BI Licensing FAQ

Simplified BI Licensing
Updated September 2016
SAP continues to simplify and streamline our licensing model for BI. This FAQ will keep you up to date
on the changes.

This FAQ can only provide general advice every contract is different. Despite what is said here, your contract
is the final document that describes your entitlement.

WHAT BI LICENSES DOES SAP OFFER?

We currently offer 3 levels of BI Licensing:

SAP BusinessObjects An entry level reporting solution including Web Intelligence, Crystal
Enterprise, standard edition Reports, the BI Platform and Mobile BI.

Introduced in Q1 2016.

Formerly known as SAP BusinessObjects BI Reporting


SAP BusinessObjects A comprehensive BI solution that adds solutions for data discovery,
Enterprise, professional edition Microsoft Excel integration, an in-memory columnar database, data
integration, and data modeling.

Introduced in Q3 2014.

Formerly known as SAP BusinessObjects BI Suite


SAP BusinessObjects A complete BI solution that adds a big data accelerator and predictive
Enterprise, premium edition analytics to the professional edition.

Introduced in Q2 2016

In addition, we offer licenses through the partner, reseller, and SAP Store channels:

SAP BusinessObjects Edge BI A BI solution for small and medium businesses, or departments.
Includes all the functionality in the BusinessObjects Enterprise
professional edition.

Limited to a single server, and a maximum of 100 named users plus 50


concurrent sessions.
SAP Crystal Server A reporting server that hosts Crystal Report files, and provides mobile BI
consumption.

Restricted use license. Maximum of 8 cores.

I OWN THE BI SUITE. HOW DO I GET THE RESTRICTED USE LICENSES THAT ARE INCLUDED?
We added Sybase IQ, Data Integrator, and PowerDesigner to the BI Suite license in Q1 2016, applying
retroactively to all customers who purchased the BI Suite during or after Q3 2014.

Customers with these licenses can download their restricted use licenses from SAP Service Marketplace.

CAN I PURCHASE MORE LICENSES OF MY OLDER LICENSE MODEL?


Yes. Customers of older license models can continue to purchase more software of the license model they own.

CAN I STAY ON MY OLDER LICENSE MODEL AND UPGRADE MY SOFTWARE?


Yes. If you are happy with your current license model you can continue to use it indefinitely*. You can download
the latest software on SAP Service Marketplace as long as your maintenance contract is current. However, you
wont be able to benefit from new functionality that is included in the latest BI Suite license model.

*Some restrictions apply if your current license includes products that are not available in the latest version. For
example, if your license includes an entitlement to Desktop Intelligence, then you are not automatically entitled to
the latest version because the BI Platform 4.x does not include Desktop Intelligence. You may have to sign an
agreement acknowledging the reduction in functionality.

WILL CONVERTING MY LICENSE COST MONEY?


The answer depends on the software you currently own. The cost to convert is determined by comparing the
value of the software you currently own with the new software value. The credit received for prior spend can
vary, depending on certain conditions.

HOW DO I CONVERT MY LICENSE?


Please contact your SAP account executive or partner to initiate the conversion process.

AFTER CONVERSION DO I NEED TO INSTALL ANY SOFTWARE?


No. Conversion is a contractual process. After conversion you will receive access to any new software you now
have rights to, but you do not have to install anything to complete the conversion. You may need to install a new
license key to enforce the new license metrics.

HOW CAN I MAKE BI CONTENT AVAILABLE ON A PUBLIC WEBSITE?


We offer a Public Document license that allows customers to expose BI content on the public internet. This is
priced per document exposed publicly.

CAN I PICK AND CHOOSE THE PRODUCTS I WANT TO LICENSE?


We no longer offer an a-la-carte license option.

WHAT METRICS ARE AVAILABLE?


We support the following license metrics:
Named user
Concurrent session
Public document
Some components are available only in the named user metric.

CAN I GET THE NEW LICENSE MODEL WITH THE CPU METRIC?
No. The concurrent session metric is simpler and more flexible. Its simpler because there is no need for a
hardware sizing exercise in the middle of a transaction. Its more flexible because IT can use as much (or as
little) hardware as needed without triggering a licensing event. This means that additional servers can be
deployed at peak times without updating contracts.

WE ARE CONSIDERING USING NON-SAP SOFTWARE WITH DATA FROM ERP OR BW. WHAT ARE THE
LICENSING IMPLICATIONS?
There are 2 scenarios here:
1. Doing a bulk extract from SAP BW into non SAP software requires a license called the SAP NetWeaver
OpenHub license. For more information on this license, see this blog.
2. Users of any non-SAP software that indirectly accesses SAP application data via a technical interface
must be licensed as SAP Named Users.

There are details and exceptions to the above statements. For more information, please discuss with your SAP
account manager or partner.

IM INTERESTED IN LUMIRA. HOW CAN I LICENSE IT?


SAP Lumira consists of SAP Lumira, desktop edition and SAP Lumira, server version for the BI Platform.

The desktop edition is only offered in the named user (NUL) metric.
The server version for the BI Platform is offered in the NUL or CSBL metric.

The following table shows the current licenses that include SAP Lumira components.

In addition, the following legacy licenses also included Lumira desktop and Lumira server:

SAP BusinessObjects BI, version for SAP Applications (retired in January 2016)
BA&T SAP BusinessObjects BI Suite (retired in August 2014)

CAN I ADD SAP LUMIRA TO MY EXISTING LICENSE?


Yes! We now offer a way to add SAP Lumira to an older license model that does not include it.

The SAP Lumira Server, version for BI Platform can be licensed as a named user add-on to any older SAP
BusinessObjects BI license model.

Customers would need to license both the desktop edition and server version of SAP Lumira software separately
to add it to the existing deployment.

WHAT IS THE DIFFERENCE BETWEEN THE SAP LUMIRA DESKTOP EDITIONS?
SAP Lumira, Standard edition is available on the SAP Store. It differs from the SAP Lumira, desktop edition
included in the SAP BusinessObjects BI licenses in 3 major ways:
The standard edition does not support access to SAP BW or SAP Application (ERP) data.
Enterprise support agreements do not cover the standard edition. The only support option is forum
support.
Customers of the standard edition are not entitled to major version upgrades. New major versions (ie.
Lumira 2.0 need to be repurchased).
