Report Writing Notes

The tone of the report :

Formal and impersonal as the audience is someone who is in charge like a teacher

format :

-Title
-intro
-body(s)
-final : conclusion and recommendation

Introduc on :

provide a background and overview of the report


it should include :
1) the 7W's
3 are essential and the rest is optional :
Who
What
When
where
why
written by whom
to whom
2) the purpose of the report :
this is mentioned in the question and some phrases to use to metion the purpose are:
- this report aims to highlight
- this contains relevant information regarding
- the aim of this report is to present

3) how you collected the information you have based your report on
(survey, interview classmates ) not very important but try to include it

Some examples:
Last week, my class participated in a sport's day in the HBZ stadium. This report aims to
highlight
what we learnt from the visit and provide recommendation for improvement if it is repeated next
year
according to feedback collected from a school survey.

*make it brief and concise *

Body:

write the finings which are either positive or negative , should be organized according to what is
asked
for in the question.

draft a plan under the question and underline the keywords in the question

use your own ideas for higher marks

write a suitable subheading for each paragraph


support your ideas with reasons, evidences or example

keep to the topic

use variety of linking words and cohesive devices:


examples:

Results and consequences: as a result, consequently, therefore, thus, hence, for this reason, as

Reasons and causes: owing to, because (of), on account of, due to, since, as, etc.

5) Highlighting and Stressing:

Obviously

Conclusion:

1) brief summary of the main points in the report in different wording

and/ or

opinion about the experience or on the facts you discovered


Example:
*due to the new word limit, it is preferred to mention the opinion only instead
of summarizing the points
"To conclude, the visit was an exceptional learning experience and an overall success"

Suggestion/ recommendation

" I recommend extending the duration of the trip and prohibit the use of mobile phones to
maximise the
learning experience"
-> you should give a reasoning to your recommendation
General Advice:

- write 3-5 paragraphs


- take care of spelling and punctuation and grammar
-combine simple, compound and complex sentences with more focus on complex ones as this
is formal
- use a wide range of formal vocabulary
- range of topic-related vocabulary
- wide range of formal linking words * given above*
- advances punctaution (1-3)
- Include some passive voice sentences
- use reported speech ->
example: "Most students said that they would have liked to take part in more activities."
- DO NOT use contractions
- DO NOT use abbreviations
- DO NOT use informal vocab and idioms (anyways, besides)
- DO NOT list your ideas (firstly , secondly, thirdly) -> firstly is alright
- DO NOT repeat your vocabulary and sentence beginnings
