ACKNOWLEDGEMENT

This is “HOTEL MANAGEMENT SYSTEM” project based on new


techniques and based on new idea. This is totally different and beneficial for other
to easily use and understand. This Software provides fresher processing of any
query and make information up–to–date. In this project “HOTEL
MANAGEMENT SYSTEM”, main three database files are maintained named
“Room details, Customer details, Rent details”. In Customer detail file, all
customers’ related information is described. Customer name, Customer id, and
room number can do searching.

When Customer enters in hotel all facilities required to a customer are


provided . Room maintenance facility is also considered in this project.

Rent details file contains the rent information about each room. Automation
of billing system is this project. Automation of restaurant is also attached in this
project. There are three options for customer’s choice. First is lunch second is
Dinner the third is Breakfast. Each option contains a list of items within it so that a
customer can select any item according to their choice...

JUSTIFICATION OF PROJECT :

This software is built up top meet need of a computerized “HOTEL


MANAGEMENT SYSTEM”.

This is based on new techniques and based on new idea . This is totally
different and beneficial for other to easily use and understand. This
Software provides fresher processing of any query
and make information up–to–date. In this project “HOTEL MANAGEMENT”

FEATURES OF THE OPERATING SYSTEM

 WINDOWS XP

The Windows operating system started with the

introduction of Windows OS and Windows for work group for

networking. Since then it has come a long way and windows

95,98,2000 family of operating systems were introduced. It is

succeeded by windows Vista.

Windows XP is the most popular Operating system presently

and has many features which make it the best. Some of its best

features are:

 Windows File Protection: Protects core system files from being

overwritten by application installations. If a file is overwritten,

Windows File protection will restore the correct version.

 Windows Installer: A system service that helps users installs,

configure, track, upgrade, and remove software programs correctly.

PROJECT DEFINITION

The project “Hotel Management System” is used for maintaining the


information for each and every customer, employee, driver and product.
Each and every customer has own personal details and the products are
transferred through the driver. Before providing the product to customer,
the administrator gathering necessary information about the product
meanwhile the invoice is also raised for the customer product.

Feasibility Analysis:

The Hotel Manager software is a web-based application that is


designed to be implemented for small to medium sized hotels. The
privilege of creating this application as a web-based one is that it
could be run by several offices within the hotel such as the front desk,
managerial office, etc…

This software’s objective is mainly to keep track of the hotel room’s


conditions if available, accommodated or even requires
housekeeping or maintenance. The main objective is accompanied
by several other services that are provided through the software
features such as hotel airport shuttle services & taxi scheduling,
restaurant reservations management, wake up calls alarms or even

laundry services organizer. Bill generation is one of the options as
well that is provided by this software Upon providing such services
the user is capable of accessing their hotel rooms database easily,
while having useful information about their statuses; furthermore,
being able to monitor the other services being provided for guests
accommodating in the hotel.
Hotel Manager software would create a user-friendly interface, where
any hotel employee would be able to use this software with basic
computer skills. The software is developed using “Java” programming
language, which makes the system conflict-free from running on any
type of operating system

PROJECT OVERVIEW

This Project Hotel Management System is to design a web based


system. Which facilitates on line reservation of hotel accommodations
from anywhere in the world. In this project there are three modules
.They are

1.Customer Module
2.Management module
3.Hotel Registration/Administration Module.

 Customer Module:

The Customer Module is again divided into two sub modules.

o Customer Booking Module


o Customer Services Module
Customer Booking Module provides an interface to the user to
view cities located in a selected country, hotels in the selected city. It
also provides a view of all facilities and their corresponding costs
available in that selected hotel. This module allows the user to select
facilities of this choice and allows him to submit a reservation. Based
on the choice made by the user the system displays an invoice from
regarding bill, if he agrees for the bill he will be facilitated with an
userid and password using which he can proceed for modifications in
the future. Finally the system accepts the payment mode and

validates his mode of payment.

Customer Services module provides three services to the customer


who has already reserved his accommodation with the system. The
various services provided by the system are
1.look up the confirmed reservation.
2. Modify the reservation details like check in date, checkout date,
number of rooms, room type etc.
3.cancel the reservation.

 Management module:
Management module deals with the hotel room status
administration and enable the hotel manager to enlist his hotel status
with the system, to see the list of orders booked in his hotel, modify
the number of rooms etc.

 Hotel Reservation/administration module:

This module is again divided in to two sub modules namely


1.hotel registration module
2.hotel administration module

Hotel registration module accepts hotel details like hotel name


,license number, administration number, its distance from airport,
railway station, bus station ,its address, its hotel manager name etc. It

also accepts the facilities provided by the hotel and their
corresponding costs. This system allots a unique hotel identity to
each and every hotel and provides a password facility maintain
secrecy of the hotel details.
Hotel administration module provides services like modifications in
the hotel details and also provides an opportunity to with draw from
the system.

PRELIMINARY INVESTIGATION

 Problem statement:

The project entitled Online Hotel Reservation is a web based system


which facilitates online reservation of hotel accommodations from
anywhere in the world. If a person wants to reserve his
accommodation he would to know the list of hotels in the city he
wants to visit, different amenities provided in each hotel the different
types of rooms available, the rates of those rooms, the constraints of
the hotel and finally the availability of the desired rooms on the
desired rate.
He may achieve all this through travel agencies, the guides available,
by making enquiries in person, by making enquiries through
telephone. If he wants to make a choice between the hotels he has to
repeat the whole process for anumber of hotels .After being satisfied
with the choice he has to confirm his reservation by paying the

amount personally or through middle persons. This process is
laborious and his choice is limited.

So we found the necessity of providing all the information and the


facility to reserve his accommodation through the net so that
maximum satisfaction is achieved by the customer with least effort.
The solution we are providing to this is to design a website that
contains information about various cities and the reputed hotels in
each city along with the facilities, types of rooms and their rates. The
tourist can also choose the hotel of his interest.

 FEASIBILITY STUDY

 Feasibility study conducted once the problem is clearly understood.

Feasibility study is a high level capsule version of the entire system-

analysis and design process. The objective is to determine quickly

and at the minimum expense how to solve the problem and to

determine the problem is solved. The system has been tested for

feasibility in the following ways.

 Technical feasibility

Technical feasibility:

A study of function , performance and constraints may affect the

ability to achieve an acceptable system so ,that necessary function

and performance are achieved within the constraints uncovered

during system analysis. The software developed for the automation of

Hotel Reservation System is used in client server architecture with

Ms Access as backend and .net1.3 as front end. Since the software is

platform independent and has predefined functions and constraints

such as to locate the charges, validating functions etc., so the project

is technically feasible.

Operational feasibility:

The purpose of this project is to develop a Web based system which

facilitates on line reservation of hotel accommodation from anywhere

in the world. The activities of the system such as data entry ,

information retrieval ,updating and deletion of records from various

tables etc are made easy .All the operators of this project are trained

in this area. So this project is operational feasible.

Economical feasibility:

Economic analysis includes a broad range of concerns that include

cost benefit analysis , long term cooperative income strategies, cost


of resources needed for development .In existing they had to
maintain a large number of books/registers is a costly affair. This can
be avoided by putting the data in the computer format that is cheaper

and reliable. Since the cost of resources for development of system

satisfies the organization, the software is economically feasible.

PROBLEM DEFINITION:

The purpose of this system is to provide the customer a facility to

reserve his accommodation through the net so that maximum
satisfaction is achieved by the customer with least effort.
The system will also allow the customer to modify his reservation
details of the booking already done. The system also provides an
interface to the hotel administrators for enlisting themselves with the
system, updating their current status of the facilities.

 SIGNIFICANCE

If a customer wants to know the list of hotels in the city, the different
amenities provided in each hotel, types of rooms available ,the rate
constraints, availability of desired types of rooms on desired dates, he
has to approach a travel agencies or guides available or by making
enquiries in person or making through telephone. If the customer
wants to make a choice between the hotels he has to repeat the
process for a number of hotels personally or through the middle
persons which is a laborious process and choice is limited.
This is very unsatisfactory to the customer. So we found the
necessity of providing all the information and the facility to reserve his
accommodation through the net so that maximum satisfaction is
achieved by the customer.
The solution we are providing to this is that we are developing a

and also an interface to reserve his accommodation so that the

OBJECTIVES

1. To enable the user to reserve his /her accommodation in a hotel

anywhere in the world sitting at home through the internet.

2. To enable the user to look up his/her confirmed reservation or


modify or cancel the reservation if required.

3. To allow the manager of the hotel to enlist his hotel with the system

4.To allows the manager of the hotel to scrutinize the list of orders

and their details.

5. To allow the manager of the hotel to modify the hotel information

from time to time.

FUTURE SCOPE AND IMPROVEMENT

Hotel Management System is wide-ranging software suite incorporate

of integrated modules for various features of hotel management. Hotel

management System has all the features required to run your hotel,

motel and guest house business. Hotel Reservation Management

System offers an operational integration between reservations, guest

history, reception/ front desk, Sales Ledger, Accounting and Reporting

modules. Hotel reservation System is a system designed to simplify the

booking process and allow you to get on with running your business.

You can analyze the booking, reservation, checkin & checkout trends

and work towards your forthcoming future requirements. Managing

replication of customer records and record their comments on

hospitality. Make food allergy notes, record special events and birth

dates. Make your customers feel unique and special by recording

personal notes. Hotel & motel Reservation software is a program

designed to manage daily booking or checkin checkouts of guesthouse

or hotel rooms. It uses a MS Access database on backend database.

Reservations can be assigned to user defined rooms or sweets.

 Main Features:

• Customize Hotel rooms with prices

. • Save the client's information into the database prior to Booking or

Checking for any forthcoming use.

CONCLUSION

This project has been successfully developed using the standard


software development strategies that are followed in the Industry.

This project has been developed by our sincere effort. It has few

useful features. Even though some limitations exist. According to the

specified functionality, it will work in a proper manner. Through this

project we have tried to make it user friendly to some extent. In this

way, using this software a successful hotel can be run with a major

achievement.

The outcome of the project is that it interacts with a user based on the

chosen options.
