Equity Policy

Irteqaa is committed to providing an


environment free from bullying,
harassment, and intimidation, which fosters
equity, inclusion, and respect for diversity.
This equity policy aims to ensure that all
members are treated with dignity and
respect. It broadly deals with what Irteqaa
recognizes as a violation of conduct, the
procedure for redressal in case of violation
of rules, and penalties that will be imposed.
The contents of this policy apply to all
Irteqaa members, directors, and the
executives, in their interaction with each
other at meetings, activities, and on social
media and Irteqaa's online communities
including, but not limited to, all Irteqaa-
affiliated WhatsApp groups.
Equity Committee
Irteqaa’s equity committee will consist of the heads
of the Executive Board, Biah Umer, Hibah Faisal,
Areeba Asad and HR Director Rayan Asad The
objective of this Committee is to resolve all
conflicts between applicants, members and other
individuals involved in the organization. All
individuals involved in the organisation may
approach any member, to file on their behalf, or
members of this Committee to discuss an issue or
conflict, even if you are not sure if it violated the
equity policy or if you want to file a complaint or
not. Their contact information will be mentioned at
the end of this policy.

In case a member from the Equity Committee is


personally involved in the matter, or where a
conflict of interest arises, the member will be
immediately dismissed from the investigation, will
not have the knowledge of the complainant, and
will not compromise the integrity of the
investigation. If the equity officer is found to be
biased, they shall be immediately removed from the
position, and their certificate will be confiscated.
Types of Complaints
You can either file a formal
complaint or an informal one.

Formal Complaint
In an instance of the complaint being formally filed, the
committee will conduct a thorough investigation and take
tangible action if the accused is found to be guilty.

Informal Complaint
These complaints are to be filed when the complainant
does not wish there to be an action taken against the
complainee. In an instance of the complaint being
informally filed, the committee will acknowledge the
incident, keep it in their records and/or might
investigate the incident. No action will be taken without
the explicit consent of the complainant. This is to ease
the members if they are hesitant in complaining and
track down the people minorly but repeatedly violating
the policy.
Prohibited Conduct
In order to maintain a professional and positive environment, there are
certain actions that members must refrain from at all costs. Failing to do so
can result in action being taken against the offender.

Bullying
Bullying refers to the unreasonable behaviour by an individual or a group
towards someone else, either psychological or physical that may offend,
intimidate, degrade, or humiliate the victim. It includes but is not limited to:
Engaging in any speech or conversation, which includes personal insults
regarding sexuality, religion, gender, race etc.
Directing violent threats or engaging in violence towards other people.
Using sexist, racist, homophobic, transphobic, ableist, or other
discriminatory jokes/ language as ways to demean others.
Belittling, dismissing or victimizing others.
Causing discomfort to others through discriminatory remarks.

Harassment
Harassment refers to a wide range of behaviours of offensive nature. It
includes but is not limited to:
Non- consensual photography or video recordings of any other member
of the team.
Threatening to publicise or publicize someone else’s personal
information.
Sharing personal information of members gained through the
organisation without consent.
Attempting to make sexual jokes or innuendos.
Other unwelcome physical and verbal sexual conduct
Deliberately stalking or intimidating other people online.
Causing discomfort to anyone else.
Causing other people to feel embarrassed or demeaned.
Consequences
Based upon the Equity Officer’s investigation - if they conclude that
the equity policy has been breached -they may act in the following
manner:

Issue a warning to the offending individual(s). After 3 warnings,


the offender is liable to expulsion from the organization;
Demand an apology and admission of guilt from the offender(s);
Suspend/expel the offending individual(s) from the
organization;
Withhold certificates and letters of recommendation from the
individual(s);
Blacklist the individual(s) from the organization;

While these actions may be executed in response to the violation of


the equity policy, this is not an exhaustive list and thus the Equity
Officers or the Executive Board may take alternative actions.

Reporting
If you are subject to or witness prohibited conduct, or have any other
concerns, please
notify the Equity Committee or the Executive Board as soon as
possible. The Equity Committee will operate with the person who has
raised such a complaint and handle the issue to the best of their

Privacy and anonymity
while reporting
To respect and accommodate a
complainant’s desire to remain anonymous a
procedure has been carefully devised. The
complaint can be submitted through the
Complaint Registration Form present in the
description of the ‘Core’ WhatsApp groups:

Professional confidentiality will be
maintained and the appropriate
consideration will be given to the wishes of
the complainant as to whether they want a
detailed inquiry into the matter or not. If a
complainant makes a complaint in
confidentiality and wishes for a detailed
inquiry into the matter, the identity of that
complainant will only be known to the Equity
Officers and the Executive Board and any
investigation conducted and decisions made
will solely be by the Equity Officers and the
Executive Board and both parties will be
invited to participate in the investigation. If
any member of the Equity Committee is
involved in the incident, they will be asked to
withdraw from the investigation so as to
protect the integrity of the investigation.
