Level One
Goal of Workshop

• Introduce the functions and tools of


PowerPoint and have you produce:
–One presentation using the
AutoContent Wizard
–One presentation using a Design
Template
What is PowerPoint?

• A presentation graphics application


•Handles Text

•Graphing tools
•Insert Clip Art, Photos, Video or
Audio (from PowerPoint or from
other graphics programs)

What participants should know:

• Click left button


• Click right button for Shortcut Menus
• Center button not used
• Double-click activates an “open” or
“select” command
• “Dragging” an object repositions an object
or selects several objects

Commands
• Commands are grouped in Menus
• Some commands perform actions immediately;
others display a dialog box that allows you to
select options
• Shortcut Menus are activated when you point to
an object, click right mouse button.
–(To cancel: click outside menu box or hit
ESC button - top left keyboard button.)
When Opening PowerPoint

• Four Choices
1. AutoContent Wizard - Quick & Easy Prompts
2. Design Template - Let’s you choose from pre-
designed templates
3. Blank Presentation – No predefined colors or
graphics
4. An Existing Presentation – Once you’ve
completed a PowerPoint presentation it will
appear in the scroll box.
Using Wizards

PowerPoint allows beginning users to


make presentations quickly and easily
using a guided approach - called
Wizards. Just answer questions as
they appear.
Use AutoContent Wizard to create a presentation.

• Go up to the File Menu and Select “New”


• Select AutoContent Wizard option
• Wizard will prompt you to
– make a title slide
– choose a presentation category
– with suggestions
• Type in your ideas over sample text in outline
• Switch to Slide View to see your slides
Refine your presentation

• You can edit your text in Outline View


–rearrange slides,
–move quickly to a particular slide,
–get an overview of the entire

• Change text colors, sizes in Normal


View –
– use clicking and dragging to select text blocks or sections

– click buttons on Tool Bar for selecting colors & alternate font
sizes.

• Change order of slide presentation


and transitions in Slide Sorter View
– use clicking and dragging to select slides and drag groups to
different orders
– Double-click on a slide in Slide Sorter View to immediately view
it in Slide View.

• Special Effects:
–Add graphics, video, or sound by going to the
“Insert” menu on the Toolbar
–Add Slide Transitions by right clicking on the
mouse (Make sure text box is not selected).
–Alter your slide layout or design by right
clicking on the mouse
Preview your presentation
on-screen
• Click "Slide Show" button at bottom
• Click Mouse button to advance manually
(arrow buttons on keyboard also work).
• Push "ESC" button to exit to view
selected
The Drawing Tools
The Drawing Toolbar allows you to
draw and manipulate:
•Lines, Shapes, Arrows, etc
•Insert Pictures, Charts, Graphs, Clip Art,
and WordArt
•Apply color
•Add a 3rd Dimension
Creating a New Presentation

1. Go to the “File” Menu and click “New”


2. Choose “Design Templates” on Task
Pane located on the right side of the
page
3. Right Click on “Slide Layout” & choose a
title slide from option on the Task Pane
Creating a New Presentation
• Click into the place holder on top of “Click
to add title” and enter the title of your
talk
• On the Menu bar, select Insert and click
New Slide. Type what you want to say.
• Repeat this process until your
presentation is finished.
Inserting Text
• Click on the outline tab
• Click the slide icon you want the outline text to
appear after.
• On the Insert menu, click “Slides from Outline.”
• Go to the folder where you've stored the document
whose text you want to use.
• Double-click the document to insert the text. ( I found
.rtf format worked better than .doc)
Inserting Graphics
• On the Drawing toolbar, click Insert
Picture From File.
• Locate the folder that contains the
picture that you want to insert, then click
the picture file.
• Do one of the following:
• To embed the picture, click Insert.
Inserting Audio or Video
• On the Insert menu, point to Movies and
Sounds, and then do one of the
following: Either click on Sound From File
or Movie From File
• Click Sound from File, locate the folder
that contains the file, and then double-
click the file you want.
Save Your Document
• On the Menu bar select “File” and
select “Save” in the dialog box.
–Any PowerPoint presentation will
have the extension of .ppt on the
end of the name.
You Can Print
• Slides
– Use transparency to make Overheads
• Speaker Notes
– Prints one slide per page with notes
• Handouts
– These are miniature versions of the slides
– Choose how many miniature slides per page when you go
to print.
• Outline

You can print in grayscale, color or black and white
