External Id : It is used to maintain the uniqueness of a record.

Ex:Text,phone,email.

Profiles:

1) Profiles control the visibility of applications

a.Tabs a user can see

b.objects a user can see

c.read,edit,add,delete

d.fields

**** one user can only have one profile,but one profile can be given to multiple users at a time.

Tabs:

Default on Tab setting :We can see tabs at the top and it should have atleast read permission

Default Off Tab Setting:We see tabs by using the + sign at the top

Tab hidden setting:We cannot see any tabs

Field level security:

Permission Sets:-

When we have to give certain permission to a particular user then we go for permission sets.

The permission set should also belong to the same licence that you created .

We can only grant permission and we can’t take away any access.

OWD:

If I want to make sure that the records created by me should not be visible to others then we go for
organisational defaults.

Three diff options:

1.Public:Everyone will be able to see the records that we have created

2.Private:only you will be able to see the records u created

3.Read only

4.Private read and edit

Type sharing settings in quick find box and go to position object

Roles:

Roles come into picture when OWD is private

If we check Grant using hierarchies we can control by using roles

Workflows:

1.Send an update (field update)

2.Send email

3.Task creation(Whenever the task is assigned to a particular user you will get an email and to see
open tasks go to homepage)

4.Outbound system

We can use workflows along with approval process

Workflow does not need human interaction

Two types of workflows:-

Time dependent actions

Time independent actions

Workflow Evaluation Criteria:


1.Created

2.Created and everytime edited

3.Created and any time its edited to subsequently meet criteria

Rule criteria:

1.Criteria are met

2.formula evaluates to true

When create workflow action with email template if we check protected component then we cant
be able to edit

 Tasks—Assign a new task to a user, role, or record owner.


 Email Alerts—Send an email to one or more recipients you specify.
 Field Updates—Update the value of a field on a record.
 Outbound Messages—Send a secure, configurable API message (in XML format) to a designated listener.

We need to activate the workflow

Approval Process:

1.Jump Start wizard: One step approval process

2.Standard setup wizard: we can have multiple approvers

Appexchange:-

Its like a playstore or appstore in mobile

Chatter:

Through chatter we can track and follow people and can track if an user changes a particular record.

To do this we need to type feed tracking


Chatter Group:

1.Public :-Everyone will be able to join

2.Private:We need to grant permission to join

3.Broadcast:Only group owners can create records

Record Types:

Record Types controls what section you can see based on the record types. Here we can hide fields
which need not to be seen if a particular record type is selected.

Personal setup:

Grant account login access: a place where you can give access to administrator or salesforce.com support when
an issue is generated

My groups:We can create groups

Reset my security token:-We need to append your pwd with this security token

Login history: we can track who logged in particular time

Approval settings:when we are not working and we assign some approver.he can only reject or approve but
cannot reassign.

Advanced user details: we can enter into development when the checkbox is selected and can create apex or
visualforce pages

Company setup:

In company setup we have information about how many users u have and how many licences you used

Fiscal Year: It varies according to company

Business hours: These are used when your setting up rules workflow actions

Holidays: We can mention holidays

Language settings: we can select language


Sandbox:

Production url login.salesforce.com it is same for developer

Test.salesforce.com url :-- if we want to login to a test environmmets

1.full sandbox
2.Partial copy sandbox:5gb we can store upto 2.5 million records and sample of production data is stored
3.Developer pro—1gb we can store upto 0.5 million records it does not copy production data
4.developer sandbox—200mb data.it does not copy production data

Metadata is data about data.

All the sandboxes are paid

Standard Objects:-

Leads: lead is someone who is interested to buy the product or bought a product than that lead will be coverted
to contact..Leads can be generated through different ways. Like paper ,emails and so on ,phone

Account: It is a particular company a particular contact will belong to a particular account

Oppurtunities: The real transaction that happen like deal

Web to lead :- it is a creative form when ever someone comes online and submit form a new lead will be created
and it will be automatically created in salesforce database

Web to case:-

Campaigns:- when we want to advertise something ..campaigns will generate leads

Forecats: will tell you where your company will be in the next year or day or month

Contracts : These are legal information and documentation will be stored

Order:Prodcuts which you have or pending orders

Cases :need to track issues

Solutions: a place where we document issues

Reports:

Under reports select other reports

1.Tabular: Most simpler report. We cannot create a dashboard of tabular limit

3.Matrix
4.Joined

Summary report: When grouping is involved that’s where we use summary report.we can do grouping only in row
wise .we don’t have row limit in summary report

Matrix: we can do grouping by rows and colums both .

Dashboards:

it can be build based on reports

Row limit gives top 10 or top 5 records


Scatter,guage and metric chart we cannot create even if we have row limit

Guage chart is used to measure the profit of your company

Picklist:

Field dependencies for picklist.

If we select one field we the field related to that field should be displayed

Lookup we can have 25 relationships on lookup and 2 for master.

Rollup relationships is present only on Master detail relationships.

Cross object formula: We can create a relationship

Many to Many Relations:

We need to create a junction object to have many to many relationship.

Junction object is an object which have two master detail relationships.

Sharing rules: when we want to share records between cross teams then we go for sharing rules
even when the owd is private and roles will work for one team
