Chapter L Background of The Problem
INTRODUCTION
The Southern Mindanao Colleges has been producing professionals that graduated from different
courses. These professionals are ready to compete for jobs and careers. Some of them are
employed in jobs that fit their fields of expertise. Some of them are employed in jobs that are not
related to their chosen fields of expertise.
The number of graduates produced by the Southern Mindanao Colleges is one of the factors of
difficulty in tracing graduates and their careers. The SMC has many departments, makes tracing
graduates too hard because of the different courses taken.
This is the reason why Graduate Tracer System was conceptualized. This project will
support the graduate tracer study. The Graduate Tracer System will be able to trace graduate
from a specific department if they are employed or unemployed, and if employed the project will
trace whether their jobs fit their course graduated.
SCOPE AND LIMITATION
This capstone project will be limited only on the graduate tracer system of the school. The
researchers will focus on gathering relevant data such as data of students.
The admin module feature of the proposed system will focus on adding, and editing alumni’
information, maintaining and managing table entries of users and user’s log; and monitoring of
the changes done by authorized users in the system.
Only the admin who has access to the Admin Module has full access to the different features of
the system.
CHAPTER ll REVIEW OF RELATED LITERATURE AND SYSTEMS
This chapter shows the related literature and research studies after comprehensive and complete
research of the researchers. This will also present the theoretical background and conceptual
framework to have knowledge about the study. Graduate Tracer study is a system that is used by
many organizations in an Academe to track and keep record of the students who graduated from
the academe. With the use of a Graduate Tracer, an Academe will be able to assess the quality of
the education and effectiveness of the curriculum given to the students by knowing their
employment status, and job positions for the Academe to know if there are changes to be made in
the curriculum given to the students.
A study by Chinyama and Zembere (1996) of the University of Malawi, show the results of the
graduates of the University of Malawi who graduated from 1987 to 1995, shows that the
opportunities of securing a job by a graduate had declined over the years and the waiting time of
the graduates to find a job increased. The study also shows that most of the graduates had change
jobs more than once and most of the graduates are employed in the Education sector.

We have decided to design and develop a tracer system that is used for tracing the alumni and
easy to use. The proposed SMC tracer system is good for tracing the graduate. This could be a
great help to the people who want to search or track alumni by providing fast and easier access to
information.
PURPOSE AND DESCRIPTION
The main purpose of this capstone project is to develop graduate tracer system that is useful,
accurate, reliable, and easy to use. The proposed capstone project entitled “SMC graduate tracer”
will be designed and developed by the researchers for the instructor, registrar and alumni.
The features of the system will focus on: login/logout services, admin module, instructor
module, registrar module, alumni module, and database maintenance.
Log-in/Log-out Services refers to one of the features of the proposed system that will require
authorized users to enter their user username and password to be able to access their user account
in the administrator’s module, instructor’s module, registrar module, and alumni module.
The admin Module, allows the admin to manage and maintain the information of the alumni to
add other users.
instructor’s Module, is able to view the list of alumni and their information.
Registrar module Registrar, same with the Instructor it can also view the list of the alumni and
their information.
alumni module, Alumni able to log in and view there own profile but cannot view the list of the
alumni.
This project will provide an alumni database for the school. It will store alumni’s records such as
alumni’s name, id, course, year graduated, and industry.
TECHNICAL BACKGROUND
The Southern Mindanao Colleges does not have an existing graduate tracer that is essential and
necessary for tracing the graduate process and generation of reports.
For the implementation of the proposed system, the school needs to acquire computer units,
machine for printing results, and set-up Local Area Network connectivity.
Using the graduate tracer system and taking advantage of the technology in processing data, and
in their graduate tracer system will provide an effective means of processing information and
record-keeping for the school.
CHAPTER III DESIGN AND METHODOLOGY
REQUIREMENT ANALYSIS
The proposed system is entitled “SMC Graduate Tracer”, a web application that provides and
trace graduate where they are working and what is there position in the company that they are
working on.
In this phase, the researchers define different activity on the study. They prepare the needs
assessment survey for the data gathering to determine the needs, problems, project’s scope and
the different system requirements.
REQUIREMENTS DOCUMENTATION
Design of a software system product and/or processes
Before the developers proceeded to the actual coding, the requirements were identified what would be
the output of the system. In this phase, the developers create a Schematic Diagram / Flowchart to
capture the actual layout of the system design.
