‘WORD’ INTERFACE

When you open Word for the first time,


WORD Interface will appear.
From here, you'll be able to create a
new document, choose a template, and
access your recently edited
documents.

Title Bar
Title Bar
The title Bar displays the Title of the
document and the software on which you are
currently working.
When you create a new document, WORD
display the Title of the new document as
‘Document1’-Word.
Quick Access Toolbar
Quick Access Toolbar
The Quick Access Toolbar lets
you access common commands
you frequently used.
By default, it includes the Save, Save Undo Redo

Undo, and Redo commands.

You can add or remove items to the quick


access toolbar by clicking on the arrow at
the end of the Toolbar and select or
unselect items that you want to add or
remove.
To change the location of the quick access
toolbar, click on the arrow at the end of the
toolbar and click on ‘Show Below the
Ribbon’.
Ribbon

The Ribbon is use to issue commands. It has several


tabs. (Home is the default tab in Word.)
Clicking a tab displays several related command
groups. Within each group are related command
buttons.

For example, the Font group on the Home tab contains
commands for formatting text in your document.

Some groups also have a


small arrow in the bottom-
right corner that you can
click for even more options.

Showing and hiding the Ribbon


If you find that the Ribbon takes up too much screen space, you can
hide it.
To do this, click the Ribbon Display Options arrow in the upper-right
corner of the Ribbon, then select the desired option from the drop-
down menu:

Auto-hide Ribbon:
Auto-hide displays your
document in full-screen mode
and completely hides the
Ribbon from view.
To show the Ribbon, click
the Expand Ribbon command at
the top of screen.

Show Tabs:
This option hides all command
groups when they're not in use,
but tabs will remain visible.
To show the Ribbon, simply
click a tab.

Show Tabs and Commands:
This option maximizes the
Ribbon. All of the tabs and
commands will be visible.
This option is selected by
default when you open Word
for the first time.
Tell Me
Tell Me
The Tell me bar allows you to search for
commands, which is especially helpful if
you don't remember where to find a
specific command.
It works just like a regular search bar: Type
what you're looking for, and a list of
options will appear. You can then use the
command directly from the menu without
having to find it on the Ribbon
Minimize

Minimize
Alternatively called a collapse box, is an
action to hide a window, but keep the
program running in the background.
When minimized, the program remains on
the taskbar, but not visible.

Where do minimized programs go?
In Windows, when a program is minimized, it may seem as though it
has disappeared. Fortunately, that is not the case.
Minimized programs may be located and accessed from the Windows
taskbar, which is located at the bottom of any Windows desktop.
Clicking the program icon on the taskbar that is minimized restores the
window.

How to minimize all windows and get to the desktop
When you minimize a program, it shows any other open program
that was behind its window. If you want to minimize all open
windows at the same time, there are three methods:

First Method:
 Press Windows Key  + D
on your keyboard

 Right-click the time and
date in the lower right
corner of the screen, then
select “Show the desktop”
from the menu that
appears.

Third Method:
 Click the very small tab on the far-right side.

The Restore Down mode


shrinks the document size on
the screen. Generally, this
mode is easier to resize and
move the document.

1.Move your cursor at any
corner/side of the application till your
mouse cursor changes as double-
headed arrow.
2.Then click and hold down the left
mouse button, and then drag in or
out the word document/application
to (Resize) increase or decrease size
of the document.

Click and hold the cursor on
program title bar and then you can
move it on the screen by dragging
the window.

In general, Close is the action


performed to terminate a
program or exit a file.
To close or exit a program
window or application, click
the close button.

From here, you can access


your Microsoft account
information, view your
profile, and switch accounts.

When you Share your


document with others and
give them permission to edit,
everyone's changes are made
in the same document.

1. Click on the Share


button at the top
right of the screen.

2. This will bring up a pane on
the right hand side of the
screen.
If the document has not been
saved to the cloud yet, you’ll
have to click the Save to
Cloud button.

3. This will bring up


the Save As dialog, which
should already be set to
OneDrive. Give your file a
name and save it.

4. Once it has been saved and uploaded
to the cloud, go back to the Share dialog
and you’ll now be able to invite people
to join.
Type in an email address, choose
whether they can edit it or just view it
and then include an optional message.

5. On the receiving end, an email


will arrive that includes a link to
the document stored in the
sending party’s OneDrive
account:
Ruler

Rulers let you control the


margins of your page and the
indentation of paragraphs.
They’re great for precisely
lining up images, text, and
other elements.

How to Enable and Disable Ruler in Microsoft Word?

Click the View tab, then click the Ruler check box to
show the horizontal and vertical ruler.

Left margin Right margin

1. First Line Indent. Used to indent the first line of a paragraph.


2. Hanging Indent. Used to indent the second and subsequent lines of a
paragraph.
3. Left Indent. Sets the left margin for the paragraph.
4. Right indent. Sets the right margin for the paragraph.
5. Tab Control. Used to add various tabs to the ruler for indenting, centering and
otherwise managing text within a paragraph.
Scroll Bar
A vertical or horizontal bar
commonly located on the far
right or bottom of a window that
allows you to move the window
viewing area up, down, left, or
right.

Note: horizontal scroll bar will


only appear if you are in a large
zoom scale.

How to show or hide the scroll bar
1. Click File menu on your tab, click Options to open the Word
Options Window.
2. Click on Advanced. Scroll down to the Display section in the
list of options displayed. Put a check mark next to all scroll bar
options: "Show horizontal scroll bar," "Show vertical scroll
bar" and "Show vertical scroll bar in Print Layout view.“
3. Click the OK button to close the Word Options dialog window
and save the changes.

From here, you can


quickly see the number
of words and pages in
your document.

How to show or hide the Page and Word Count

If for some reason there is no word count listed, right click


anywhere on the status bar to customize your editor.
When you right click, a grey box will open with a list of features.
Select Word Count and it should appear on your Status Bar at the
bottom of the page.
Same method applies to Page number.
Document Views
CURRENT TYPE OF VIEW
IS HIGHLIGHTED IN GREY

It displays the
current type of view
of your document.
READ PRINT WEB
MODE LAYOUT LAYOUT
Document Views
Read Mode: This view opens the document to a full screen. This
view is great for reading large amounts of text or simply
reviewing your work.
Print Layout: This is the default document view in Word. It shows
what the document will look like on the printed page
Web Layout: This view displays the document as a webpage,
which can be helpful if you're using Word to publish content
online.
Zoom Control
The zoom control is a slider that
helps you to zoom in and out on
the timeline so that you can
focus on areas of particular
interest.
Click and drag the slider to use
the zoom control. The number to
the right of the slider bar reflects
the zoom percentage.
Document Pane

A document window is a section


of the screen used to display the
contents of a document file. This
is where you'll type and edit text
in the document, work on
pictures, etc.
BACKSTAGE
VIEW
The Backstage View

Backstage view gives you


various options for saving,
opening a file, printing, and
sharing your document.

To access Backstage view, click


the File tab on the Ribbon.
You will see a simple menu
displayed on the left side of the
screen.

Info
Review your document’s
properties such as file size,
page count, and word count.
You can also access tools for
protecting, inspecting, and
managing the document.

New
Start a new document from
scratch or select a template
for customization.

Open
Open an existing document
stored on your computer,
network, or the cloud.

Save and Save As.
Select one of these options to
save your document under its
current file name or save a
copy in a new location, under a
new file name or as a different
file type.

Print
This is where you will go when
it’s time to print your Word
document.

Share
From here, you can invite
people to view and
collaborate on your
document.

Export
Save a document as .doc
or .docx, or create a PDF
version.

Close
If you don’t want to close your Word document using
the “X” in the top-right corner of the document, you
can click Close in Backstage View.

Account
From the Account pane, you
can access your Microsoft
account information, modify
your theme and background,
and sign out of your account.

Options
Here, you can change various
Word options. For example,
you can control the spelling
and grammar check settings,
AutoRecover settings, and
language preferences.

To exit the Backstage View screen


and return to your document, simply
click on the back arrow at the top of
the menu.
