What is Microsoft PowerPoint?

Microsoft PowerPoint is presentation graphics program that allows you to create slide
shows. PowerPoint allows you to organize, summarize and format your materials,
illustrate your presentation with images or Clip Art, graphics, video, audio, animation
and other multimedia components. The PowerPoint program was first developed by
Dennis Austin and Thomas Rudkin of Forethought Inc. It was caled then as the
“Presenter” and was renamed “PowerPoint”.

MS PowerPoint allows you to do the following:

1. Use pre-designed templates


2. Add image, Clip Art, sound and video clips
3. Add animation to text or objects
4. Add transition effects and color schemes
5. Add graphics , tables and diagrams
6. Create speaker notes and hand outs and outlines
7. Create automatic slide shows and time rehearsals
8. Transform your presentation into a video

What is It

Microsoft PowerPoint is a presentation software that allows you to create dynamic


slide presentations. Slideshows can include animation, narration, images, videos, and
much more.

Opening PowerPoint 2013

When you open PowerPoint 2013 for the first time, the Start Screen will appear. From
here, you'll be able to create a new presentation, choose a template, and access
your recently edited presentations.
1. From the Start Screen, locate and select Blank Presentation.

2. A new presentation will appear.

PART DESCRIPTION
1. File menu It provides access to the only menu Office. When you click this
button it shows the following menus: Save, Save As, Open,
Close, Info, Recent, New, Print, Save & Send, Help, Options, and
Exit.
2. Quick Access Toolbar It provides access to the most common PowerPoint commands
including Save, Undo, Repeat, and Copy. You can customize,
add & delete buttons in this toolbar
3. Title Bar It shows the name of the program and the file name of the
presentation.
4. Control Buttons They maximize, minimize, and restore the window display and
close the open application.
5. Ribbon It contains the commands in three components:
(a) Tabs- represents the activities you perform and contain
related groups
(b) Groups- organize related commands. Group name
appears below the group ribbon
(c) Commands- appear within each group
6. Dialog Box Launcher Opens a dialog box or task pane that provides more options
7. First Slide Automatically shows the first slide when creating a new
presentation
8. Placeholders Allows you to type text and place graphics in your presentation
9. Scroll Bar Moves the document vertically
10. Notes Pane Allows you to create notes for yourself to help you in your
presentation delivery
11. Status Bar Displays the present application features and details
12. View Buttons Shows the kind of view you want on your screen

Kinds of Views

It is important to know the different views in PowerPoint so that you will know what
view is to be used to perform your task easily and efficiently.

1. Normal View – It views one slide at a time with miniature slides on the left side of
the screen. Normal view shows your slide as it will appear during your presentation.
You can edit your slide from this view. Normal view can be accessed from the
presentation views group on the View Tab or the View Buttons.

2. Slide Sorter View shows a miniature or thumbnail image of all slides displayed. You
can rearrange slide and add transition from this view. Slide Sorter view can be
accessed from the presentation views group on the View Tab or the View Buttons.

3. Slide Show view shows the slides just like in the actual slide show. You cannot edit
your slide from this view.

4. Notes Page View allows the speaker to add notes.


5. Outline view shows the text of your slide in a large amount outline format. You can
organize information from this view.

6. Zoom allows you to increase or reduce the view of the slide. Zoom command can be
accessed from the View tab on the ribbon or adjust the magnification using the zoom
slider.

7. Print Preview shows how the presentation will look on printed paper. You can
access Print Preview in from the Print command. You can print one slide per page or
nine slide per page.

8. Minimize reduces the presentation to a button size icon at the bottom of the
window.

9. Restore shows the presentation in a reduced view that allows you to move the
PowerPoint window by dragging the pointer and resize the PowerPoint window by
dragging the resizing arrows.

What’s In

In the previous lesson you learned about the Screen Elements of


Microsoft PowerPoint allowing you to familiarize the powerPoint
environment. To start this part of the module try to list down the 8 tabs in
PowerPoint.

What is It

Working with the PowerPoint environment

If you've previously used Microsoft Office programs ,like Microsoft Word and Excel, you
will feel familiar. It continues to use features like the Ribbon and the Quick Access
toolbar, where you will find commands to perform common tasks in PowerPoint, as well
as Backstage view.
The Ribbon

The Ribbon contains multiple tabs, each with several groups of commands. You will
use these tabs to perform the most common tasks in PowerPoint.

Exploring the Ribbon

You'll need to move between tabs to perform common tasks in PowerPoint. Knowing
where to find the right command will make PowerPoint easier to use.

1. The Home tab gives you access to the most commonly used commands,
including copy and paste, formatting, and the New Slide command. The Home tab is
selected by default whenever you open PowerPoint.

2. The Insert tab allows you to insert pictures, charts, tables, shapes, and videos,
which can help you communicate information visually and add style to your
presentation.

3. You can apply themes from the Design tab. A theme is a predefined combination of
colors, fonts, and effects that can quickly change the look and feel of your entire slide
show. Different themes also include different slide layouts.
4. You can apply slide transitions from the Transitions tab. Transitions are the
movements you see between slides when presenting your slide show.

5. The Animations tab allows you to animate text and objects such as clip art, shapes,
and pictures. Animations can be used to draw attention to specific content or make the
slide easier to read.

6. When you're ready to present your slide show, the Slide Show tab gives you tools to
make your presentation smooth and professional, including the option
to rehearse timings and record narration.

7. You can use the Review tab to access PowerPoint's powerful editing features,
including spell check and comments. These features make it easy
to review and collaborate on presentations.

8. The View tab allows you to switch between several different views for your
presentation, including Outline View, Slide Sorter, and Slide Master. These views can
help you prepare and organize your slide show.
9. Contextual tabs will appear on the Ribbon when working with certain items
like tables, shapes, and pictures. These tabs contain special command groups that can
help you format these items as needed.

To minimize and maximize the Ribbon:

The Ribbon is designed to respond to your current task, but you can choose
to minimize it if you find that it takes up too much screen space.

1. Click the Ribbon Display Options arrow in the upper-right corner of the
Ribbon.
2. Select the desired minimizing option from the drop-down menu:
o Autohide Ribbon: Autohide displays PowerPoint in full-screen mode and
completely hides the Ribbon. To show the Ribbon, click the Expand
Ribbon command at the top of screen.
o Show Tabs: This option hides all command groups when not in use, but tabs will
remain visible. To show the Ribbon, simply click a tab.
o Show Tabs and Commands: This option maximizes the Ribbon. All of the tabs
and commands will be visible. This option is selected by default when you open
PowerPoint for the first time.

The Quick Access toolbar

Located just above the Ribbon, the Quick Access toolbar lets you access common
commands no matter which tab is selected. By default, it includes
the Save, Undo, Repeat, and Start Presentation commands. You can add other
commands depending on your preference.

Backstage view

Backstage view gives you various options for saving, opening, printing, and sharing
your presentations. To access Backstage view, click the File tab on the Ribbon.
