THE PROBLEM AND ITS SCOPE
Introduction
Innovation have made possible for the operations of the computer easy
enough in processing record systems such as, creation of data records, storing, filing
and retrieval of data. Through the development of Information and Communications
Technology, people nowadays are living in the so called digital world. Because of
this trend, even schools and universities are taking their steps to be a part of digital
community.Portals have risen in popularity as a way of collecting, organizing and
presenting content in a highly uniform, customizable and personalized way. It is
commonly used in colleges and universities where prompt information and
necessary updates must be readily available to a large number of students.
Short Message Service (SMS) allows text-based messages to be sent to and
from mobile telephones on a GSM network. Each message has a maximum length of
160 characters. It is mostly used for warning notifications.

Messaging is a method of communication between software components or
applications. A messaging system is a peer-to-peer facility: A messaging client can
send messages to, and receive messages from, any other client. Messaging enables

distributed communication that is loosely coupled. A component sends a message to
a destination, and the recipient can retrieve the message from the destination.
Messaging also differs from electronic mail (email), which is a method of
communication between people or between software applications and people.

One of the main problems of the students is the time consuming process on
getting their grades and class schedule. They can’t immediately inquire their grades
without going to the registrar. Also, the students are not updated on their current bill
and upcoming activities in the university. Some of the parents of the students don’t
know the grades of their children because they are afraid that their parents will know
the grades they get.
Online Student Portal with Grades Notification via SMS raises the availability
of certain students’ record like grades, finances/accounts and class schedule.
Through this system they can also be updated on the events of the university
through the update section. And for the parents, they will be notified on the grades of
their children. As soon as the instructors updated the grades it will automatically
send to the parents.It will provide less effort and a more effective and timely outcome
for the students and the registrar.

The proponents of this study wish to reduce the hassle and more convenient
for the students to inquire their grades, accounts, class schedule and updates
through a website, using their student id number and password they can log in to the
portal. As for the part of the parents, they can now monitor and supervise the
performance of their children at school because the grades will directly notify to
them.

The literature and studies and cited in this chapter tackle the different
concept, understanding, and ideas, related to study from the past up to the present
and which serves as the proponents guide in developing the project. Those that were
also included in this chapter helps in familiarizing information that are relevant and
similar to the present study.

Portal is aimed at active students at Chalmers. In addition to regular web pages, the

Links between systems can sometimes make the Student Portal slow. The Student
Portal has a responsive design i.e. the design adapts to fit the size of the screen
regardless of browser or device.The contents of the Student Portal are divided into

students can access the online registration system (ORS), view their grades, request
for documents and update their contact information. It also includes links to the
learning management system (MyPortal), library and other online services exclusive
for UPOU students.MyPortal is the university's virtual learning environment. This is
where you, as a student, hold your classes, interact with your Faculty-In-Charge as
well as with tutors and other classmates, share various resources ranging from
documents to videos and sound files, and submit quizzes and assignments, and so

will serve as an online channel for student concerns was launched today in the

"[t]hrough this portal, you may view your student profile and grades, check for
announcements posted by the Office of Student Affairs (OSA), post on the student
bulletin board, and engage in online discussions. Student organizations can also use

The above literature and studies presented valuable and essential concept
and ideas that helped the proponent in developing the project. It gives those insights
and knowledge based on the study.

benefitsin using student portal such that students cancheck progress through
accessing their grades.Stay informed through the announcements posted on the
portal and convenience access of information by just logging in through the student

Online Student Portal with Grades Notification via SMS focused on the
students’ information such as grades, accounts, class schedule and updates on the
university. It allows students to inquire the following features through student portal.
The online is cost effective and accessible anytime.
The framework of the study is presented in Figure 1, the first box is the
inputthat contains the software and programming languages incorporated to develop
the project. The second box represents the process that contains the ways and
means through the input and technical specification used in processing the project.
These are the inputs and processes used to produce the output which is the

Statement of the Purpose and Objectives
The main objectives and purpose of the study is to design and develop an Online
Student Portal with Grades Notification via SMS. That specifically aims to:
 Design a system that will give access to the students to view their grades,
accounts, class schedule and updates via online.
 Develop a system that will send grades automatically to the parents of the
students.
 Implement Online Student Portal with Grades Notification via SMS.
Significance of the Study
The development of Online Student Portal with Grades Notification via SMS
may be most beneficial to the following:
 For the Students –Students are the ones that have a great
benefit on the students’ portal because it will provide them quick
access of their taken subjects prior to the curriculum they had
enrolled with the corresponding final grades for each. Also, the
system ensures the confidentiality and the update of records for
each semester as long as new grades are issued to help the
students be informed of their academic performance in the
University. Aside from grades and subjects that can be viewed,
a student will also have the privilege to view some his or her

financial data that was managed by the accounting office and
keep updated on the current events of the University.
 For the Registrar’s Office - As the students will be provided of
options on determining their academic records, whether to just
view it on the portal or to still ask for a printed copy coming from
the Registrar’s office, somehow there will be a lessening of task
on the Registrar’s part.
 For the Accounting Office – The Accounting office can gain
benefit from the students’ portal since the students can already
check over their financial records online reducing the printing of
documents such as the statement of accounts if permitted.
 For the Parents – As for the parents of the students, they can
now monitor and supervise the grades of their children through
an SMS Alert.
 For the Future Researchers - The future researchers can
acquire fundamental knowledge from and be able to use this
thesis documentation as basis of their own research study if it’s
all about developing a students’ portal.

Scope and Limitation
The students can view their grades, accounts, class schedule and updates via
online.Only registered numbers are covered to be notified the grades of their
children.The system is password protected. The system automatically back up the
database.
Only enrolled students of the university can use this system.It cannot be used
for conversation. The system cannot accept landline number in registration for the
parents as their contact number.The system cannot print any of the provided
information.
Definition of Terms
Online Student Portal - A student portal is an online gateway where students
can log into a school website to access important information.
SMS – a notification used to send the grades to the parents
Database – collection of information of the students
Grades – the student get from the course at the end of the semester and one
of the features on the portal
Class Schedule – schedule of the students’ courses enrolled and the also
feature on the portal.

Chapter 2
METHOD
This chapter presents the methodology applied in the study like research
design, system design, participants, instruments, data gathering procedure and the
data analysis as basis and guidance of the proponents to complete this research.
Research Design
The study used a descriptive research design to gather and acquire important
information related to the proposed system that could help determining the
performance level of efficiency, accuracy, cost effectiveness and user friendly.
The proponents’ first approach is to plan, observe, identify and analyze
possible solutions to the problem stated above and come up with a real time system
that would benefit the users.
Figure 2 presents the system design; it explains the process and flow of the
system. Student id number will be used to log in to the online student portal together
with the desired password. When the log in process completes, you will go directly to
the home page. Updates, about and profile can be seen in the home page, by
clicking the profile you can now access your grades, class schedule and account. As
the instructors update the grades it will directly notify the parents of the students via
SMS Alert.

Participants
The participants of the study are the following:
Instructors – responsible for the grades of the students
Accounting – responsible for the updating of accounts
Registrar – responsible for arranging the class schedule
Administrator – controls the information on the portal
Students – the one who will use the portal
Instrument
The study use structured interview to know more about what are the students’
point of view on the process of getting their grades and class schedule. By using
structured interview as an instrument of this study, the information’s are reliable and
usable. The responses of the interviewee are assured because it is face to face and
classifications of the interviewer are possible.

Procedure
Before the proponents gone to the documentation of the design system, they
discussed the common problems encountered by the students in the university. Then
they proposed a system which was used to implement and solved the said problem.
The proponents began to gather related ideas and information regarding the design
and process of the system from the Internet. The proponents would plan a design for
the proposed system and would ask help from their adviser and other expert in the
field of Information Technology for the design of the online student portal and how to
notify the grades to the parents.
In gathering the data, the proponents had gone online research to gather
ideas regarding the proposed system. Then, they would conduct interviews to the
following participants mentioned for the additional information needed. The
proponents designed the system based on the information and ideas they have
gathered and to solve the problem that would benefit the users.
Data Analysis
The proponents conducted an interview to obtain accurate information.

SYSTEM ANALYSIS AND DESIGN
Student portal plays a vital role to access specific data any time and location
over the Internet. This system is more easy and reliable than the manual process. It
gives availability of a certain student’s record.
Online Student Portal with Grades Notification via SMS gives access to the
students to inquire their grades, class schedule, billing account and updates. There
is a security in the system using the student id and desired password that the
manual process never had. The system assures the confidentiality and privacy of
records of the students. There is also an SMS notification for the parents on the
grades of their children. It is a continuous updates of information of the student.

OVERVIEW OF THE PRESENT SYSTEM
Surigao Del Sur State University Cantilan Campus uses manual process in
getting grades, class schedule, billing account and updates. They have to go to the
registrar to inquire their grades and get their class schedule. Students are not
allowed to have an update or look within their record every time they desired.
Considering that the registrar is also busy of the major works assigned. Naturally,
grades were available every end of the semester in a printed form. Certificate of
Registration or the class schedule will be given once to the students. While on the
accounting part, in order for a student to be informed of the balances remaining on
their account, the student should ask the finance officer. And if you want to have
your statement of account you have to pay first before they give it to you. Their way
of updating the students on the upcoming events and activities are through
meetings, announcement during the flag ceremony and posting on the bulletin
boards.

BOTTLENECKS
Bottleneck refers to a phenomenon where the performance or capacity of an
entire system is limited by a single or small number of components or resources.
The following are the bottlenecks of the system:
 The Administrator cannot make and send grades notification to the
parents if there is no electricity.
 No printed forms provided in the system.
 Student cannot access without Internet connection.
OVERVIEW OF THE PROPOSED SYSTEM
The proponents are developing a simple and easy to use Online Student
Portal with Grades Notification via SMS so that the students can access it without
complications on the process of the system.
The proposed system will decrease the number of manpower and time
needed to acquire the data featured in the student portal. It also gives less hassle for
the students, because they will not go to the registrar, accounting and bulletin boards
anymore.
Online Student Portal with Grades Notification via SMS is a system for the
student to have an access on their grades, class schedule, billing accounts and

the system. The students can view it anytime they want.
Parents should register their contact number to automatically notify the grades
