Directions and Requirements

2.1.1. Preliminary Meetings

Attend and request preliminary meetings:


 For the purpose of Design presentation or project control and
coordination
 To understand the requirement of the client.
 To coordinate with the client and other parties involved.
 To mutually agree upon the general concepts and practical
consideration on which to base the architect’s initial services covered
by this agreement.

2.2. Develop Planning and Design Solutions


2.2.1. Preliminary Studies
Prepare preliminary studies; furnish a site evaluation and analysis report
with basic approach to circulation, activity distribution and interaction.
2.2.2. Conceptual Design
Upon receipt of client’s approval on the basic concepts and the
requirements, architect will proceed to complete presentation, which will
consist of conceptual designs with reference to requirements given.
2.2.3. Preliminary Final Drawings
Modify the conceptual designs incorporating required changes and prepare
preliminary drawings and designs.
2.2.4. Final Drawings
Prepare and submit complete working drawings and details sufficient to
commence the work at the site for the proper execution during
construction.
2.2.5. Inspection and supervision
Visit the site of work at least as required and provide periodic supervision
as and when necessary at various phases of the construction to ensure that
methods and materials confirm to the architect’s drawing and specification.

3. PAYMENT SCHEDULE

3.1. STAGE 1: RETAINER Rs. 40,000.00

4. EXECUTION OF ASSIGNMENT

4.1. VALIDITY OF CONTRACT: The fees agreed would remain valid for a period of two
years from the date of signing of the Agreement. Thereafter, if the Project
continues for reasons whatsoever, Client would pay a retainer of 10% of the agreed
FEE per month for the period of continuation of work after two years. These
payments would be made on a monthly basis.

4.2. VALIDITY OF QUOTATION: The fee agreed would be valid for a period of six months
in the event of non-commencement of work. After this period, the Architect
reserves the right to re-negotiate the FEE.

4.3. TIME FOR PAYMENT OF BILLS: Payments would be made within Seven days of the
raising of Invoice/ Statement of account. The work is liable to be stopped at the
Architect’s Office in the event of non-payment.

4.4. SIGN-OFF BASED MILESTONES The Drawings and design development are to be
followed up as per the PMC enclosed. The Sign-Offs mentioned as per the PMC are
considered to be milestones in the development of Architectural work.

5. REIMBURSABLE EXPENSES

In addition to the fee payable under the preceding clauses, the Client will reimburse the
Architect towards the actual expense incurred on the following:

5.1 Return airfare or fist class AC train-fare for any visit made in connection with the work.
5.2 Actual lodging and boarding expenses and local transport as per actual in case of
outstation sites.
5.3 Cost of models
5.4 Liaison towards Sanction of plans

6. CLIENT’S RESPONSIBILITIES:

6.1 Provide detailed requirements for the project.


6.2 Provide a correct zoning plan and site plan to suitable scale showing boundaries,
contours at suitable intervals, existing physical features including any existing roads,
paths, trees, existing structures and services lines.
6.3 Furnish reports on soil conditions and soil test as required by the Architect.
6.4 In the case of Client being a Government agency, it will furnish PWD schedule of rates,
codes of practice and other documents pertaining to the local statutory bodies to be
followed by the Architect.
6.5 Pay the fee of the Architect within a week of submission of the bills.
