Introduction
Vision
The members of The Bassists team seek to create a sustainable Information Communication
Technology project to be implemented over a period of 12 months. The aim is to further integrate
modern technology into tertiary education, through the use of mobile devices and cloud computing.
The projected outcome is to deliver an improvement on student learning, both on and off-campus.
This would involve using expert systems to:

 Improve student and tutor time management


 Alert students to the best study times/exam preparation/assignment work according to their
individual schedule
 Synchronizing calendar events
 Alert students on upcoming classes/assessments/lectures via SMS/MMS
 Values

The group’s standards include delivering the project on time and within the budget constraints,
working hard and keeping to the task requirements of the “vision” above. Members do not
encourage discrimination of any forms, and will treat each other with respect. The group aims to use
constructive criticism with regards to the team’s work.

Task Distribution
 Tasks will be distributed evenly between all members. Members unable to attend meetings
will be notified of tasks via email or wiki.
 Members will be required to complete their allocated tasks by a decided due date (from the
last team meeting or correspondence).
 Most "short-term" tasks should be completed by the next team meeting.
 If a task is unable to be completed by the required due date, the member/s responsible will
be expected to give reasons as to why the task cannot be completed, while other members
should assist with the task in question.

Processes in place
Meetings
Meetings will be held weekly on Mondays from 3pm - 4pm, and on Fridays from 2:30pm to 3:00pm
(alternatively 10:30am to 11:00am). Further "random" meetings may occur, when time allows and a
need arises.

The purpose of these meetings will be to communicate ideas, assess each member's progress,
conduct group work, assign new tasks evenly, and provide support if members experience difficulties
with tasks.

Communication 
Members will communicate to each other through various means, including sms, voice call, team
wiki and email.

 Additional meetings will be announced through these mediums, and members should use these
mediums to make apologies for missing meetings.

Decision Making
 All members are encouraged to actively participate in team meetings, by voicing their opinions and
contributing to decisions.

If a dispute arises during a meeting, the active chairperson will ask for a vote to settle the issue. If
the problem is not solved, the members involved will be asked to contact Andrew Tan to help
resolve the issue. 

Risks
Minor Risks
Group members not turning up to meetings: If a group member cannot attend a meeting then they
must inform another member of the group before the meeting with a valid reason for the absence. 
If the reason is considered invalid by the rest of the group the offender will be given a warning and
the tutor will be informed.

Group member not contributing to meetings: Group meetings are times when the group comes
together to collaborate and trade ideas.  If a group member is not participating and sharing their
ideas this could affect the groups project.  To ensure that all members of the group are participating

at the start of all meetings members will take turns in say what they have been working on during
the week and what they have completed.

Group members not competing assigned tasks: After a meeting each member of the group should
have a clear idea of what work they need to complete for the next meeting.  If a group member does
not complete the work that has been assigned to them they will be given until the end of the day to
complete the work or they will be given a warning.

Major Risks
Conflict between group members: If there is a conflict between two group members the issue will
be addressed at the next group meeting.  If the issue cannot be resolved there, the tutor will be
informed.

Group member consistently receiving warnings: If a group member is has accumulated more than
two warnings the group will ask the tutor to attend a group meeting to see how the issue can be
resolved.

Compliance
Process Regulation
To ensure that group meetings are conducted efficiently an agenda will be organised by the
chairman. Other group members may ask for topics to be added to the agenda prior to a
group meeting. It is the chairman’s job to ensure that the meetings run smoothly and that
all members of the group are involved in the discussion. The chairman will be chosen on a
rotation schedule. This means that there will be a different chairman for each meeting. This
method has been chosen to ensure that every member of the group will be able to get their
opinions and ideas heard.

If a group member is constantly disobeying the team contract then an emergency group
meeting will be held to discuss what actions will be undertaken and how the situation can
be resolved amicably.

Contact Enforcement
If a group member is not following the rules that are listed on the contract it is the
responsibility of the other group members to act. If a solution cannot be found and all
options have been exhausted then the tutor will be informed of that group member’s
behaviour. It will also be the responsibility of the group members to encourage other
members of the group to adhere to the terms of the contract.

Team Meetings
Our team meetings, held weekly on Mondays run from 3pm – 5pm, it is expected that members will
be on time and stay for the duration. In obscure circumstances apologies can be given to some or all
of the members to pardon them from the meeting due to unforseen or predetermined events. In the
event of two members being absent for the meeting, it will be rescheduled to suit the majority.

Excluding the first meeting, the agenda should be formed before the meeting date. General manners
are expected not to interrupt and generally be a nuisance to the meeting’s atmosphere. Each task
appointed for the meeting should be completed in order of importance, followed by Any Other
Business (A.O.B.). Any other business can cover urgent tasks that were not previously set or looked
over at previous meetings.

Conclusion
The Bassists do agree to the terms and conditions of this document and will do our best to abide by
its rulings and complete the tasks to the amount they have been defined. The tasks have been
assigned equally and I will do my share of the workload and will cooperate to help others if they
need it. As a member I also agree to keep to deadlines and appear at all meetings and apologise
beforehand if I cannot. If I follow these procedures the project will be successful and our client will
be satisfied with our project.
