Important information

Your payslip is now available to view for December


payroll. Make sure you are checking your payslip
each month by logging into your iTrent account.

To simplify accessing iTrent the carousel on the


homepage has been updated to take you
directly to the iTrent log in page.

You can still find the payslip portal information in


the Training Center > HR > How Do I - online
payslips or alternatively click below:

FORGOT YOUR PASSWORD

Oops, it happens to the best of us, don’t worry.

When you first log in, you should have updated your email
address in contact details. This MUST BE your personal email
address, in the event that you require a future password reset,
you can complete it yourself.

Do not enter a work email address, always use your personal


email address.

If you become locked out of your account, or after following


the login instructions you are still unable to create your
account, email:

Include ‘Online Payslips’ and your AIN (payroll number) in the
subject line of your email and provide details of the issue you
are experiencing in the body of your email.

NEW TO ONLINE PAYSLIPS

You can now log in to your online iTrent account to view


your payslips. If you haven’t done so already, follow these
instructions to access your online iTrent account:

How to set-up your iTrent account:


Click on link ‘iTrent log in’ or use this:

Username - your username will be your AIN (payroll)


number, for example:
• 999333898
• 00057812
• 00000012
Password - the password will be your date of birth
(DDMMYY) followed by your surname, in the
following format:
• 151171Williams
• 231282Jones-Wallace
• 010966HopkinsFord
• N.B: year of birth must be 2 digits as above

Once logged in, you must update your email address


in contact details. This MUST BE your personal email
address, in the event that you require a future password
reset.
DO NOT enter your work email address.

If you have already created your account, ensure that your
personal email address has been added as follows:

HOW TO SAVE THE ITRENT
LINK TO YOUR DEVICE

It may be easier to save the iTrent link to your


device home screen. As it will appear on your
device as an app icon (shown here) which is
a direct URL to the login page.

iOS operating system (iPad or iPhone)


1. Launch ‘Safari’ app. This does not work from the ‘Chrome’
app
2. Enter into the address field the URL of the website you want
to create a shortcut to. Tap ‘Go.’
3. Tap the icon featuring a right-pointing arrow coming out of
a box along the top of the Safari window to open a drop-down
menu
4. Tap ‘Add to Home Screen.’ The add to home dialog box will
appear, with the icon that will be used for this website on the
left side of the dialog box
5. Enter the name for the shortcut using the on-screen
keyboard and tap ‘Add.’ Safari will close automatically and you
will be taken to where the icon is located on your device’s home
screen

Android operating system


1. Launch ‘Chrome’ app
2. Open the website or web page you want to pin to your
home screen
3. Tap the menu icon (3 dots in upper right-hand corner) and
tap ‘Add to home screen’
4. You’ll be able to enter a name for the shortcut and then
Chrome will add it to your home screen

FREQUENTLY ASKED QUESTIONS

What are my iTrent logins to access online payslips?


TJX provides digital payslips to associates in the UK, Isle of Man and
Republic of Ireland. The iTrent payroll service offers a secure portal
and enables associates to view their payslips and P60s online.

Follow the link to the sign in page where your username and
password are requested.
// Make sure you save the web address as a favourite
// Your username is your AIN number (include leading 00’s if
applicable)

by your surname, in full, with the first letter capitalised e.g.

// For double barreled names the first name has the capital

What happens if I forget my username?


Your user name is your AIN (your payroll number - this is also referred
to as your clocking in number) include any leading 0’s, if applicable,
this will be visible on an old paper payslip.
What happens if I forget my password?
If you have saved your personal email address when you logged into
iTrent initially, you can reset it by selecting ‘Forgotten password’ on
the log in page, this request will send an email to your email address
with a link to reset your password. If you have not saved an email
address to iTrent when you logged in initially, you will need to contact
payroll on 01923 474 392 to assist you.

Why does it say “invalid login” when I have updated my


password the lasttime I logged in?
If the last time you logged into iTrent is more than 90 days, then it is
very likely your password needs to be reset. You should login at least
once every 60 days to keep your password up to date.

If I need a payslip for ‘proof of income’ purposes, can I


still receive a paper copy of my payslip?
These days both PDF and paper copies will be accepted by financial
institutions as proof of income. iTrent is a self-service portal where
you can download, and save your payslip as a digital copy (PDF) or
to print a paper copy.

I am leaving, will I have access to the online portal?


If you previously had access to iTrent by logging in while an
employee, then you will have access for a further 18 months from
your leave date. Make sure you have entered your personal email
address to assist you with a password reset.

I need my P45
This is available through your online payslip portal iTrent. Please refer
to the iTrent Online Payslip guide on how to view a payslip /P60.

I need my P11d
P11d’s are sent through to your home address and are not yet
available through accessing iTrent online pay slips. Please contact
the HR Service Centre by emailing: [email protected] who will be
able to send you a copy should you require one.

I didn’t get paid what can I do?
This could be for a number of reasons, please speak to your line
manager in the first instance. You can also check your online payslip
to see what has been processed.
// Have you recently returned from Maternity or Career break? The HR
Service Centre & Payroll may not have been informed that you have
returned and therefore, you may not be active on the system. Your
manager will need to call or email the HR Service Centre to confirm
your return.
// Have you been absent during the month? You may have taken
home less or no money due to absence.
// Have you recently joined TJX or changed your bank details? Your
manager will need to check if your correct bank details were
added before payroll cut-off and all other relevant details in Oracle;
working hours and salary.
Payroll can process an emergency pay run the week after payday
which the HR Service Centre can assist your manager to process for
you.

Incorrect bank details have been entered for an


Associate, what can I do?
You will need to update the bank details as soon as you can in Oracle
and contact the HR Service Centre to confirm you have made the
change. The HR Service Centre will notify payroll and support an
emergency pay run for the associate.

I need my p60
This is available through your online payslip portal – ITrent - please
refer to the question above on how to access ITrent and the iTrent
Online Payslip guide on how to view a payslip /P60.

Can I receive paper pay slips?


You are able to print your online payslips or you can save them as a
PDF –please refer to the iTrent Online Payslip guide on how to view a
payslip /P60.
I have returned from a career break and haven’t been
paid
Please contact your line manager who will need to contact the HR
Service Centre to confirm you have returned from leave and make
you active in the system. The HR Service Centre will then confirm to
payroll and support with an emergency payment.

I have returned from maternity leave and taking annual


leave and haven’t got any pay
Inform your line manager who will need to contact the HR Service
Centre to confirm you have returned from maternity leave and make

I started maternity leave but it looks like I have received


full pay
Please refer to your maternity confirmation letter for payment
breakdown. If you believe the maternity pay is incorrect please
discuss with your manager who will contact the HR Service Centre to
investigate further.

My tax code is wrong


If you have provided your P45 from a previous employer or a starter
check list to payroll, please contact HMRC to understand why your
tax code is incorrect and they will support you to send a notification
to TJX to update this to the correct code. The payroll team can
only update a tax code when confirmed in the weekly file sent from
HMRC. If you have not provided your P45 from a previous employer
or a starter check list, please email a copy to payrollsupport@
tjxeurope.com for Payroll to process.

My contracted rate of pay is wrong


Your line manager will be able investigate this for you and let you
know the reasons why and any next steps.

My manager didn’t put through the correct overtime/


additional hours
Please pick this up with your line manager initially to help you
navigate your query.

I took annual leave but haven’t received any money for


this?
Holiday pay is incorporated within your basic pay therefore you will
continue to receive basic pay for your leave. This is not an additional
payment.
I have a minus basic offset showing on my pay slip,
what does that mean?
Holiday taken will now be shown on the payslip as Holiday Paid and
calculated at an average rate of pay if greater than the contracted
rate of pay. The same number of hours will automatically be deducted
through element Basic Pay (Offset) at contractual rate of pay as per
the illustration below:

I did some overtime but it’s not showing on my pay slip


Check if the overtime worked was within the current Kronos cut-off
dates and speak to your line manager who can check the system.

What does *Carry over Bal. (Hrs) mean?


This is the amount of unused holiday balance (hours) transferred from
previous Financial Year to new FY which is the 1st of Feb every year.

What does*Annual Hol Bal. (Hrs) mean?


This is the remaining holiday balance you have left.

Can you explain what *Earned Hol Bal. (Hrs) means?


The ‘Earned holiday’ calculation is prorated based on hours worked
above contracted hours over an average number of weeks.
This calculation is applied at the time of you taking paid holiday from
your holiday accrual. The earned holiday is calculated and
added as a top up if applicable (when you have accrued enough
‘Earned Holiday’)
Earned Holiday does not expire so cannot be lost. If you either
leave the Business or are promoted to a salaried Manager role then
the Earned Holiday is paid out. It is applied automatically by the
system when Holiday is added to the timecard and your average
hours exceed your contracted hours.

What does ‘Holiday ADJ’ mean?


When you work consistently above your Contract Hours, you earn
extra Holiday entitlement, which is paid when you take your standard
Holiday entitlement in the form of a Top-Up.
These will appear as Holiday ADJ on your payslip.

What does ‘holiday paid’ mean?


This refers to holiday hours taken in the current year.
I am due an emergency payment but it doesn’t look like
I have received the full amount?
For emergency payments we pay approx. 70% of the full amount
due, this is to account for tax and national insurance, if there is a
difference this will be paid at month end.

I am due an emergency payment today but it’s not in


my bank account yet?
This will be paid in to your bank account by close of business on the
day it is due.

My student loan has been deducted but I shouldn’t be


paying anything yet
Please contact Payroll via email [email protected] who
will investigate this for you.

My basic pay is incorrect


It’s best to speak to your line manager in the first instance.
If your line manager is unable to assist, please email or call the HR
Service Centre – [email protected] or 00 800 333 800 33.

I have not been paid Statutory Sick Pay (SSP)


Please check with your line manager to ensure your sick note has
been provided to payroll to process. If your sick note has already
been provided, please contact the HR Service Centre on either hrsc@
tjxeurope.com or 00 800 333 800 33 to investigate.

I opted out of the Pension scheme but deductions are


still being processed
Please contact the HR Service Centre – [email protected] who will
help you resolve this.

I increased my pension contributions but the same


amount from last month has been deducted

TOP TIPS

How to update your contact information in iTrent.

Once logged in, you must update your contact details on your
account, giving your email address. This should be your personal
email address if possible for the following reasons:
1. In the case that a password reset is required, it is best that
details are sent to your personal address, as you may not always
have access to your work inbox if you use your work email.
2. You will have access to the portal for a further 18 months should
you leave the business and deactivate your work email address.

To update, follow the quick


link ‘Enter Email Address’ on
the homepage, or click on the
‘Personal’ tab and ‘Add contact
details’ by completing the fields
shown here.

Select ‘Add contact details’

Select User e-mail address


from contact type drop
down and enter your
personal email address in
the field under ‘contact at’.
Make sure you click save.
Your email address will now show under the personal tab.
