INTRODUCTION

Front office is the first department of hotel


which comes in guest contact at time of
arrival and the last department when they
depart from the hotel. This department
performs and various functions like
reservation,registration,room assignment,and
bills settlement of resident guest.
LESSON 1: RECIEVE AND POCESS
RESERVATION
THERE IS A SYSTEMATIC PROCESS AND
PROCEDURE OF RESERVATIONS HANDLING IN
THE HOTEL. ALL THE RESERVATION
ATTENDANTS MUST UNDERGO THESE
PROCEDURES TO COMPLETE THE
RESERVATION.
• 1.Recieve reservation inquiry /request:
reservation section recieves a request for room
reservation from various process the reservation
assistant must be capable for quickly determining
the clients need and should be ready with
reservation form and pencil or pen while getting
reservation inquiry. The reservation assistant must
obtain the guest related informations

2.determining the room availability:


after the receiving information about the guest
duration of stay next step of reservation procedure is
to check the availability of room type requested by
the guest referring to the forcast board, reservation
chart or through computerized system.
3.Accepting or denying the request: after checking the room availability, if
the request room is available the reservation will be accepted if the rooms
are sold out on the request date appologize with the suggestion of any other
alternative rooms or hotels. The guest is also denied if the guest or travel
agencies is denied.
4.documenting the reservation details:
if the reservation will be accepted the reservation is taken in the
reservation form with all the neccesarry information.
5. confirming the reservation: ones the rooms requested by
the guest is available and guest agrees to the rates the
reservation is confirmed by the reservation reservation
assistant by the advance deposit through various modes
and confirmation number is given to the guest as a proof
that room is booked.

6.Maintaning the reservation record:


after the recording the reservation details in the
reservation form it should be properly filled for the future
reference .incase of any changes or cancelation is done the
details be canceled with reservation form.

7.Compiling the reservation report:the details from the


reservation are most important. Such details help in
forecasting cancellation,no show analyzing the market
segment ,preparing the history card, etc.

Guest name,addresses,telephone number,date or
arrival and departure,desired room rate and plan
number of pax ,type of rooom requested method of
payment any oyher special request.

LESSON 2:COMPUTERIZED RESERVATION
SYSTEM

A computer reservation system (CRS) is a computerized


system used to store and retrieve information and
conduct transaction related to air travel,hotels,car
rental,or activities Originally designed and operated by
airlines ,CRSes were later extended for use of travel
agencies ,major CRS operations that book and sell tickets

For multiple airlines known as global distribution system (GDS) .Air lines have dilivered most
of their holdings to dedicated GDS companies who make systems accesible to consumers
through internet gateways .Modern GDSes typicalllyallow user to book hotel rooms,rental
cars airline tickets as well as activities and tours.They also provide access to railway
reservations and buss reservations in some markets, although these are not always
integrated with the main system.
